Job Information: The Finance Assistant will provide efficient and accurate support by inputting financial records, ensuring smooth financial operations and generating and analysing reports using Sage and Excel. This is an excellent opportunity for a hard-working colleague to make a difference and further develop skills and experience in charity finance within a supportive and values-driven organisation.

Purpose of the Role 

The Helpline Manager will manage and provide support and advice to a team of Helpline Support, Caseworkers, IDVA, and Helpline volunteers who will be handling calls. The role will also include occasionally providing helpline cover during staff shortages. The helpline supports women on more than 45 different issues with most of the calls relate to violence against women and girls (VAWG) as well as mental health and wellbeing. The Helpline Manager will be responsible in ensuring that the service continues to be culturally sensitive and be able to respond to a diverse population of women with complex needs; managing the rota for staff and volunteers, ensuring there is sufficient helpline cover, identifying and managing safeguarding issues, monitoring staff performance, maintaining the helpline database, and providing helpline data to other staff. 

The role will also include occasionally attending external stakeholder meetings and raising awareness of the helpline service. The Helpline Manager will also have some involvement in other MWNUK projects, services and activities as required. The role requires a proactive, organised and practical approach to ensure MWNUK’s projects are delivered effectively and efficiently, providing high quality support and customer service across the organisation, both internally and externally.

Main responsibilities 

• Supervising the Helpline team of 11 staff (however this is equivalent to 3 full-time staff per day only) and ensuring there is sufficient helpline cover and monitoring their wellbeing. 

• Recruiting and training helpline staff and volunteers with the support of senior management and ensuring their development needs are flagged up. 

• Monitoring performance of helpline staff through daily check-ins, debriefs, monthly supervision meetings and annual appraisals. 

• Holding regular helpline team meetings and sharing learning as well as identifying and sharing interesting cases with Senior Leadership Team including the Advocacy Officer. 

• Planning and delivering training to staff and volunteers in line with changes in law, policies and procedures, including safeguarding. 

• Regularly attending external meetings such as MARAC (Multi-Agency Risk Assessment Conference), liaising with police, social services, and other partner agencies. These meetings are a critical part of safeguarding and time for preparation and follow-up is built into the role. 

Safeguarding 

• Implementing MWNUK Children and Adult Safeguarding policies and procedures. 

• Responding to safeguarding concerns in a timely manner and promoting good practice. 

• Identification, handling and recording of all safeguarding risks and issues for both children and adults, including in instances of domestic abuse, forced marriage, honour-based violence, sexual abuse, self-harm, isolation, housing, marriage and divorce etc. 

• Escalating and de-escalating risk, report writing and recording accurately all decision-making during case reviews. 

• Having regular case reviews and making evidence-based decision-making. 

• Monitoring and evaluating safeguarding practices. 

• Liaising with external agencies as and when required. 

• Reviewing helpline cases before they are closed ensuring the data has been properly recorded. 

Managing cases 

• Triaging, managing, prioritizing and allocating helpline cases. 

• Maintenance of accurate records, online databases, filing systems and computer files and gathering of statistics as required by the Operational Director and / or CEO and external evaluating consultant. 

• Maintenance of all information in line with confidentiality and data protection policies while observing professional boundaries at all times. 

• Monitoring helpline data and identifying any trends and sharing them with senior management and the Advocacy Officer. 

• Ensuring policies and procedures are followed. 

Other duties 

• When required (i.e. when there are staff shortages) provide cover on the helpline and respond to phone calls, emails, texts, webchat and the newly launched Amal Safety Mobile App, in a faith and culturally sensitive manner. 

• Keeping up to date with helpline issues such as forced marriages, domestic violence, honour- based violence, sexual violence, female genital mutilation, mental health, discrimination and women’s rights – including assisting with projects and services on these issues. 

• Promoting the helpline’s services to a range of stakeholders. 

• The role will occasionally involve delivering training workshops and leading discussions on critical issues such as forced marriages, domestic violence, FGM, and honour-based violence, primarily with schools, colleges, and community organisations. These responsibilities will be planned in advance and integrated into the team’s schedule. 

• Carrying out duties to support the Operational Director and CEO. 

• Attending training for professional development, as required. 

• Undertaking outreach work, if required. 

Person Specification 

Professional Experience, Knowledge and Understanding 

• Strong experience of dealing with minority ethnic women particularly from Muslim communities who have suffered domestic violence and other forms of abuse such as forced marriage, honour- based violence, sexual violence, mental health issues etc. 

• Knowledge of key issues that will arise on the helpline such as domestic violence, forced marriage, honour-based violence, sexual violence, mental health, hate crime etc. 

• At least one year's experience in handling children and adult safeguarding. 

• Willingness to participate in further training and development opportunities. 

• Working in a trauma informed way by recognizing impact of trauma on women. 

• Experience of managing, supporting and supervising a small team. 

• Second language such as Arabic, Bangla, Punjabi or Urdu. 

• Excellent IT skills (Microsoft365: word processing, databases, PowerPoint, spreadsheets and Outlook). 

• Desirable line management experience.

Purpose of this role  

The Business Support Administrator will provide high quality support to the Board of Trustees and its sub-Committees, and the Chief Operating Officer. This role will work closely with the Executive Assistant to the Director General. 

Responsibilities and Expectations  

• Provide high-quality administrative and organisational support to the Chief Operating Officer, helping to ensure smooth day-to-day operations.

