About the role

As an Admin & Accounts Assistant at Sightsavers, this role will be instrumental in ensuring the smooth operation of our office. The role involves providing essential support in day-to-day accounting, administrative, HR, and financial tasks.

The Admin & Accounts Assistant will work closely with our finance and admin teams, utilising solid understanding of accounting, finance, administration, and logistics to facilitate efficient office operations. Having keen attention to detail and organisational skills will be vital in managing various responsibilities, contributing to our mission of improving lives.

Principle Accountabilities

• Assist in maintaining accurate and up-to-date accounting and financial records.
• Process invoices, receipts, payments, and other financial transactions efficiently.
• Prepare vouchers using the SUN accounting system.
• Help reconcile bank statements to ensure accuracy.
• Maintain petty cash records and ensure proper disbursement of funds.
• Provide comprehensive administrative support, including scheduling meetings, managing correspondence, and overseeing vehicle operations.
• Assist with travel arrangements, including booking accommodations and organising itineraries for staff and visitors.
• Support procurement processes by obtaining quotations, preparing purchase orders, and tracking deliveries.
• Aid the procurement committee with related documentation.
• Maintain records of life and health insurance for each employee.
• Keep track of employee benefits and prepare final settlements at the end of employment contracts.
• Undertake any other tasks assigned by the SFSSM.
• Maintain and update employee records, including contracts, job descriptions, and increment letters.

About you

The Accounts & Admin Assistant will be a proactive and detail-oriented individual with a strong background in accounting and administration. They will possess excellent organisational skills and the ability to manage multiple tasks efficiently. With a solid understanding of financial processes, they will ensure accurate record-keeping and timely processing of transactions.

The ideal candidate will demonstrate strong communication skills, enabling them to liaise effectively with team members and external stakeholders. They will be adept at using accounting software and have a keen eye for detail, ensuring that all financial records are maintained accurately.

Jobholder Requirements

Essential:

• Bachelor’s degree in commerce, Business, Accounting, Finance, or a related field. If this qualification is not held, relevant experience in a similar role will be considered.
• Strong knowledge of accounting principles, as well as administrative and logistical affairs.
• Relevant experience in administration and logistics, with a focus on inclusivity and diverse backgrounds.
• Strong organisational and multitasking skills, with the ability to prioritise effectively.
• Excellent communication skills, both written and verbal.
• Ability to work independently as well as collaboratively within a team.

Desirable:

• Experience in a reputable organisation, demonstrating a commitment to professional development.
• Familiarity with accounting software and office management tools.
• Knowledge of procurement processes and best practices.
• Experience in supporting HR functions, including employee record management.

MAIN PURPOSE OF THE JOB

The role:

We’re seeking an engaging, organised and experienced individual to join our fantastic Mass Fundraising team on a 6-month fixed term contract! 

This role is integral to the delivery of our ambitious Mass Participation fundraising budget. Prospectus are delighted to be supporting a community foundation based in Surrey with the recruitment of a new Grants Officer role. The foundation brings together local donors with voluntary organisations addressing the challenges within the local community.
 
This role is on a 12 month contract and available on a full-time (37 hours) or part-time basis, 3 days a week (21 hours per week). This role is hybrid, with travel to the office based in Woking, 1 day a week. The salary range for this role is £23,000-£26,000.
 
The Grants Officer will report to the Grants Manager and provide support to the wider Grants Team. You will play a key role in supporting the Foundation to deliver an efficient and effective grants programme. You will have the opportunity to support with grant assessments, including due diligence reviews and funding recommendations to meet the grant programme criteria and assess the impact of the grants awarded.
 
You will also provide front-line contact, outreach and capacity building support to assist voluntary and community groups to apply for funding for various funding programmes. You will also help the team to plan and implement a new Customer Relationship Management system.

To be considered for this role, you will have demonstrable experience of working in an office and using Microsoft Office softwares. You will have knowledge/experience of using CRM databases. You will have strong organisational skills and be able to manage your time wisely.  
 
You will have excellent verbal and written communication skills. You will enjoy working as a part of a small team and be able to work on your own initiative. You will also have a strong attention to detail.
 
Desirably, you will have experience working in the not-for-profit sector and reviewing grants applications and working on grants programmes.

The Role:  

• Developing products and processes to meet income delivery and tree planting targets 
• Collaborate with colleagues to develop models to aid decision making within the Products and Donations area, including forecasting of tree sales.

• This role includes a mix of working from home and at our main office in Grantham, Lincolnshire. Visits to Grantham would be required no more than once per month. There may also be a requirement for additional supplier visits with some overnight stays.
• This is a 12-month fixed term contract (Maternity Cover) working 30 hours per week 

The Candidate: 

• You are an experienced manager with specific skills in product development  
• You have a strong background in working with colleagues to build robust models to understand product profitability and stock forecasting 
• You have excellent analytical skills and be proficient in Excel and other forecast modelling tools 
• You have strong budgeting and stock management skills 
• You may have experience of forecasting within the retail sector 
• This will be a varied role, so you possess strong leadership, marketing, communication and project management skills, and the ability to problem solve  
• You will have line management or supervisory experience

Your new role

• Reporting to the Management Accountant.
• Producing regular monthly journals, including intercompany recharges, accruals and prepayments etc.
• Assisting with the production of monthly management accounts/budget holder reports for designated departments.
• Undertaking preliminary variance analysis between budgets, forecasts and actuals and drafting variance commentary.
• Calculating, recording, monitoring and payment of grants.
• Investigating discrepancies and unexpected variances, making corrections if required.
• Undertaking ad-hoc analysis.
• Assisting in review and preparation of phased budgets, financial plans and forecasts and loading budgets and forecasts into SAP.

What you'll need to succeed

• Strong Excel skills and experience with manipulating large volumes of data.
• Experience of working in the finance function of a large organisation, including in a management accounting context.
• Good understanding of double-entry bookkeeping and basic accounting adjustments such as accruals, prepayments and fixed assets.
• Either part-qualified or looking to start studying.
• Strong communication and interpersonal skills.
• The ability to prioritise, remain calm under pressure, meet deadlines and have a flexible approach to work.

Harington is an Ofsted regulated specialist college based in north London. In June 2024 we were judged as Good by Ofsted. We work with young people with learning differences aged 16-25. Our students undertake individualised learning programmes that lead to vocational qualifications and other aims, including gardening, retail, English, maths, employability and independent living.  We also deliver a supported internship programme.   

Our charity's learning centres in Highgate and Hornsey alongside our charity's gardening business and two charity shops, provide a unique opportunity for students to practically apply their learning on work experience placements. We also work with other employers to provide opportunities in other settings to meet the aspirations of our students.  

Our larger Highgate training centre is located in beautiful grounds, with a 1.8 acre horticulture site where we grow vegetables and flowers to sell at local markets.
