Action Village India (AVI) is a small UK based organisation that since 1989, has been supporting Indian partner organisations who work alongside villagers in some of the most remote parts of rural India so they can improve their lives, livelihoods and resilience. We keep our UK costs to a minimum with core staff and rely on an active and engaged set of Trustees, volunteers and supporters.  Both staff and Trustees of Action Village India have relationships with staff from our partner organisations, created through ongoing dialogue, partner and community visits and participation in learning forums.

Job Purpose: To keep our office functioning smoothly. This is a multi-faceted role working closely with two other members of staff. This is a great opportunity for an organised self-starter who is interested in getting more experience in international development and the charitable sector.

Reports to: Executive Director

Salary: £26,000 pro rata

Hours: 14 hours per week (equivalent to 2 working days) – ideally Wednesday and Thursday.

By agreement there is an option to work an additional 7 events days over the full year. This is related to WOMAD and our other events. This is revised annually based on the agreed workplan.

Location: Dalston, London (5 Balls Pond Road, N1 4AX)

Contract: 24 months fixed contract with potential for permanent contract thereafter

Annual Leave: 25 days (pro rata)

1 SPECIFIC RESPONSIBILITIES

1.1         Office Management

• Oversee the day to day running of the office, including communication with enquirers and supporters.
• Ensure office is compliant with Health and Safety requirements. Ensure compliance with data protection requirements.
• Ensure resources, IT and communication equipment is appropriate and available for staff and volunteer needs.
• Maintain office equipment, stationery and supplies.
• Be the point of contact for the landlord and any other tenants in the shared building.

1.2       Finance (record keeping)

• Managing Petty Cash
• Recording financial expenditure and income from events for the book-keeper
• Recording donations both online and offline
• Maintaining records by keeping the scanned copies of receipts and payments in the designated files both offline and online.
• Any other record keeping work as agreed with the Executive Director.

1.3       Administrative support to Fundraising events

• Administration of sponsorship fundraising events – registration of runners/riders/walkers and their donations.
• Helping set up donation pages for sponsorship online.

1.4       Communications

• Using online tools to design and distribute Action Village India’s e-newsletter.
• Uploading information on Action Village India’s website.
• Maintaining and servicing the donor and members’ database.
• Correspondence with supporters and donors.
• Production and printing of leaflets, advertisements and maintaining records of appeals.
• Distribution of mailings for appeals, newsletters and to our membership – including email groups.
• Managing all donations to the organisation, including CAF, standing orders, Just Giving and other internet sites and correspondence with individual donors.
• Any other administrative and communications work based on the organisations’ requirements and as agreed with the Executive Director.

1.5       Information Technology

• Maintaining IT equipment including updating anti-virus software.
• Maintaining Action Village India’s filing systems (hard copy, soft and back-up files).
• Liaison with Action Village India’s website designer/manager, editing and uploading documents and photos to website.
• Managing email accounts.
• Managing our telephone and broadband accounts.

1.6       AVI Activities

• Management of office-based volunteers as agreed with the Executive Director.
• Booking rooms and other support for Action Village India’s trustees’ meetings, AGM and other events.

2 GENERAL RESPONSIBILITIES 

• Abide by organisational policies, codes of conduct and practices.

PERSON SPECIFICATION

EXPERIENCE

At least one year of office management and administration in a small company or organisation within the voluntary or community sector or social impact space.

JOB DESCRIPTION

Job Title: Fundraising and Partnerships Manager

Job Purpose: To develop fundraising proposals and raise funds from trusts and foundations. To raise funds for Action Village India through our trading activities and events.

Reports to: Executive Director

Salary: £30,000 pro rata

Hours:21 hours per week (equivalent to 3 working days) – ideally including Wednesday and Thursday.

FUNDRAISING

1.1 Fundraising Management and Donor Liaison:

• In line with Action Village India’s project funding priorities, research and develop fundraising proposals for new and ongoing projects to be submitted to major donors, trusts and foundations as well as other appropriate sources.
• Keep up to date spreadsheets and databases tracking donor deadlines, the status of applications and reporting deadlines.
• Ensure that material from partners for monitoring reports is developed as needed and work to ensure that reports are submitted as required and to agreed deadlines.
• Support the Executive Director with fundraising and reporting to individuals and trusts.

1.2Events

• Plan and manage, in collaboration with the Action Village India team, the events for the year
• Attend Action Village India fundraising events (evenings and weekends as agreed with the team)
• Attend WOMAD festival and support the Action Village India team with the successful running of the Action Village India stall and presence at the festival.

