Overall Duties of the Commercial Bid Writer & Fundraiser  will include:

• Taking the lead in identifying, coordinating, and managing tendering opportunities, processes, and contracts for TACT.
• Overseeing the commissioning and contractual tender portfolio, which will involve ensuring high-quality submissions, and maintaining compliance with all relevant procedures.

The main requirements for this role include:

• GCSE grade C or above in Maths and English or equivalent qualification.
• Proven experience in bid and tender writing with a strong track record of successful submissions.

• Knowledge of fundraising legislation, regulations and record-keeping.
• An understanding of the children’s social care system.

Job Purpose

As our Finance Manager, reporting to the Director of Finance and working closely with the Senior Leadership Team and colleagues across the organisation, you will be a key person ensuring that our financial data is complete and accurate, overseeing reporting to our programme funders and our international network, and ensuring best practice in all aspects of financial management. Ensure the integrity of financial data and controls, including budgeting, forecasting, Treasury and cash flow management

The Senior Programmes Manager will be responsible for ensuring that our programmes are effectively designed and delivered, meet the needs of the communities and animals we serve, and align with our organizational strategy and donor expectations. 

Positioned within the Global Programmes Department the role will involve close collaboration across teams in both the Global Support Office and our implementing partners.

FINANCE MANAGER JOB DESCRIPTION

Role Purpose

The Finance Manager will proactively plan, manage and oversee the financial strategy, operations, and compliance of our dynamic and growing organisation. The role contributes directly to the organisation’s strategic planning and has hands-on oversight of financial transactions, operations, compliance and reporting.  

As the Finance Manager, you will be a member of the Executive leadership team working closely with the CEO on matters of financial strategy and business development - contributing to strategic decisions and providing financial guidance.You’d also be supported by the Finance Manager Assistant and the Bookkeeper.

Main Objectives

• Provide leadership, in-depth knowledge and financial expertise to support the organisation’s strategy, business development and operations. 
• Manage the day-to-day financial operations including payroll, payments, controls and cash flow to ensure sound financial management and accuracy around all financial routines and procedures. Also ensure compliance and accurate reporting.
• Lead on and manage financial planning, budgeting, and forecasting - working closely with the CEO.

Financial Planning

• Lead on financial planning, budgeting and forecasting.
• Conduct financial analysis to support decision-making, highlighting key trends, opportunities and risks. Also scenario planning and financial modelling for growth and sustainability.
• Provide sound financial advice to the CEO, Executive and Trustees also assisting with business planning and strategy and business development.

Financial Management

• Lead on the day-to-day management of financial operations to ensure sound financial management and accuracy of all financial routines and procedures.

• Prepare quarterly management accounts and reports for decision-making and planning.

Governance: Policies, procedures and financial controls

• Ensure compliance with all requirements and standards in respect to Insurance, Companies House, Charities Commission and HMRC.
• Proactively lead on process improvements as we grow. Includes writing, reviewing and updating finance procedures and policies, in collaboration with the CEO and Executive colleagues.
• Ensure governance documents are up to date. Including Trustees appointment and resignation records, conflict-of-interest forms, and relevant submissions to Companies House.
• Monitoring and mitigating financial risks while maintaining robust internal controls. Also manage credit control and ensure that payments are received on time.
• Ensure financial procedures, policies and reporting systems are updated as required and maintained thereafter.

Accounting

• Supervise and review accounting tasks and records processed by the bookkeeper and the Finance Manager.
• Ensure timely, up to date and accurate accounting practice including journal entries, accruals, phasing and reconciliation.
• Ensure accuracy of income and expenses allocation and coding, including deferred income and monthly reconciliations.
• Review and update coding structures and nominal coding, clearing accounts and reconciliations in collaboration with the CEO and finance colleagues.

Payments and Payroll

• Manage effectively payroll, tax and pension submissions, banking and associated procedures.   
• Ensure all payments are made, received and acknowledged in an accurate, compliant and timely manner.
• Maintain up to date records of financial calculations regarding payments and fees for tutors, assessors and other stakeholders.

Contracts Management

• Ensure that operational, building, insurance and supplier contracts are up to date and renew them as required. Includes utility bills, IT and telephone.
• Prepare and issue employee contracts (working with the CEO/HR).

Support service delivery

• Calculate and prepare courses fees and other financial information for reviews and to support decision-making
• Liaise with students to offer and manage payment plans

People Management

• Supervise, manage and support the Finance Manager and Bookkeeper, ensuring and supporting high performance and wellbeing.

Key responsibilities:

• Manage membership administration, including onboarding new members, staying in touch regularly, coordinating internal support for membership needs, and tracking renewals.

• Support the creation of resources, guides, and training materials for members.

• Assist with the planning and delivery of events, training days, and conferences for members and stakeholders. 

• Help grow the membership by contributing to its development, identifying new partners that align with our mission, and supporting our efforts to expand.

• Support the Procurement Manager with preparing and delivering compliant procurement processes, from drafting documents to reviewing submissions.

• Work alongside the Procurement Manager to build strong relationships with partner chefs, identify new suppliers, and understand produce requirements.

• Manage supplier relationships, including visiting suppliers, checking accreditations, conducting research, and ensuring due diligence.

• Gather, analyse, and report data to support and help grow the membership.

• Provide general administrative support for the membership team, such as organising meetings, booking rooms, and taking minutes.

• Proofread and format documents as required.

• All other tasks as reasonably required - we’re a supportive, collaborative team who are all unafraid to jump in and support each other when needed.

Essential skills & experience:

• You have an interest and belief in our mission, to improve kids' health through improving food and food education in schools.

• You are organised, methodical, strong on detail and data-driven

• You have experience managing a diverse workload and are able to map out deadlines and plan ahead.

• You have strong administrative skills and are comfortable managing processes, scheduling meetings, minute-taking, and formatting documents.

• You are a strong communicator with experience working with multiple stakeholders.

• You have the ability to listen, understand and interpret customer requirements 

• You are self-motivated, customer-focused and driven.

• You are confident using technology and are open to learning new digital systems and tools.

• You are passionate about food and want to make an impact.

Desirable:

• You have some experience planning events, training, or networking activities.

• You have some membership experience, including developing relationships and supporting membership needs.

• The ability to contribute to the creation of training materials or resources that add value to the membership programme.

• An understanding of the challenges and opportunities of working in school food and school catering work environments

• A basic understanding of food supply chains or the food industry, especially in schools and catering.

• Familiarity with data reporting tools, dashboards, or visualisation software

• Knowledge of procurement processes, including preparing tender documents, assessing suppliers, and carrying out due diligence.

• You are curious, keen to learn and enjoy problem solving.

Successful candidates will be invited to attend an in-person interview at our office in Brixton, London to take place on Fri 16th May 2025 and will include a 60-minute interview, a 15-minute administrative task, and a 30-minute informal chat with a team member.
