About you

Skilled in use of IT software, in particular Excel and QuickBooks or Sage, you get satisfaction from seeing everything running smoothly, have an eye for detail, and are happy to work on your own initiative as part of a remote team.

Able to manage your own time, you will have a flexible approach and be keen to test new ways of working to improve business processes.

 

Key responsibilities

 

Key tasks include:

· Bookkeeping and day-to-day management of invoices and payments

· Premises management: resolving day-to-day issues, First Aider, Fire Officer

· Co-ordinating team and Board meetings including invitations, agenda and papers

· Responsible for HR administration and record-keeping, including preparing paperwork and co-ordinating recruitment, induction and leaver processes

· Act as an IT Superuser, becoming expert in IT systems and supporting colleagues to use them effectively

 

Key requirements

· Experience of bookkeeping, preferably using bookkeeping software such as QuickBooks.

· Excellent attention to detail and high levels of accuracy.

· Excellent telephone manner and confident in a public facing role.

· Able to establish systems, record information and maintain records systematically.

· Confident user of IT software, including Microsoft Office Excel, Word, and Outlook and Adobe Acrobat.

· Confident working with numbers, data and spreadsheets.

· Able to work on own initiative and to tight deadlines.

Events Assistant

About the Role

This role will play an active part in driving forward our exciting fundraising campaigns, events and community relationships.  This involves a wide-range of tasks which will vary day by day, from helping at on-site events to the distribution of marketing materials, and from taking minutes to building good relationships with local supporters (including schools and universities, local groups and businesses, community champions and participants in challenge events).

About The Role
We’re looking for a Supply Chain and Administration Planner to join our team at the Royal British Legion, helping keep things running smoothly in our warehouse. In this role, you’ll be managing stock levels, processing purchase orders, and making sure goods are moving in and out of the warehouse efficiently. You’ll also work closely with the Warehouse Supervisor to support daily tasks and help plan in-house stock production.

A big part of the job is making sure the warehouse technology is up to date and works well with our processes. You’ll be responsible for things like warehouse mapping, tracking key performance metrics, and generating reports to help with decision-making. You’ll need to keep an eye on stock levels and flag any issues with suppliers, working with other teams to make sure everything runs smoothly.

You’ll also be the go-to person for our Delta Warehouse Management System, helping users with any issues and making sure everyone has the right access. If there’s a problem, you’ll work with our IT team or external suppliers to get it sorted. Accuracy is key, especially when it comes to keeping stock records and making sure deliveries are logged properly.

There’s also a creative side to the role, as you’ll be editing images for commemorative displays and keeping everything up to Royal British Legion standards. If you’ve got experience in supply chain management, great IT skills, and want to make a difference, we’d love to hear from you!

About the role

This role ensures that the Directors have the right personal support in organising their departments and fulling their obligations in reporting, performance and business planning to Boards and Committees. The Directors are part AIUK's Senior Management Team.

The Director of Activism & Education is a new role at AIUK focusing on our important work in Community Organising, Activist Events and Human Rights Education and is responsible for Movement Building. They are responsible for the Building a Powerful Movement Sub-committee supported by a team of around 20, currently with 6 line reports.

The Executive Assistant will be integral to supporting the Director to provide positive leadership, by ensuring that their departments have the right administrative systems in place, and representing them when liaising with internal and external contacts when providing organisational and administrative services for committees and meetings.

Summary

• Provide strategic consultancy to help, support, advise and partner with a portfolio of dioceses in the north of the country as they develop their mission, people and financial plans in line with strategic priorities of the Church's Vision and Strategy.
• Support and advise diocesan leadership teams in the design, review and implementation of their strategic funded programmes, including missional and structural design, moving from planning to implementation, introducing appropriate programme governance, attending programme boards and advising on delivery.
• Develop appropriate resources, including strategy development tools, project and programme best practice tools to help dioceses develop their strategic plans.

• Significant experience of working as an advisor with a variety of senior stakeholders in an internal or external consultancy role.

Job Summery:

The Research Assistant’s role is to support the whole research team with administrative tasks to deliver their mission more efficiently. This role does not require scientific qualifications.

You will assist with organising meetings, including our Scientific Advisory Board meetings, and associated travel, writing letters and maintaining accurate records. You will be working across the whole research team providing administrative support as required, balancing priorities and liaising with other teams within the charity. 

��Location: While contracted to our office in Fleet, Hampshire, our team supports a blend of office and home working provided you have adequate broadband and IT capability, with an average of 2-3 days in the office each week.

⏰Working hours: This role is 30 hours per week, with some out of hours working.

��Benchmarked salary: £23,675 (dependent on level)

Who we're looking for:

With an enthusiasm and passion for the work of The Brain Tumour Charity you will have experience of working in administrative capacity. You will be highly organised, with excellent communication skills (written, verbal and interpersonal), a keen eye for details and enjoy working in a fast-paced environment. 

Key accountabilities:

•  Support the organisation of external research meetings such as Scientific Advisory Board meetings and meetings with researchers, including arranging travel, accommodation and meeting space.
• Organise internal research team meetings, including taking minutes and circulating agendas.
• Assist research grants team through preparation of outcome letters and communication with researchers.
• Assist in maintenance of accurate records for the research team, including document migration and data quality control.
• Manage shared research accounts and subscriptions.
• Completion of ad hoc tasks to support the research team with delivering their goals such as organisation of team training or planning sessions. Maintain accurate electronic records to track grant applications and awarded grants.
• Respond to enquiries about The Charity’s funded research, research strategy and calls for applications from researchers, the general public and colleagues within The Charity.
• Assist in ensuring the scientific accuracy of internal and external communications around the research programme, for example in feedback letters, mail outs, newsletters, website content and press releases.

This is an exciting role that requires high levels of competence in administration, communication and collaboration. The role is to provide personal administrative support to the CEO and SLT and be the first point of contact for external enquiries to the Charity; Helping to maintain high service standards, contractual obligations and to aid effective communication throughout the charity. The role covers a broad range of activities across all areas of Causeway. Responsibilities:

• Manage and maintain the CEO’s schedule, appointments and travel arrangements
• Assist the CEO in collation and submission of their expense claims.
• Conduct research as required to prepare the CEO and Senior Leadership Team (SLT) for key meetings ensuring they are adequately briefed.
• Co-ordinate and arrange the fortnightly Senior Management Team (SMT) meetings and any additional SMT meetings that may be required.
• Co-ordinate and arrange the Board of Trustees annual meeting schedule.
• Co-ordinate and arrange Board Subcommittee meetings and any exceptional meetings that may need to be called for governance purposes.
• Provide minute taking and administrative support to Senior Management Team meetings
• Provide minute taking and administrative support to Trustee meetings and supporting committees, including co-ordinating the agenda setting process, collation of papers and liaison with the Chair of the Board and Company Secretary.
• Review and process any Trustee expenses incurred due to meeting and event attendance.
• Answer and manage all incoming enquiries on the Causeway external phone line and information@ email address.
• Liaise with the SMT and wider team to ensure all incoming enquiries are responded to and actioned accordingly.
• Support the COO in the monitoring and evaluation of service information, through the collation of quarterly data across all departments.
• Support the COO in the wider service improvement agenda through the production of project management templates and data monitoring.
• Where necessary, provide administrative support to the SLT in the gathering of case studies or data for the purpose of report production for external stakeholders such as commissioning bodies.
• Support the SLT in working groups/service projects through administrative support and action logging within project meetings.
• Any other duties that are commensurate with the role.
