Role Purpose
The Senior Accountant will be part of the Khalsa Aid Management Team and will report to the CFO. You will provide financial leadership in all financial areas including production of monthly accounts; financial controls; general accounting; budgets; financial planning and analysis; policy management and adherence; compliance; risk; exchange rate management; key business and financial processes; cost management and auditing. You will play a crucial role in ensuring the organisation’s financial health, compliance and efficient operations.
Key Responsibilities
Financial & Operational Management
- Preparation and approval of all financial reporting materials and metrics; including monthly Business Performance Report, KPI’s, and Management Accounts, Project Aid reporting as well as annual financial reports
- Oversee budgeting, and the implementation of budgets, setting goals.
- Present operational metrics to monitor progress on the efficient spending of KAI Charity Aid funds. Implement a programme of timely corrective actions where necessary thereby implementing best in class practices
- Ensure that financial records and systems are maintained in accordance with Generally Accepted Accounting Principles and are compliant with Charity reporting requirements
- Ensure compliance with organisation policies and procedures, a robust controls environment is in place and that approval processes are adhered to
- Manage cash flow and exchange risk including proactive working capital management and accurate cash forecasting
- Direct all financial, project-based, and departmental accounting including foreign operations
- Ensure Management Information Systems are appropriate for internal, external and regulatory requirements
- Evaluate business processes, recommend and implement improvements
Team Management
- Provide leadership to the Accounts Assistant by providing clear goals and objectives.
- Lead with a management style that creates a culture that fosters collaboration, encourages cooperation, promotes creativity, values willingness to assume prudent risk and responsibility, reflects a sense of urgency and ensures results driven work environment
- Engage other members of the Khalsa Aid Team to facilitate cross-department collaboration that ensures that all financial and related IT solutions positively support the business’s strategic plan execution, operational delivery, and data collection needs
Detailed tasks to be carried out:
- Day-to-Day Financial Operations:
- Monitor bills, invoicing, donations, and other transactions.
- Oversee the work of the Finance Assistant.
- Register invoices from suppliers and service providers for payment.
- Handle various donation platforms (e.g., JustGiving, Enthuse, Worldpay, Donorbox).
- Post and review month-end journals, accruals, and prepayments.
- Process purchase orders and bills.
- Answer supplier and donor queries.
- Monitor email inboxes and confirm donations.
- Banking and Reconciliation:
- Enter payments in the bank for authorization.
- Complete and check bank reconciliation for various accounts using XERO.
- Monitor restricted fund movements.
- Track and report fund utilization.
- Maintain petty cash and handle cash/cheques.
- Cash Flow Management:
- Monitor cash flow and ensure liquidity for overseas operations.
- Inform Treasurers about fund requirements.
- Arrange cash for overseas travel.
- Payroll Duties:
- Process monthly payroll, including RTI submissions and pension feeds.
- Handle new starters, leavers, absences, and statutory leave/pay.
- File P11D-B for benefits in kind.
- Audit and Compliance:
- Coordinate annual audits with external auditors and department managers.
- Assist in writing and finalizing the Annual Trustee report.
- Ensure compliance with regulatory requirements and internal policies.
- Liaise with auditors and third-party contractors.
- Assist with annual reviews from charity commissions and banks.
- Develop and enforce financial policies and procedures.
- Financial Planning and Analysis:
- Support CFO in month-end and year-end processes
- Assist in forecasting and budget preparation.
- Conduct variance analysis and review balance sheet reconciliations.
- Implement audit recommendations.
- Stay informed about accounting software and technological advances.
- Insurance – ensure adequate cover for insurance.

Qualifications/ Skills Required
- Recognised professional accounting qualification or enroute to qualification
- Educated to degree standard
- Work experience is essential – 2-3 years in a busy organisation, preferably a UK charity
- Knowledgeable of the regulatory and reporting requirements for a UK Charity
- Technically and managerially competent with impact awareness of specialist areas including accounting, controls and governance, audit, ethics and risk management
- IT literate – Microsoft, finance and management accounting systems, ERP systems
- Experience in XERO and Gift Aid will be an added advantage
- Additional languages such as Punjabi, Hindi or Urdu would be advantageous

