KEY JOB RESPONSIBILITES
- Processing grants-related payments, working alongside the Grants Manager and other finance teams in the Trust, to investigate and resolve any discrepancies.
- Exporting grant and payment information from the Grants system and assisting with the reconciliation of the grants and the accounts systems as required.
- Maintaining the grants database and other records as necessary, ensuring systems are kept up to date and correspondence for grant applicants and suppliers are filed and stored in accordance with appropriate Data Protection requirements.
- Assisting in the processing, monitoring and follow-up of charity grants, including corresponding with grant applicants to obtain appropriate information to support the grant making process.
- Produce monitoring reports for the Senior Management Team and Grants Manager.
- Provide support and guidance to NUH staff and to the Charity’s fund advisors, offering advice on appropriate charitable funds expenditure in line with Charity Guidelines and the Charity Commission’s donor intent guidelines and legislation.
- Liaison with hospital staff and charity fundraisers in relation to donor intent, including assisting with the fulfilment of Charity Grants and procurement of small items.
- Be the first point of contact for small grants, participating in Trust engagement and providing support to applicants and grantees as required. Deputising with the administration of the grant applications and awards process in the absence of the Grants Manager.
- Undertake other work in support of the Charity’s objectives and any other duties identified by the Charity Executives and/or Grants Manager.
GENERAL DUTIES
- Providing effective day to day administrative support covering the Charity phone line and jointly monitor the Charity Grants inbox ensuring all emails are answered or distributed as required.
- Providing cover arrangements in relation to general charity administration including opening post, ordering stationery, credit card purchasers, receiving and counting donations (cheque and cash) from staff and other donors in accordance with charity procedure.
- Meet and greet donors and visitors as required, and ensuring that a customer-focused approach is adopted at all times to maximise the opportunities of encouraging donor giving.
- Assisting new members of staff and providing absence cover for other Finance team members as agreed from time-to-time.

Summary
The successful candidate will be responsible for overseeing our Project Learn Hive, ensuring timely delivery, managing the project budget, coordinating resources, and ensuring adherence to safety standards. This role requires a hands-on leader with strong communication skills, project management experience, and a deep understanding of the construction process.
The main purpose of the role is to ensure the compliance of Health and Safety, adhering and reviewing our policies, line managing our maintenance team and ensuring we are compliant with current legislation.
Overseeing and agreeing on main contracts, managing building contractors, proactively supporting our woodland strategy, and managing the facilities and maintenance team to ensure that the grounds are always presented well for our staff and learners and safe.
Responsibilities:
Project Planning

Develop comprehensive project plans including timelines, budgets, resource allocation, and construction methods. Ensure the building project aligns with the overall vision and objectives of the charity

Budget & Cost Control: Prepare and manage the project budget, track costs, and identify opportunities for cost savings while maintaining the highest standards of quality and safety

Oversee and manage the charity's large-scale capital project, ensuring its successful planning, execution, and completion within budget and timeline

Quality Control: Monitor the quality of work performed on-site, ensuring compliance with building codes, safety regulations, and project specifications

Scheduling & Time Management: Oversee the project schedule to ensure deadlines are met, and work with various teams to resolve delays

Stakeholder Communication: Act as the primary point of contact for stakeholders, providing regular updates on project progress, challenges, and solutions. Maintain strong working relationships with clients, subcontractors, and other stakeholders

Risk Management: Identify and mitigate risks associated with the project, including safety, legal, or logistical concerns

Regulatory Compliance: Ensure that all necessary permits and approvals are obtained, and the project complies with all local building regulations and standards

Health and Safety

Overseeing the compliance of and including associated record keeping, for the Health and Safety of the site, including all statutory requirements for COSHH, Fire, waste transfer, legionella compliance, equipment training records etc

Ensuring that facilities meet government regulations including, environmental, Health and Safety standards.

Overseeing our Woodland Strategy and ensuring we are fulfilling our responsibilities for our SSSI we have in our care

Advising on increasing energy efficiency and cost-effectiveness

Drafting reports and making written recommendations to SMT and/or the board on a range of topics related to the post

Support the development of the organisational health and safety management systems

Undertake regular and periodic safety monitoring on site and ensure actions are closed out as required

Work with the CEO in liaising with the HSE on any RIDDOR notifiable occurrences and conducting any relevant near miss, incident & accident investigations to incorporate any lessons learnt into the organisations working practices
General

Ensuring all Policies are in place and reviewed on a regular timely basis. Identifying gaps and writing new policies and procedures where appropriate

Liaise with statutory/non statutory bodies, for inspection purposes, ensuring all follow up actions are completed

Developing the business continuity plans, introducing them and embedding them into the organisation. Once embedded ensuring ongoing maintenance.

To keep equipment inventories up to date and manage statutory inspections, maintenance and equipment servicing databases

About the role:
This role is based at our office in Preston covering the West Lancashire area, once you have completed training & probation period you can apply for hybrid working, all travel costs to and from appointments from your office base will be reimbursed.
As an IDVA you will be:
- Focusing on victims at high risk of harm & will provide a pro-active, short to medium term crisis intervention service through individual safety planning, advocacy, emotional and practical support.
- Supporting victims face to face or by telephone to access services to keep themselves & family safe.
- Developing individual safety plans to meet client's needs as identified in the needs & risk assessment.
- Providing advocacy, emotional and practical support and information to victims including legal & civil options, housing, health & finance as well as support through the criminal justice system.
- Participating in multi agency meetings providing the voice of the client & ensuring actions are followed up.
You will need to:
- Have a good understanding of domestic abuse & the impact on victims and their children
- Understand risk assessment, safety planning & risk management for victims and their children
- Have knowledge of Safeguarding issues, and the legal responsibilities surrounding these issues
- Have theoretical, practical and procedural knowledge of civil and criminal justice remedies for victims and their children.
- Have experience of working within a multi-agency and legislative framework.
- Have experience of managing a complex caseload, able to prioritise to deal with competing demands.
- Have strong crisis management skills and the ability to deal with stressful and difficult situations.
- Have excellent communication, negotiation and advisory skills, both written and verbal.
- Demonstrate the ability to use IT applications competently including, Microsoft Word, Excel etc. and Case Management systems in order to keep accurate records and monitoring your performance.
This role involves regular travel and due to the location, a driving license and access to a vehicle is considered an essential requirement.
