This interesting role will support the theatre’s ambition to increase our revenue fundraising and development capabilities. In particular the post holder will be responsible for researching, cultivating, preparing applications for and stewarding Charitable Trusts and Foundations to raise funds for our Community and Outreach work and Play Your Part capital campaign. The focus will be on grants of up to £5,000. The post will also offer administrative support to the department focused on mid-level giving (Vanbrugh Supporters and Guardian Angels).
The post holder will be responsible for the accurate recording of income related to Trusts and Foundations, working closely with the Head of Creative Learning and Director of Development (DoD) to identify fundable propositions within the theatre. You will assist in the planning and delivery of donor events for Vanbrugh Supporters, Guardian Angels and current and potential Major Donors, helping to ensure a culture of continuous cultivation and engagement. You will work closely with the DoD to enable the charity’s artistic, community and organisational aspirations.
This post is full time, though for the right candidate, a pro-rata 4-day equivalent will be considered.

Never afraid to ask questions but equally enthusiastic about looking for your own solutions. DUTIES & RESPONSIBILITIES
Database and record keeping
· Assisting in the maintaining of donor records on the CRM.
· Recording and reporting on donor activity as directed.
· Responsible for maintaining financial data, and production of written and verbal reports as directed.
Office administration
· First point of contact for external enquiries.
· Internal liaison with the Marketing Office and Finance Office.
· Assist within the Development Department, carrying out other duties as reasonably required.
· Administration of the Development Committee including minute taking.
Fundraising
· Write applications and evaluation reports to Trusts and Foundations for grants up to £5k in support of the theatre’s activity with a major focus on the work of the Creative Learning Programme.
· Assist with running fundraising appeals as required.
· Maintain records of funds applied for and grants awarded; manage a calendar of application and report deadlines.
· Work with the Marketing Office and Finance Office to provide funding information for promotional purposes and to report gifts and grants received.
· Researching prospective Trust and Foundation supporters and assist with the identification of potential sources of grant funding.
· As required, assist with the production of case for support literature for funding applications.
· Gather briefing and background information for face-to-face prospect meetings.
· Assist with cultivation and stewardship events as required.
· Assist with donor needs and requirements, including booking of tickets for shows for higher level Vanbrugh members and Major Donors.
· Working with the DoD and Fundraising Associate to increase the number and value of Vanbrugh supporters annually to agreed targets, ensuring regular communications with donors and Vanbrugh members to enable them to recognise the importance of their support including the quarterly newsletter, Centre Stage.
· Stewardship and cultivation of the Guardian Angels, the theatre’s regular giving scheme for lower-level donors. Working with colleagues aiming to increase the number of Guardian Angels annually and increasing their base level donations.
· Work with colleagues in Box Office, Marketing, Catering and Front of House in the facilitation of events for the department and encourage and support a culture of fundraising within the Theatre.

· Demonstrate an understanding of the theatre’s values, ethos and mission and to promote these through everyday practice in the role.
· Comply with all legislative, regulatory and policy requirements as appropriate.

The opportunity
Oxford Physics is one of the top five Physics departments in the world. Our academics observe the wonders of the Universe from the very big to the very small: from seeking planets with the potential for life outside the solar system, to undertaking some of the most delicate experiments in quantum physics. Physics has applications in so many fields, including biology and nanotechnology, to find new ways to treat cancer; the development of new materials to generate green energy; and the understanding of climate science, with its impact on the Earth. The Physics Department is active in developing these applications in part through a strong innovation culture that has created nine new companies since 2018, with several more in the pipeline.
Philanthropy has played a key role in enabling the ambitions of the Department and wider University, and we are seeking a talented fundraiser who is excited by the opportunity to raise money to support ground-breaking research that tackles the world’s hardest challenges; to enable students from around the world and from every background to come and study at Oxford; and to help promote the public understanding of Physics. The department has a well-established alumni programme and a very active and supportive development board that you will work closely with. You will therefore need to bring:

