Job Title: Finance Assistant
Reporting to: HQ Finance Manager
Salary: £24,000 - £26,000
Hours: 37.5 per week
Principal Location: London, hybrid with a minimum of 3 days and moving to 4 days in the office per week.

Part 1: Role Purpose:

This role is a great introduction to the world of charity finance as a key member of the busy HQ finance function. The role is primarily focused on HQ finances and will also work with colleagues across our global finance team. The role focuses on accounts payable and as the finance assistant develops in the role will offer the chance to work across a number of finance functions, including: treasury, accounts receivable, month end close, management accounting, supporting year end audit. This role provides a great opportunity to experience the full breadth of finance work in a charity across all functions in a varied and interesting role, learning quickly and making a real difference from day one.

Part 2: Key Responsibilities:

1) (60%) Accounts Payable

• Recording all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system ensuring that they are all appropriately coded including the correct cost centre, GL code, projects and donor codes.
• Ensure that all supporting documentation for all transactions are uploaded into the finance system.
• Ensuring that all invoices for payment are appropriately approved by budget holder.
• Running short term cash flow forecasting and recommending bank account transfers including moving cash held in reserve into current access accounts. Looking for value for money in Foreign Currency transfers by choosing the best means of payment from available payment platforms.
• Ensure timely payment of all invoices by managing at least two payment runs a week and additional runs as required; setting up payments on online banking platforms and sending out requests for payment approvals to payment authorisers and verifying that all payments are fully approved by the deadline set.
• Once the payment is made, allocating the payment against the invoices in the Finance system and reviewing to ensure that all payments are allocated correctly.
• Reviewing staff expense claims to ensure that all supporting documentation is provided before payment.
• Supporting monthly staff credit card reconciliations to run the monthly statements.
• Monthly creditor account reconciliations to ensure correct allocation of payments to supplier accounts and validating any open account balances.
• Any other responsibilities relating to Accounts Payable.

2) (20%) Month end support and general support

• Complete bank reconciliations each month for all group bank accounts.
• Uploading monthly exchange rates to the Finance System
• Ensuring supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist in preparation of internal reports.
• Assisting with compilation of information for Gift Aid returns.
• General support and assistance to the team including administrative duties and managing the office post.
• Other ad hoc support to the wider operations team as may be required.

3) (20%) Accounts Receivable

• Supporting with work on accounts receivable including accessing, downloading and saving in a systematic manner reports from donor portals, bank account and other sources.
• Analysing and coding income reports in Excel and uploading it to the Finance system on a timely basis, at least weekly.
• Maintaining details of cheques received and paying into the bank account.
• Issuing donor receipts.
• Raising donor invoices and requests for payments.
• Income and customer account reconciliations.
• Any other responsibilities relating to Accounts Receivable.

Hybrid working

This is a hybrid role. You will be working from home and join Team Together Days in a co-working space in London 2-3 individual days each month. These days are considered commuting days. Full time: 35 hours per week - these roles will be based onsite in the community 4 days per week and work from home 1 day.

You will work with clients (managing a caseload) who have mental or physical health support needs, to assist them in securing sustainable paid employment in line with their preferences. You will deliver the IPS approach (for which training will be given); providing person centred support and guidance to clients, whilst building positive relationships with local employers to enable clients to move into suitable employment. Campaigns Intern

Role Summary:

PETA’s campaigns team is at the core of the organisation – it’s a busy group of advocates pushing for an end to animal suffering with eye-catching, bold campaigns calling on the government, the corporate world, and the public to take action for animals. Our priorities include campaigning against the use of animals for experimentation, food, fashion, and entertainment. As our campaigns intern, you’ll have the opportunity to assist these efforts on the ground as well as in the planning phase. If you share PETA’s values and want to gain experience in a fast-paced campaigning environment, we can’t wait to hear from you. We’re looking for someone who can commit to three or four days a week (days to be agreed in advance) for a period of six months.

Operations Coordinator
Responsible to: Director of Finance & Risk

We are seeking an individual with strong administration skills to join our team in the role of Operations Coordinator and support our mission to end homelessness.  This role will support the administrative and operational functions within our offices in Edinburgh and Glasgow, together with our coffee shops and Village, whilst being the first point of contact for inbound enquiries. 

We are looking for a well organised individual, with good problem-solving skills and a can-do attitude to become part of our friendly team and are keen to learn and develop. 

What you’ll be doing:

· Ensuring our offices in Edinburgh and Glasgow are fit for purpose, providing an environment that is welcoming to both staff and external visitors.

· Managing and responding to inbound email and telephone enquiries.

· Manging shop related customer orders, inbound enquiries and invoicing.

· Supporting elements of finance administration, especially during holiday periods. 

· Booking travel, accommodation, training courses and supporting colleagues with other business-related purchases.

· Maintaining the health and safety maintenance tracker and supporting colleagues with actions and maintenance required in each of our operational units and at our Village.

We are seeking a Programme Officer to join our Work Experience Team. 

This is an excellent opportunity for an organised, enthusiastic and confident individual to join us in a role which has responsibility for ensuring suitable and safe work experience placements are sourced, managed and available for students. Our Work Experience programme provides a taster of the ‘World of Work’ helping to raise career aspirations and support academic progression.  Our team work with local and central London employers and education providers to source, manage and co-ordinate placements for over 5,000 young people each academic year.   

Key Responsibilities of the role include: 

• To secure, update and manage work experience placements.
• To handle telephone enquiries about the work experience programme, communicating with teachers, employers, parents and schools.
• To be a key point of contact for schools/educational establishments managing and overseeing the work experience process.
• To produce information and provide support to the Head of Work Experience and other team members.
• Completing one-to-one interviews with students with additional needs to ensure suitable placements are secured.
• Managing placements using a bespoke IT system.

As a Locum Bank worker, you will provide effective day to day shift cover that supports the aims of our Projects and encourages the full participation of our clients. The shifts could be in our Accommodation services, Floating Support services, Refugee resettlement services or in our ex-offenders pathway. You will also take part in all aspects of the daily running of the Projects, including working with our clients in line with their agreed support plans.

You will also be comfortable working within a strengths and recovery framework (training provided) and ensuring that all aspects of your work, are delivered to the highest standards, and are fully compliant with organisational values and contractual requirements. 

In return we will provide you with an online and project specific Locum induction and core e-learning (Fire Safety, Safeguarding Adults & Children, Data Protection, Equality, Diversity & Inclusion) to equip you with the tools to successfully carry out your work practice.

Early shifts: 8am - 3:30pm/4pm and /or Late shifts: 3:30pm - 10:30pm and /or Night shifts 9.30pm/10:00pm- 7.30/8am- available.

Pay range: £13.15 - £14.49 per hour. All Locum shifts are paid at base £13.15 per hour rate unless a higher rate with additional case working responsibilities is agreed with project manager.

Young Carer Worker, Bradford District

£23,725 - £26,021 (FTE)

(37 hours per week)

You will be supporting the social and emotional wellbeing of young carers (age 5-18) in Bradford District through a mixture of one-to-one and group/activity work.

Proven ability in improving the wellbeing of children and young people is essential, including setting up and running activities for children and young people, individual and group work skills, knowledge of the issues facing young carers and the ability to engage with children and young people in a variety of ways.

The post will require some early evening work and flexibility regarding activities with young carers during school holidays. There is flexibility to work some hours at home as well as in community settings, schools and our office bases.
