We are looking for a proactive assistant to manage the essential administrative tasks which ensure the delivery of effective Sightsavers campaigns within the Individual Giving (IG) Acquisition team. In this role you'll gain great exposure to above the line campaigns such as RTV, acquisition programmes and work within an establish and knowledgeable team.
Key duties will include:
- Management and monitoring of team processes, including consistent filing of electronic documents, quality control (call listening, testing numbers during set up, etc) and alerting the team to critical dates
- Supporting the IG Senior Managers and Executives with organising supplier and internal stakeholder meetings
- Managing digital advertisement campaigns with support from the team
- Managing events enquiries
- Managing payroll giving processes
- Providing day to day support to team with ad-hoc tasks and projects
- Taking an active part in the department, contributing to team meetings and the annual planning cycle
- Shadowing members of the team to build up a solid knowledge of fundraising campaigns

About the role
The Communications Assistant will support the communications team with the maintenance and management of our website, parent/carer newsletters and other communications. We are recruiting for a new role providing EA support to the CEO and administrative support across the organisation.

Role Overview:
You'll be the go-to person for transforming our unique venues – from the Pump House Gallery to the Battersea Park Bandstand and Bowling Green, and the Wandsworth Civic Suite – into dream settings for weddings and private events. The role will also be responsible for proactively selling our wedding spaces and managing enquiries all the way through to event delivery and ensuring that health and safety procedures are adhered to when on-site.

Main Duties/Responsibilities:
Sales
- Generate leads, convert enquiries into bookings through quotes and site visits and build strong client relationships along the way
- Collaborate with the Deputy Head of Events and weddings team to create fresh event packages and initiatives that complement existing income streams
- Actively build new sales pipelines by leveraging networks and community connections
- Manage all enquiries in Priava, keeping track of venue availability, quotes and site visits
- Drive revenue growth by exceeding income goals set by the Head of Events
- Occasional evenings and weekend site visits for prospective clients across our venues
End-to-end Event Management
- Support the Weddings Team in managing customer queries, feedback and delivery
- Oversee event management ensuring all event paperwork complies with Event Policy requirements
- Ensure events are properly staffed, and staff are fully briefed on client needs
- Liaise closely with the Events Team and other park services to ensure seamless coordination of the entire events program
- Line management of Events Coordinators within the Weddings function and the Events Support Assistant
- Occasional event delivery dependant on department / team needs
Event Production
- Support the Head of Events and team with the delivery of Enable-produced events throughout the year
- Assist with the physical setup and dismantling of events. Including managing contractors, suppliers and event equipment
- Create, manage and deliver a program of Community Events Admin and Finance
- Log venue bookings, budgets, and all recorded income in Priava
- Create client invoices, liaise with the Finance Team, and follow up on invoices
- Seek quotes aligned with Enable's Procurement Code and raise purchase orders
- Achieve targeted income through smart booking selection and balancing the needs of public use venues
- Carrying out other duties as directed by the Deputy Head of Events
Skills and Experience:
- Previous wedding / venue management experience with demonstrable experience of end-to-end events management
- Experience in budget management
- Line management experience in a supportive collaborative way
- Comfortable using essential office software like Outlook, Excel, and other databases
- Tenacity to seek out potential new business and client opportunities and confidence to work independently and lead from the front
- Patience and ability to negotiate professionally with suppliers
- Proactive approach and pride yourself on going the extra mile to create the best 5* customer experience as possible

The part-time Finance Assistant position is a new role created to strengthen the in-house finance operations of the Talbot Village Trust. Reporting to the Finance Manager, the Finance Assistant will be an integral part of a small, committed team, collaborating with a diverse range of contractors and suppliers, charities and local impact organisations as part of the Trust's vision to support people to live well in south-east Dorset.
The charity's finance function is maintained between the Trust's external estate advisors, who oversee the management of the Trust’s land and properties, and the internal finance team. The internal team is responsible for managing the monthly payment process, preparing management and year-end accounts, and conducting financial reporting and analysis as needed. The postholder will maintain precise financial records in accordance with the charity's financial procedures and processes, thereby enabling senior management and trustees to make well-informed decisions.
Hours: 21 hours per week.
Salary: £25,000 p.a. pro rata
The selected candidate will need to complete a standard DBS check.
This part-time position is available for an immediate start.
Key Responsibilities:
Finance
- Process supplier and contractor invoices
- Reconcile supplier accounts and statements
- Address and resolve reconciliation discrepancies promptly, including tracking down missing invoices
- Handle supplier disputes and enquiries
- Establish new supplier/subcontractor accounts and update existing account details in the purchase ledger
- Oversee and process credit card transactions
- Organise monthly payment schedules, including grant donations to charity awardees
- Conduct monthly reconciliations
Financial Operations
- Manage the accounts email inbox
- Identify opportunities to improve internal processes within the finance function
- Assist with the annual audit
General
- Perform any other relevant ad-hoc tasks to support the finance team as needed.
PERSON SPECIFICATION
Essential
- Demonstrated experience in a finance-related position
- Exceptional attention to detail
- Strong IT information systems skills e.g. Excel, Word.
- Excellent written and oral communications skills.
- Natural team worker with high standards of integrity and professionalism
- Self organised, proactive & positive approach to work
- Numerate and used to dealing with financial-related queries
- Relationship building and relationship management skills
Desirable:
- Qualifications: AAT Level 4 or working towards.
- Experience of working in charities or similar organisations

This role also involves covering for the Post Office Supervisor and training will be provided on using the Post Office system.

Excellent written communication, copy editing and proofing skills are essential for this post, and you will require to have previous experience in writing for a variety of different media channels. You will have the ability to convey complex medical information in accessible language and knowledge of the steps involved in producing information. You’ll have line management experience and the ability to review and give feedback on others’ work. Previous experience of working in cancer healthcare would be an advantage.

As Patient Information Manager you will have the opportunity to lead, develop and diversify the range and type of patient information we currently produce, working with a range of internal and external stakeholders. Managing the Patient Information Team, you will oversee the quality of all resources produced, ensuring compliance with recognised standards and internal brand requirements.
The Patient Information Manager will also be responsible for managing the information events team who hold digital and in person events for those affected by myeloma, working with the team to plan the programme for all events.

About the role
Your key purpose will be to lead the Assistant Shop Manager and a team of volunteers to maximise sales, deliver excellent customer service and ensure that the shop premises and assets are maintained to a high standard, according to legal requirements and Shooting Star Children’s Hospices (SSCH) policies and procedures.
About you
This role requires experience of line managing employees, experience in managing a shop including knowledge of retail and health and safety legislation and administrative/cash handling experience.
You will also have an ability to deal with customers and maintaining a high level of customer service, have good verbal, written communication skills, as well as being comfortable using IT and EPOS reporting. You will have an ability to motivate yourself and others, have excellent organisational skills and be comfortable working under pressure and dealing with changing priorities.
