Westway Trust is looking to appoint a dynamic and proactive Finance Officer who will maintain the sales purchase and cash ledgers (banks and petty cash) of the Westway Trust finance system, working within a friendly, busy finance department.

You will be a motivated individual with a minimum of two years’ experience working in a busy accounts department, with good organisational and administrative skills.  You will also have a high standard of numeracy and will be proficient in using MS Office packages, especially Excel.

Key responsibilities of the role include but are not limited to:

• Receive and record suppliers’ invoices, reconcile suppliers’ statements to the purchase ledger and be the first point of contact with suppliers.
• Setup new Suppliers and Debtors.
• Keep creditor listings up-to-date.
• Sales ledger Credit control and keeping debtors list up to date.
• Raise fortnightly electronic and manual payments to suppliers, including to government institutions such as HMRC. 
• Reconcile credit card statements.
• Posting of all bank and investment statements.
• Reconciliation of supplier’s statement and advising of any accruals and prepayments.
• Process staff expenses.
• Maintain invoice filing and archiving.
• Post transactions to the ledgers.
• Raise sundry invoices and collecting payment.
• Maintain electronic banking data and posting income to accounting software.
• Preparing banking for rent and non-rent receipts.
• Advising budget holders on the processes of invoice, purchase order and authorisation on Focal Point.
• Support Senior Finance Officer with month-end postings, reconciliations, year- end schedules and annual budget as required.

Experience, knowledge and skills:

• A minimum of two years’ experience in a busy accounts department.
• A high standard of numeracy.
• Experience of accurate data input or maintaining a computerised accounts system.
• Highly computer literate, with practical experience of using MS Office packages, especially MS Excel. Confident to prepare MS Excel based templates and tools to support the annual budget round and quarterly forecasting.
• Ability to follow agreed financial procedures including credit control, raising invoices, maintenance of nominal ledger, bank reconciliations and electronic banking.
• Good organisational and administrative skills, can demonstrate ability to prioritise work under pressure.

Desirable 

• Knowledge of computerised accounting packages, preferably Access Dimensions and Focal Point 
• Studying towards AAT qualification.

· Operational management: Direct responsibility of the charity’s core operational processes including financial management, HR, health and safety, compliance, governance infrastructure development and reporting.

Role Overview

This role will be responsible for supporting the Director of Operations to deliver the Community Services Strategy for the Trust in this new and exciting role.

The Head of Community Services will be responsible for overseeing and leading a comprehensive range of services and programmes that foster a supportive, engaging, and vibrant environment for senior residents. The role involves the management and development of social, recreational, health, and wellness services, ensuring the wellbeing of residents, enhancing their quality of life, and fostering a sense of community within the village. This will include overseeing the village shop, club house and bar functions, and a new café which will offer psychosocial support to this vibrant community, in addition to supporting the resident led activities within the village

You will manage and work alongside teams across volunteering, hospitality, and support to deliver activities and services for the mental, physical and spiritual wellbeing of our residents in order to reduce loneliness and isolation. You will also take a lead on implementing the dementia strategy for the village working closely with the Registered manager of our extra care facility and the head of housing.

This is a wide- and far-reaching challenging role but with lots of scope for innovation. As a new Registered Provider of Social Housing, the Trust is moving into a new era but wants to retain the ethos of almshouse charities, continuing to promote the health and wellbeing aspects of this special community where we aim to enable our beneficiaries to age well.

With the support of the Director of Operations, you will identify and deliver projects to generate income for future development of Community Services. What will you be doing?

Main Responsibilities

· Drive and deliver on the implementation of strategic plans that support the move to a predominantly funded/volunteer supported and co-produced community, increasing income and reducing costs.

· To work alongside the Head of Marketing and Communications, and Trust fundraising consultants to ensure that our charitable status, fundraising efforts and community success stories are shared widely.

· Recruit, train, and develop staff to ensure high levels of service delivery and resident satisfaction.

· Foster a positive work culture focused on resident-centric care and employee collaboration.

· Report on programme performance, resident feedback, and staff performance to the village management team working closely with the Head of Housing. Prepare reports and polices as required

· Ensure community services comply with relevant health, safety, and regulatory standards ensuring regular audits of designated areas are completed and risk assessments conducted.

· Promote a safe environment for all residents, staff, and visitors, ensuring policies and procedures are followed.

· Ensure open and effective communication with residents and families regarding available programmes, services, and any changes.

Job summary

The Trust, Statutory and Lottery Fundraising Team is part of the Fundraising, Marketing and Communications Department and is central to Whizz Kidz contributing to its ambitious goal of ensuring that every young wheelchair user in the UK is mobile, enabled and included. The five-strong team is responsible for delivering over £3m a year for the organisation’s services.

As Trust Fundraising Officer you will be growing income through managing smaller funders and building close relationships with them, issuing small Trust mailings, researching new funding opportunities and developing case for support liaising with colleagues in service teams.

You will also ensure that donor records are maintained accurately on the fundraising CRM, process bank and cash donations and thank donors promptly and appropriately.  The role will involve supporting the maintenance of the team’s administrative systems and the team’s move to a new CRM – Microsoft Dynamics.

The small Trust donor pool is a well-established income stream for Whizz Kidz with content for proposals readily available and warm funders interested in supporting our work. The role receives advice and guidance from the Trust Fundraising Manager on the day- to- day work and the opportunity to develop experience with a range of funders. You will use your skills of relationship management to make a real difference to the lives of young wheelchair users. Finally, you will join an ambitious, young-person focused and collaborative fundraising team, keen to share success and support one another.

The person

The ideal candidate will have experience and understanding of Trust fundraising including preparing successful fundraising proposals and reports, effectively managing funder relationships and strong funding research skills. They will also have experience of managing fundraising administration, income processing and data management with skills using a fundraising CRM. They will have excellent writing skills in relation to proposal and report writing, be a confident communicator with an ability to engage funders with the work of Whizz Kidz, manage their time effectively and prioritise their own workload.
