Our client, a leading London University is currently looking to recruit a proactive and dynamic Centre Administrator/PA, on a temporary, full-time basis (35 hours) for 3-months. The post will be hybrid working, with 5 days on-site at their campus in Central London.
Key responsibilities for this post will include:
- Providing administrative and secretarial support to the centre leadership team including diary management, organising travel and accommodation, and providing reminders for appointments and deadlines.
- Responsibility for the recruitment and HR processes for staff and students in the centre, including ensuring that information in the database is kept accurate and up-to-date.
- Assisting in the planning and organisation of centre activities.
- Acting as one of the main administrative points for the centre, liaising with both internal and external stakeholders, including colleagues across the institution to ensure the smooth running of services within the centre.
- Contributing to the development and production of centre documentation (e.g. newsletters, websites, posters, reports and guidelines) using appropriate software.
- Financial administration, including raising purchase orders and processing invoices, and liaising with the purchasing office to ensure cost-effectiveness in the day-to-day running of the centre.
- Coordinating, arranging, and supporting meetings.

About the position
This is an exciting opportunity for an ambitious individual to increase the effectiveness and impact of a non-profit working to improve the lives of millions of the most vulnerable people around the world.
This position is based in London but supports the Freedom Fund globally (approximately 85 staff across ten countries). Reporting to the Business Operations Manager, the IT Officer will be responsible for the day-to-day management of the Freedom Fund's IT environment - providing technical support on existing and new infrastructure and software; troubleshooting issues and providing internal IT support for system users. The post holder will also advise on updates to the Freedom Fund’s IT and cyber security policies and processes and lead on the project to consolidate IT programs under Microsoft 365.
The successful candidate will act as a point of contact between the organisation and external service providers (e.g. Microsoft, Zoom, etc) for day-to-day operational activities.
Responsibilities
Internal IT support
• Serve as the in-house IT support for the global organisation (approximately 85 staff members over 10 countries), providing ongoing IT support and troubleshooting for all staff.
• Set up and onboard new starters, training new staff on all core organisational IT systems and policies.
• Support the administration of key IT systems such as Business Central (our accounting software) and Salesforce (our customer relationship management and grant management system).
• Work with all departments to ensure they are sufficiently and appropriately equipped with IT resources and that there is consistent maintenance and management.
• Manage all physical IT assets and infrastructure and ensure the Asset Register is kept updated.
• Support the Business Operations Manager in delivering new technologies and services and in identifying working processes or policy improvements.
IT Infrastructure and Cyber Security
• Administer an ongoing IT project - moving away from a range of programs including Gmail, Dropbox, Zoom and Slack towards a consolidation of programs under Microsoft 365, adopting M365 Outlook, SharePoint, Teams and Engage.
• Design and run training for Freedom Fund staff on how to use all Microsoft 365 programs, secure communications and cyber security
• Liaise with external IT service providers
• Support the Business Operations Manager in ensuring that the organisation is adequately protected from cyber security threats, including maintaining anti-virus software
• Support the Business Operations Manager in ensuring the organisation has the correct data security measures and storage mechanism in place to protect internal and external personal data, in accordance with local legislation – including data protection legislation.
• Assist the organisation in the safe storage and monitoring of data, including required retention and eventual disposal of personal data
• Provide plain language advice to management on IT risks and mitigation strategies
Policy and compliance
• Assist the Business Operations Manager in periodic IT audits
• Ensure IT systems, policies and procedures are both legally compliant and adhered to by staff

Qualifications and experience

Are you an experienced and enthusiastic Safeguarding professional, with a strong interest in protecting adults at risk and children from harm, within the wider Multiple Sclerosis (MS) Community?
Based within our Helpline Services team, you’ll have responsibility for:
- Responding to concerns reported by staff and volunteers

- Dealing with safeguarding issues (as they arise) and liaising with statutory services as needed

- Provide specialist advocacy support to vulnerable children and young people through our Voices in Action program.
- Provide advocacy support to young people ensuring their wishes and feelings are listened to in decisions being made about their lives and helping them avoid crisis points and improve life chances.
- Provide support primarily, but not exclusively, around issues leading to school exclusion. Other advocacy support will include working with young people who are in crisis and/or experiencing crisis.
- Support the work of the Voices in Action team to engage children and young people (particularly from Black, and Gypsy, Roma and Traveller, communities), schools and other agencies in order that we can reach the children and young people who need our support and inform our policy work.
- You will support the work of the Voices in Action team to co-produce and co-deliver training, workshops and resources for children and young people, and professionals to help reduce school exclusions and other crises.

The Role

Summary of the role
Our successful charity runs pathways which focus on employability and skills for everyday living to help young people, with SEN and learning disabilities to gain confidence and social support, alongside nationally recognised qualifications. An exciting opportunity has arisen to join our Senior Management Team, and lead our Children and Young People’s Service. The service helps children, young people and families to thrive, by providing a variety of vibrant and impactful services including the Habilitation Service on behalf of the Local Authority.
Principal accountabilities:
1. Provide overarching leadership, and management, to the Children and Young People’s Service (CYPS).
2. Lead, in collaboration with the CYPS Operational Manager, the Surrey County Council contract for Habilitation services ensuring that the Key Performance Indicators are met and reported on, in line with the contractual obligations, and that the contract is secured for the future.