Key Responsibilities:
Financial Management & Reporting
- Manage the day-to-day financial operations of the charity, including payroll, pension, banking, purchase and sales ledgers across multiple organisations
- Lead on good practice, implementing effective working methods, checks and controls to improve efficiency of processing across all finance activities
- Adapt and progress working methods to cover all aspects of the Charitable activity – Education, Commissioned services, OEC short courses. Considering the varied nature of clients, suppliers and staff for every activity
- Implement revised processes to cover site development – Project Learnhive
- Prepare timely and accurate financial statements, management accounts, cash flow and performance reports for the CEO, Board of Trustees, and external stakeholders
- Ensure adherence to internal charity controls on authorisation for revenue and capital spending.
- Ensure compliance with all statutory and regulatory requirements, including timely submission of annual reports, HMRC filings, Pension compliance, Education Funding Agency and adherence to charity accounting standard requirements (SORP)
- Develop and manage financial policies and procedures to ensure robust internal controls are in place
- Lead on the preparation of annual operating budgets, and half yearly reforecasting – including student funding, staff modelling and expense allocation. Advise the senior leadership team on budgetary management and resource allocation.
Audit & Compliance
- Act as the main point of contact for the external auditors, payroll, pension and insurance contacts.
- Manage the annual audit process, ensuring any audit recommendations are implemented
- Ensure the charity adheres to legal financial obligations, including tax compliance, gift aid, and statutory reporting requirements
- Regularly review and update risk management frameworks related to financial activities
- Conduct internal audits and evaluations to identify areas for financial improvement.
Strategic Financial Leadership
- Provide strategic financial advice to the CEO, Board of Trustees, and senior management, contributing to long-term financial planning
- Identify opportunities for supported funding through DFE, LA and donor organisations
- Develop financial models and forecasts to support improved management reporting of operational activities, fundraising events, project proposals, and grant applications
- Implement effective processing and controls for Project Learn Hive to monitor and control revenue, expenditure and cashflow timings
- Monitor the financial performance of projects and programs, ensuring funds are matched to contracted and donor requirements
- Lead on the preparation of financial reports for grant funders and support grant management
- Lead the charity's investment and reserves policy, working with the Board of Trustees to ensure sustainability.
Team Leadership & Development
- Manage a small team of finance staff, both office-based and remote, ensuring they are supported, trained, and aligned with the charity's financial goals
- Oversee the recruitment, development, and performance management of the finance team, fostering a collaborative and efficient working environment he preparation of financial reports for grant funders and support grant management
- Lead the charity's investment and reserves policy, working with the Board of Trustees to ensure sustainability.
- Ensure effective communication within the team and with other departments to promote financial literacy and understanding throughout the organisation

Systems & Process Improvement
- Oversee the implementation and maintenance of financial systems, and reporting models ensuring they are fit for purpose and support efficient operations
- Drive continuous improvement in financial systems, processes, and reporting tools to enhance accuracy, efficiency, and transparency
- Ensure the charity's finance function remains agile and adaptable to new challenges and opportunities.
Stakeholder Management & Collaboration
- Work closely with other departments, including fundraising, programs, and operations, to ensure financial information is integrated and aligned with the charity's overall objectives
- Collaborate with external partners, including auditors, banks, and regulatory bodies, ensuring all rofessional management of all relationships.
- This role is crucial to ensuring the financial health and sustainability of the charity, supporting the achievement of its mission through sound financial management and strategic planning.
Key Skills and Qualifications:
- Professional qualification (ACCA, CIMA, ACA or equivalent) with significant post-qualification experience in financial management, ideally within the charity, SME, Education or not-for-profit sector.
- Strong understanding of charity accounting standards (SORP) and regulatory frameworks relevant to the charity sector.
- Proven experience in budget management, forecasting, and financial reporting at a strategic level.

The Role
As an Assistant Accountant, you will play a key supporting role in the financial health of The Royal Parks.

For one of the most loved animal charities in the UK, we are recruiting a Systems Accountant to develop and optimise their financial systems and improve financial and non-finance reporting though Unit4. Reporting to the Director of Finance, this role will ensure the Unit4 system is robust, and will enhance the value of financial data, providing insights to support the accounting function and overall systems and management tools used to inform the organisation. The Role

Salary – £35,000 - £40,000 per annum dependent on experience
Working hours – Normal office hours are 9am to 5pm Monday to Friday. We are open to flexible working patterns subject to the objectives and outcomes of the role being met. We are currently working hybrid with blended office and homeworking with the ability to work up to three days from home most weeks.

Financial Accountant – Process & System Improvement

Exciting opportunity for a qualified accountant to join a world renowned international humanitarian charity during a time of growth and expansion. The successful individual will play a central role in helping the organisation be more effective and efficient. You will work towards these ambitions through developing and implementing changes to finance processes and systems. This will be achieved by leading on a portfolio of improvement projects. In addition, the role-holder will use their skills in Excel, accounting software and reporting to provide ad hoc support to the finance team by identifying and implementing iterative improvements to finance processes and systems where needed.
Key areas of responsibility:
- Design of an effective and sustainable process for a purchase to pay procedure, which includes the payments of expenses and credit cards (seeking significant improvements to current procedures).
- Developing a business case for possible new systems which may be required to deliver new procedures.
- Working with the fundraising team to improve the flow of data between the fundraising database and finance system, including ensuring the coding structure is fit for purpose.
- Commission a review of tax and residency compliance for payrolled staff by working with HR and extemal advisors.
- Assist with embedding knowledge of new processes with relevant non-finance teams / colleagues in relation to key taxation compliance areas, especially relating to fundraising and HR activities.
- Documentation of Finance procedures, as well as the communication, implementation and embedding of policies and processes within finance and the wider office.
- Provide support from the finance function to the fundraising team during the fundraising team's project to introduce a legacy administration database and associated processes.