SIGNPOSTING AND FOODBANK SESSION COORDINATOR

This new role will provide dedicated 1-2-1 support to people accessing the Foodbank, delivering Foodbank collection sessions and developing our remote and in-person signposting and support for those accessing the Foodbank. This is a fast-faced, person-centered role, having a direct impact on the lives of local people experiencing hardship

Key responsibilities of this role will be:

• Providing operational support to Foodbank collection centres in host venues across Lambeth and Croydon
• Providing and developing wraparound support to those accessing the Foodbank
• Delivering and developing in-person and remote signposting

In these Boroughs, METRO deliver the Come Correct free condom scheme (C-card), the National Chlamydia Screening Programme (NCSP) as well as Get It, an online scheme which offers condoms, lube, Chlamydia and Gonorrhoea screens.

Policy, Influencing and Change
 

· Strategic leadership of IoUH Policy and Influencing: Delivering and evolving Policy & Influencing strategy that embeds policy, influencing into all IoUH’s programmes and work, overseeing effective execution of the strategy by the Policy & Influencing Team.
 

· Strategic leadership of IoUH Change function: Responsible for a strategic approach to partnerships focussed on scaling and sustaining what we know works. Overseeing delivery of a select portfolio of projects that are operating at scale and being replicated, particularly with a view to influencing local and national policy making and co-funding partnerships.
 

· Impact delivery: Overseeing the development and delivery of Policy and Influencing and Change strategies to support IoUH to achieve strategic aims and stated impact goals, including influencing decision making, policy debate and the policy and practice of key stakeholders.

Overall Purpose

The Office Administrator will provide comprehensive administrative and secretarial support to ensure the smooth and efficient operation of the Foundation. This role is responsible for maintaining and developing administrative systems, both manual and digital, while supporting all core functions, including executive board, grant-making, fund development, and finance. Acting as the central support for the team, the role ensures internal processes run effectively by managing key administrative tasks and coordinating internal and external meetings. Through excellent organisation and attention to detail, the Office Administrator plays a vital role in keeping the foundation connected and running seamlessly.

Responsibilities

Provide administrative support to all staff of the foundation.

Manage the administration of information systems, including filing and database management.

Type and word-process documents and letters as required.

Undertake routine collation of information relating to the foundation’s services.

Office Coordination & Communication 

Serve as the first point of contact for incoming phone calls and emails, greeting and assisting visitors, and overseeing the handling of incoming and outgoing post and deliveries.

Contacting individuals and groups by telephone when clarification or further information is required.

Provide customer service support when necessary.

Administer and keep up to date the contacts database and formal records or organisations the foundation works with.

Enter details of applications and donors into CRM systems.

Maintain and develop communication with affiliated and other voluntary groups, including supporting networking events.

Operations & Supplies Management

General office administration, including the maintenance of equipment inventories, training records, PAT testing schedules, and room bookings.

Manage the ordering and stocking of stationery, equipment and other office supplies.

Marcomms Support

Assist in the preparation, production, and distribution of regular newsletters, including maintaining the mailing list database.

Assist in posting content on social media platforms.

Executive Board Assistance

Work with the CEO to prepare and manage quarterly Board meetings for Foundation, and as required, other partners (including JCT)

Prepare for meetings, including compiling and distributing board papers, managing meeting dates and availability, and ensuring logistical arrangements.

Take accurate minutes and provide general administrative support for Board level members, always ensuring strict confidentiality.

Regularly update and maintain Board requirements, including EDI data, references, annual Conflict of Interest declarations, DBS checks, and other governance related documentation including Foundation Training log and Policy changes.

Provide administrative support to the Chair of Trustees as required, ensuring they have the necessary documentation, scheduling support, and other assistance to fulfil their role effectively.

Events and PR

Assist with organising events to showcase the Foundation’s work, including functions for donors, potential donors, community and voluntary groups.

Representing BLCF

Work as an effective Ambassador for the Foundation always, including at events and external networking.

Engage with the UK Community Foundation peer network to ensure the best practice is shared from across the sector

Experience

Demonstrable experience of using online file managements systems (e.g. SharePoint) to manage data and information relating to an organisations core systems, policies and processes. 

Experience in working at Board or senior levels with supporting administration and issues in a confidential manner.

Experience of working under pressure while effectively collaborating across teams to achieve objectives.

Experience in administrative work, including managing tasks efficiently and supporting operational processes.

Some understanding of the wider voluntary and charity sector. (D)

Excellent computer and administration skills, with experience using Word, Canva (or comparable design tools), Excel, PowerPoint, and databases such as Salesforce.

The Organisation

The Royal Parks (TRP) is a charity created in March 2017. We manage over 5,000 acres of diverse parkland, rare habitats and historic buildings and monuments in eight Royal Parks across London. The Role

About You

To be considered as a Skilled Gardener, you will need:

• Demonstrable practical horticultural experience

• Knowledge of workplace health and safety
• Good plant knowledge, particularly around shrubs, herbaceous and bulbous plants

This role is based at our National Contact Centre in Cardiff.

As a Helpline Adviser you will:

• Able to respond to victims of and those affected by crime by providing support, information and referral on to Victim Support services and other agencies
• Providing immediate support, advice and trauma first aid referrals to victims of and those affected by major incidents and terrorism.
