About the Role
This role is responsible for the smooth operation of the MSI global support office, including the procurement and management of office-related services, maintenance, health and safety, premises regulatory compliance, and stakeholder management. You will manage the office management and shared services budget and be responsible for supplier contract negotiation, oversight of works completion, close-out, extension, and renewal, while ensuring contractual changes are communicated to relevant stakeholders.
Where possible, you will carry out minor building and housekeeping maintenance with your team to maintain a safe, clean, and efficient working environment. Additionally, you will lead office refurbishments ranging from minor upgrades to major renovation projects, ensuring they are delivered on time, within budget, and with minimal disruption to operations. You will also be responsible for space management, optimizing the allocation and usage of office space to accommodate changing business needs, support hybrid working models, and promote collaborative and productive work environments.
In collaboration with the People and Culture team, you will play a key role in fostering an inclusive and engaging office environment that supports employee well-being and productivity. This includes planning and executing initiatives such as wellness programs, ergonomic workspace solutions, and access to mental health and well-being resources. You will also organize social and team-building events to promote collaboration, recognition, and a positive organizational culture.
You will develop and implement strategies to enhance office sustainability and efficiency, as well as contribute to diversity, equity, and inclusion (DEI) efforts in workplace planning. In this role, you are expected to proactively address employee concerns related to the office environment and facilitate feedback channels to improve services and engagement.
You will liaise with various team members, senior management, and suppliers to deliver tasks to a high level of customer satisfaction. This role involves managing the office management budget, reporting on monthly key performance indicators to the Global Director and senior executive board, and contributing to strategic initiatives that enhance employee engagement, satisfaction, and well-being while ensuring operational excellence.

To perform this role, you’ll need the following skills and experience:
- A seasoned facility management professional with BIFM membership and extensive training in Health and Safety, preferably NEBOSH-certified, with comprehensive and practical knowledge of Risk Assessments as well as Building, Electrical, and Mechanical Regulations.
- Comprehensive understanding of Health, Safety, and Environmental (HSE) regulations and their application in workplace settings, with experience ensuring compliance and conducting regular audits and inspections.
- Extensive project management experience, adept at leading and delivering facility upgrade projects, maintenance programs, and operational improvements within defined budgets and timelines.
- Skilled in contractor management, including selecting, onboarding, supervising, and evaluating contractors to ensure high-quality service delivery, compliance with health and safety standards, and adherence to agreed SLAs.
- Deadline-oriented with a proven track record in successfully managing service delivery against defined SLAs (Service Level Agreements) and KPIs to ensure optimal performance and efficiency.
- Budget management experience, proficient in Excel, with the ability to create budgets, analyze trends, forecast usage, and perform data manipulation to support strategic decision-making.
- Proven expertise in procurement and contract management, skilled at negotiating and managing service agreements, vendor relationships, and supplier performance.
- Strong experience in building maintenance provision and strategic planning to address operational and structural needs.
- Exceptional communicator (written and oral) with strong people management skills, capable of leading multidisciplinary teams and engaging stakeholders at all levels.
- Highly organised, self-starter with initiative, problem-solving skills, and a proactive approach to identifying and implementing improvements.
- Ability to be present at Conway Street, W1 premises five days a week to oversee operations and ensure service continuity.

Location: London (this is an office-based position).
Full-time: 35 hours a week, Monday to Friday (For UK based team members).
Contract type: Permanent
Salary: £46,000 – £59,600 per annum for UK based candidates. Discretionary bonus + benefits. For all other locations, the salary will be banded within the national context.
Salary band: BG 10