Overall, the orchestra is funded by a mixture of income generated by concerts in the UK and abroad, royalties and other residuals, Orchestra Tax Relief and a large group of private donors (individuals and trusts & foundations). AAM does not receive regular public funding, though the current season marks the beginning of a four-year collaboration with the Arts and Humanities Research Council which will have a significant impact on the core funding of the organisation, as well as our ability to deliver several extraordinary projects.
Individual giving at AAM is supported by three membership schemes: Academy, Associates and Friends. Together, these make up the orchestra’s closest group of supporters. These individuals are at the heart of our work, and we are committed to developing deep and long-lasting relationships with them all. Alongside membership, the AAM Legacy Circle was established in 2013 to recognise AAM supporters who have informed us of their intention to remember the orchestra in their wills. Dame Emma Kirkby, one of AAM’s most distinguished collaborators, is the Circle’s Founder Patron. To date, the vast majority of individual giving has been from UK residents, though we plan to explore investment strategies in the coming years to increase our presence in North America, hopefully driving capacity for giving there.
AAM has an established track record of generous support from trusts & foundations, as well as from public funders. The DARS Data and Migrations Team, a part of the wider DARS Support Centre based in the University Development Office, is responsible for modelling, monitoring, assuring and improving the quality of data held in the DARS database. We also provide user support within a wide range of areas, including migrations, reporting, compliance and governance.
Reporting to the DARS Data & Migrations Team Lead, you will assist with important data-related inquiries, work on reporting and analysis of data quality issues on DARS, and provide expert guidance to existing and newly-migrated teams on the best ways to assure and maintain the quality of their data. The role will also involve supporting the building of and transition to a new CRM system and the delivery of future data migration projects. The Society is often described as a ‘hidden gem’, with a small but highly valued audience. However, given the dangers facing the natural world today, our community of nature enthusiasts has never been more needed. We have aspirations to grow and diversify our membership, open up our building to new audiences, expand our education and public programmes, invest in research grants, and so much more. Having recently secured our historic home in Burlington House for the next 999 years, launched a new strategy and revamped our governing documents, we have a strong and stable foundation upon which to build an ambitious programme of activity.
About the role
A thorough Membership Review was undertaken during 2024 to address several key Linnean Society objectives in the new strategy: (1) to grow, diversify and support our members to expand their capacity in support of our mission; (2) to develop income streams including philanthropy and legacies to ensure financial sustainability and expand our programmes; and (3) to mobilise our membership to be ambassadors and advocates for nature.
The appointment of this new post is one of the recommendations in the Review. The postholder will develop and implement a new membership and fundraising strategy that delivers the above Linnean Society strategic objectives, in consultation with the CEO. The Review will provide useful data and insights towards the delivery of these strategic objectives.
The post-holder will be responsible for membership development (acquisition, retention and advancement) of our community of members, comprising Fellows and Associates, and play a vital role in helping to build a vibrant, active and engaged community. They will also be responsible for developing a donor journey, including a clear and compelling case for support, and a legacy giving programme.
As this is a new role for the Linnean Society, the postholder will have the opportunity to have a real impact, helping to grow and protect the Society. They will report to the CEO and are expected to be a collaborative and active member of the Senior Management Team.
Main Duties
Strategic
- Working with the CEO and colleagues across the Society, the postholder will be responsible for developing and implementing a new Membership and Fundraising Strategy, with associated plans and budgets.
- Set, manage and monitor annual membership and fundraising plans and budgets – including activities, targets and return on investment – and provide quarterly reports.
- Develop the Linnean Society’s donor journey and ‘ladder of giving’, promoting giving from one-off donations through to higher level gifts and legacies.
- Develop a compelling case for support.
- Act as Secretary to the Fellowship Committee, engaging new Fellows in the mission of the Society and identifying those who can support in a significant way.
Operational
- Chair the new Membership Working Group comprising staff from across the Society to deliver the recommendations in the Membership Review.
- Responsibility for the entire membership journey, managing all services for acquisition, engagement and retention, including member communications.
- Act as first point of contact for all members’ queries in relation to their membership and be the membership champion within the Society
- Work closely with the Events & Communications Manager to devise an annual events schedule that appeals to existing and potential future members.
- Maintain accurate membership, donor and legacy data and records using the Society’s CRM system.
- Conduct regular membership surveys to understand what our members value about their engagement with the Society.
- Seek out and develop philanthropic relationships with individuals, grant-giving trusts and foundations whose interests align with the Linnean Society.
- Enable the donor journey with dedicated stewardship.
- Create a legacy ‘circle’ programme with ongoing communications and activities to engage and retain legacy ‘intends’.
- Create and maintain relevant web pages.
- Work with SMT colleagues to create compelling applications to grant-giving trusts and foundations to support the Society’s work.
- Perform data interrogation to discover prospects, trends or customer level insight, practicing and nurturing a culture of horizon scanning and innovation.
- Maintain effective processes to ensure good communication, transparency and efficiency.
- Lead on budget management for Membership and Development, including setting targets and forecasting fundraising income, working closely with the Head of Finance and SMT colleagues.
- Monitor, evaluate and report on annual plans against agreed targets.
- Provide timely information and reports to the CEO, SMT, Council meetings and sub-committees, as required.

Essential
- Educated to degree level or equivalent experience.
- Successful track record of managing and developing a membership programme including the delivery of membership or fundraising events.
- Experience of writing inspiring and compelling appeal literature and membership communications.
- Experience of creating a compelling case for support and/or donor journey with a demonstrable understanding of the hierarchy of access.
- Ability to develop and implement fundraising plans and strategies to meet income targets and deadlines.
- Experience of solicitation of HNW and grant-giving trust and foundation prospects and donors.
- Experience of proposal writing for philanthropic support from individuals and/or grant-giving trusts and foundations.
- Ability to carry out research and benchmarking on prospective membership and fundraising initiatives.
- Knowledge of legacy fundraising and administration.
- Excellent communication and interpersonal skills (written and verbal).
