Salary £25,500 - 29,500 per annum depending on experience pro rata, including London allowance

Charity People are delighted to be partnering with Back Up Trust, the only charity in the UK with dedicated services for children and young people with a spinal cord injury, to recruit an Operations and Office Coordinator.
The Back Up Trust's mission is to empower individuals impacted by spinal cord injury by delivering services that promote confidence, independence, and positive adjustment. In 2023/24, 4,400 people across the UK sustained a spinal cord injury, one person every two hours. Today, there are an estimated 105,000 people living with a spinal cord injury in the UK. Back Up want to support everyone affected by spinal cord injury and in 2023/24 supported more people than ever before, reaching more than 2,500 individuals. The charity want to ensure their services are as impactful as ever and are tirelessly working to achieve their goals that people with spinal cord injury Live Confidently, Thrive at Any Age and Stay Connected.
The Operations and Office Coordinator will provide comprehensive operational support to ensure an efficient office environment, directly contributing to the effective management of services within the charity.
Key responsibilities
- Office Operations & Maintenance: Ensure the smooth running of the office by managing IT coordination, office supplies, post, meeting room upkeep, liaising with contractors, and overseeing office maintenance tasks.
- Health & Safety Compliance: Maintain a safe working environment by conducting DSE checks, fire alarm testing, water testing, and refresher workshops. Act as a Health & Safety marshal and lead fire evacuation practices.
- Executive & Meeting Support: Provide diary management and meeting coordination for CEO and senior management, including minute-taking, board pack preparation, and travel arrangements, and support full team and board meetings.
- Administrative & Volunteer Coordination: Manage volunteer applications and inductions, respond to general office enquiries, and support fundraising events with administrative assistance.
The operations and office side will be around 75% of the role, with around 25% of the role supporting the CEO with administrative work. You will need at least 12 months experience of working in an office environment.
You will need to demonstrate the following qualities, skills and experience:
- IT: Proven experience setting up laptops, monitors, docking stations, printers, and other IT office equipment. Confident with Microsoft Office especially Excel, for data tracking and reporting.
- Health and Safety awareness: Knowledge of basic health and safety practices within an office environment, including fire safety and ergonomic setups.
- Excellent communication skills: Strong interpersonal skills, able to liaise with colleagues, contractors, and suppliers effectively in person, over email, and on the phone.
- Highly organised: able to manage multiple tasks, conflicting priorities, and work under pressure, balancing important tasks with urgent demands. Able to work efficiently and to see how to make things easier and more efficient for people. Accurate with good attention to detail.
- A creative and proactive 'can do' approach to all areas of work.
- Administration experience: Setting up and/or improving administrative systems, particularly related to IT or office management.