1.3 Individual Giving

• Planning and delivering our regular appeals and engagement communications.
• Develop new ways to engage our supporters’ base and grow income from Individual Giving products.
• Build engaging journeys to retain existing supporters and develop more supporters.

1.4 Communications and Development Management

• Create communications content that inspires supporter engagement and promotes loyalty.
• Contribute relevant material and content to Action Village India newsletters.
• To design and produce communication materials – Annual Report and Appeals
• Supply project information to support appeals to individual donors, and at public events including WOMAD; co-organise the exhibition at WOMAD.
• Work with partners to generate engaging communications and marketing materials about the progress of their work, including visual content.
• Work with partners to generate material on which to base awareness-raising and educational work in the UK, where appropriate.
• Manage the creation of the organisation’s content, for example, leaflets, webpages and annual reports.
• Work closely with the Communications and Administrative Assistant to support the creation of social media content and other customer relationship material, ensuring this feeds directly into the Communications Strategy.
• Support the Executive Director in monitoring and assisting with formal progress reports to funders, and any other work based on the organisation’s requirements.

PERSON SPECIFICATION

EXPERIENCE

• Ideal minimum of three years proven experience in fundraising from trusts and foundations, events and individual giving.
• Proven experience in writing project proposals and reports for funders.
• Proven success in raising funds from trusts and foundations in the UK, working alone or perhaps as part of a larger fundraising team.
• Experience co-organising events and fundraising activities.

KNOWLEDGE and SKILLS

• Knowledge of Trusts and Foundations and institutional fundraisers particularly in the UK.
• Knowledge of the international solidarity and development landscape and/or familiar with funder processes, databases and requirements.
• Knowledge of Charity Law, Data Protection, Fundraising Code of Practice and other relevant marketing or fundraising standards in the UK.
• Ability to produce high quality written project proposals, narrative and financial reports and communications materials for a range of audiences.
• Ability to absorb, filter and re-present information for new audience

PERSONAL QUALITIES

• A passion to support humanitarian activities that benefit the most vulnerable.
• Excellent communication skills: presenting complex information clearly, concisely and persuasively.
• Proficiency in using Excel.

• Experience of working in partnership and solidarity with national and local NGOs.
• Ideally, experience of working in international development with a specific focus on Asia and India.

• Able to work some evenings and weekends and stay overnight where necessary (in particular, WOMAD festival which falls on the last weekend of July).

Overview of Role:

As Human Resources Advisor you will be joining a small, friendly and supportive HR team providing advice and support to managers and staff across the full range of employee life-cycle activities. This is a maternity cover post, so is offered on a fixed term contract for 12 months. As this is a short-term contract, we are looking for someone with HR experience at this level who can also embody our culture as a charity with a Christian ethos.

You will provide HR advice and support, to our Centres of Mission (CoM) (which are local projects run in partnership with Diocese to share the Good News of Jesus); our central services team in Sheffield known as Co.Lab; and our Sheffield based conference centre and accommodation.

The HR Advisor will play a key role in developing and strengthening the relationship between the staff, line managers and HR and ensure we deliver an effective HR service which is aligned with the service to the wider organisation. The post holder will work closely with managers in making sure the Christian ethos and values of Church Army are part of their culture and practice as line managers.

This role suits someone who is a HR generalist with strong knowledge of key HR practices including recruitment and retention, employee relations and development and training. The ideal candidate will be experienced in working in HR and hold a related qualification such as CIPD. The Hepatitis C Trust has developed projects nationally whereby peers use their lived experience of injecting drug use and hepatitis C, to provide education and training to service users and staff in drug and alcohol, hostel and homeless services, increasing hepatitis C awareness, access to testing and referral to treatment, for people living with hepatitis C.

Responsibilities

Donor financial budgeting, reporting and monitoring

· Gather, manipulate and present data on Young Lives budgets and forecasting including those for ongoing projects, new funding proposals, re-budgeting exercises and partner organisation budgets, working closely with the Young Lives Programme Manager, Programme Officer/s and Collaborating Partners.

· Liaise with the Programme Manager to review the financial position on Young Lives projects and advise on solutions to problems relating to expenditure on projects whilst maintaining the auditable standards on the project. Check research budget set-ups for accuracy on Oracle, deal with issues arising, analyse grant spend on a monthly basis, highlight variances and take follow-up action, and facilitate updated X5 to re-cost salaries on awards and identify any over or under spends on salary budgets.

