Key Responsibilities:

Facilities and office administration

· Lead on all first aid and fire compliance duties

· Issuing and collating health and safety risk assessment forms to staff, organising fire, health & safety and first aid training as required

· First point of contact for staff re any office/building/equipment maintenance issues

· Liaise with landlord for office/building/equipment maintenance/health & safety matters

· Stationery, refreshments and printing replenishing and ordering

· Courier and postage bookings and arrangements

· Maintain a supplier contact list

· Processing, collating and reconciling credit card expenses

· Managing documents/files within the onsite storage area (crypt) and around the building

· Provide office induction to new staff, including requesting FPH/RCP passes, IT accounts, welcome pack including, IT & health & Safety induction and fire evacuation training

Events and Travel Administration

· Manage event registrations.

· Log and chase event registration RSVPs for external invites and issue joining instructions

· On the event day involvement and support including arranging set up

· Source venue space for FPH events and meetings to be held externally

· Identify and negotiate bulk accommodation for FPH events/conference

· Make travel and hotel arrangements for FPH Officers, Board members, Committee members and staff including taxi, rail, air and car.

· Identify, develop, implement and maintain administrative procedures/systems

Zoom administration

· Arrange zoom meetings and webinars as per requests, including sharing meeting details

· Log relevant meetings in the booking’s spreadsheet

· Host zoom meetings and provide support as required 

Membership Programme

· To provide administrative support to the membership team when required

· Assist with incoming membership queries/request

Workforce Programme (Revalidation & CPD) 

1. To support and administer the Faculty’s statutory duties relating to the revalidation of public health specialists including:

· monitoring and delivering the revalidation service

· responding to member and other queries in relation to revalidation.

· maintaining and updating the list of FPH revalidation appraisers

· liaising with external stakeholders, including the Academy of Medical Royal Colleges 

2. To support the development and delivery of a system of appraisal and revalidation for public health specialists from backgrounds other than medicine. 

3. To administer the Faculty’s annual programme of Continuing Professional Development (CPD) activity including:

· monitoring and delivering the annual programme

· maintaining and updating the CPD database

· processing annual CPD returns

· arranging annual training of CPD advisers

· supporting members in using the online CPD Diary

4. To administer the CPD annual review process including analysis of the review for the CPD Director. 

5. To provide administrative support to the CPD Committee including:

· organising and servicing meetings as required

· preparation of papers

· minute-taking and follow-up of action points

6. To deal with general enquiries and to assist with all routine tasks of the Education, Standards & Advocacy Department.

7. To deal with enquiries to a high level of customer service, replying, referring or responding as appropriate.

8. To liaise with colleagues elsewhere in the organisation to ensure good communication, coordination and collaboration.

9. Provide cover within the department as required and assist with general enquiries.

10.  Undertake any other reasonable activities as requested by the Deputy Chief Executive.

We are looking for a Community Support Officer to successfully continue this work in Scotland and Northern Ireland. Please note that there will be a requirement to travel between Scotland and Northern Ireland up to three times a year.

This post will be home-based in Scotland with frequent travel within the region including Northern Ireland, occasional travel around UK for attendance at events, plus travel approximately three times a year to Head Office Stroud, Gloucestershire.

· To manage the delivery of Young Marketeers in Newcastle in four primary schools

Background to School Food Matters

School Food Matters (SFM) exists to teach children about food and to improve children’s access to healthy, sustainable food during their time at school. We provide fully funded food education programmes to schools. Our experience delivering these programmes informs and strengthens our campaigns, bringing the voices of children, parents and teachers to government policy.

Young Marketeers

This much-loved programme was started in London in 2012. It is now running in 12 cities across England and is funded by the National Lottery Community Fund for three years.  The programme provides hands-on opportunities for children from primary schools to grow fruit and veg from seed to sell at their local market. Young Marketeers is also a platform for School Food Matters to promote food education to schools and communities as a way to support children to live happy and healthy lives.  Children learn the art of growing veg from seed, and market traders will share their secrets on how to create a winning market stall.  Primary schools will be visited by our gardener in March/April and then again in May/June and receive further tips on how to ensure a bumper crop. And in July, they head to the market to sell their produce, and to meet the mayor!

Key Tasks include:

· Recruit four schools to take part in Young Marketeers

· Build and maintain relationships with teachers, teaching assistants and senior leaders to ensure the smooth running of the project

· Build and support relationships with contacts in partner organisations

· Schedule, organise and deliver

o One assembly in each school

o Two food growing sessions in each school

o One market trader training session in each school

o Market Day in the city centre in July for four schools

· Maintain accurate records relating to the programme

• Complete monitoring and evaluation forms in accordance with instructions from our Evaluation team
• Take photos of workshops and events where possible

Performs Accounts Payable function; processes transactions in the accounting system and maintains accounts payable files for vendors. Primary point of contact for questions and assistance regarding entry and payment of invoices.

Essential duties and responsibilities:

• Subject matter expert on Unit 4 ERP System Vendor Master File and accounts payable, provide support to other Internews staff also entering invoices.
• Prepare and enter multi-currency invoices for all payment methods (Barclays wire Transfers, ACH, check, FX, Western Union, etc.), including review for proper coding and approvals.
• Review and research open payables to resolve outstanding issues prior to payment.
• Process recurring remittances according to corporate schedule, including payment of invoices entered by others.
• Processing payments and Provide payment confirmations to appropriate parties as necessary.
• Maintain AP vendor master records in accounting system.
• Organize and maintain A/P files.
• Research vendor payment history in response to queries from Internews staff and others.
• Cross trained as backup staff to other department functions, including PSC payment processing and expense reimbursements and AP mailbox cover.

• Maintain Asset Register incl Additions and Disposal, Monthly Depreciation calculation and posting the journals into the accounting system.
• Balance Sheet Reconciliations including Payroll and Bank Reconciliations before month-end close.

About the role

The role of the Policy and Communications Officer (PCO) is to support in building the capacity of RMC to advocate and address the root causes of problems faced by its clients by influencing our key stakeholders. The case recording system used by RMC to record information about clients and their issues, generates both statistical and qualitative information providing the evidence to support our work.

As one of the largest providers of free immigration advice in the country RMC is looking to;

- grow its influencing work regionally using the evidence from working with our clients

- undertake research into issues faced by our clients and explore recommendations and possible solutions, whilst providing feedback to our stakeholders on key issues

- support local and appropriate national initiatives, undertake advocacy and influencing work on local and national issues with a view to improve the lives of the clients we work with and drive positive change

The PCO will be responsible for establishing systems to collect and collate, with the support of the front-line team, information and data pertinent to this work. In collaboration with the Immigration Department Manager, they will test and develop new initiatives to produce a model for social policy work that can be rolled out across RMC.

While the PCO will lead on production of evidence to identify key issues, tasked by the Immigration Department Manager they will also take responsibility for designing and writing materials internally and externally.

The PCO will also develop relationships with key stakeholders externally such as Universities, Local Authorities, Councillors, MP’s, charities, strategic migration partnership, observatories, etc.