· Coordinate the quarterly financial reporting processes used by Young Lives partners. Check reports against budgets. Coordinate the preparation of Young Lives financial reports and invoices to FCDO and other Young Lives funders in line with contractual requirements. Prepare budget and quarterly forecasts for the Department.

· Process partner payments required under partner collaborative agreements and consultancy agreements, as agreed by the Young Lives Programme Manager.

· Monitor Young Lives project expenditure against approved budgets and donors’ terms and conditions. Gather, manipulate and present data to produce regular financial reports showing income, expenditure and forecasting against budgets.

· Assist with audits of Young Lives, as required.

· Represent and present on finances externally to funders, as required, and maintain an up-to-date knowledge of Young Lives’ funding bodies’ terms and conditions

General Financial Management

· Ensure full recovery of expenses on the e-expenses system (SAP Concur), reviewing on-line ready for departmental approval, ensuring that expenditure remains within set budgets and complies with the grantor’s terms and conditions and University financial guidelines, giving guidance to claimants where necessary.

· Arrange for and monitor travel advances, and pre-paid MasterCards, issued to YL staff and clear the advances on their return. Check and process project credit card statements and receipts and deal with any queries that arise;

· Raise pre-requisition orders ensuring that procurement policies are followed;

· Undertake transactional processing as necessary in the Oracle Financial system, including invoices for payment, accruals and prepayment and dealing with anomalies. Check figures for errors and omissions. Ensure all Young Lives financial transactions are carried out in accordance with the University and external financial regulations.

· Monitor the Young Lives general ledger account (non-project funded) and ensure effective reconciliation and reporting of all transactions.

· Maintain good working relationships with Young Lives staff, partners and suppliers and with Departmental finance and administrative staff and the University's central finance office and be proactive in resolving issues.

· Proactively undertake continuous improvement of finance processes and systems and of reporting provision to support changing requirements and improve management information. Communicate and support the implementation of these improvements effectively.

· Develop and refine financial systems and procedures for Young Lives to ensure strong financial management and control. Respond to enquiries, and provide advice on financial procedures and policies.

Selection criteria

Essential

• Have achieved or be working towards an accounting qualification
• Educated to degree level or equivalent and at least two years’ experience in a similar role.
• Good accounting skills; experience of preparing financial reports, budgets and forecasts
• Knowledge of the purpose, use and application of financial controls
• Excellent numeracy skills, thoroughness and attention to detail, resulting in the ability to produce accurate, detailed work
• Strong diplomacy and team skills and the ability to communicate effectively with a broad range of colleagues and funders
• Flexibility and the ability to work on own initiative and organise own workload effectively
• Evidence of tact and discretion in dealing with matters of a confidential or sensitive nature
• High level of computer literacy with experience of using Microsoft Office, particularly Excel
•  The ability to present financial information in a variety of formats and for non-accountants
• Good written and verbal communication skills with a friendly, proactive and helpful approach –ideally with experience of working with colleagues at a distance.

Growing Younger Team Roles – Mission Enabler (Youth)

The Growing Younger team will work collaboratively and creatively to enable the delivery of the Growing Younger stream of the Diocesan Transformation programme, with a specific focus on building mission and discipleship pathways for 0-25s, growing missional chaplaincy in FE colleges and schools, and raising up new youth and children’s leaders.

The successful candidates will each have a focused area of work (children, youth, young adults) and will work both individually and collectively to support the development and implementation of local mission initiatives, spending a substantial proportion of their time in parishes and deaneries to raise local aspirations, grow local vision and strategy, increase local capacity and pioneer local mission.

The role:
 
As a Young Adult Intervention Coach (YIC), you will be responsible for the assessment and implementation of tailored intervention coaching plans for each at risk young person on your caseload. You will work to achieve progression outcomes for each young person that includes reducing mental, physical, and emotional harm and supporting each young person transition to positive, thriving lifestyle both on a one-to-one basis, and in partnership with other individuals and agencies involved in the lives of each young person.

Your purpose is to identify, disrupt, challenge, and support young people to move out of harm and prevent further involvement in harmful activities. This will involve targeted street work, specialised one to one harm reduction and life skills coaching. 

Alongside this you will work with intervention frontline colleagues in tertiary intervention such as knife and gun crime crisis situations as well as working with partner agencies.

You will have robust frontline experience of working with young people, including experience in engaging, assessing, and delivering interventions designed to support young people to build personal resilience and move away from harm and violence. You will also possess sound risk assessment skills and safeguarding knowledge.  A key component of the job role is case management and knowledge of good practice models, which will underpin their practice, is essential.
