We are looking for a Giggle Doctor Programme Administrator to join our busy programme team, to support the day-to-day operations of our Giggle Doctor programme for hospitals.
This is a part-time, one-year contract to support the running of the Giggle Doctor programme while a member of the team is on maternity leave. We are flexible as to which days are worked, providing that the post-holder has a fixed working pattern over a minimum of 3 days per week. Job Description
Key Tasks and Responsibilities
Administration
· Act as first point of call for artists regarding their visits to hospitals, overseeing sickness, cover and changes to their schedules
· Support artists with hospital administration and contracts
· Keep artists updated with changes in Theodora Children’s Charity’s policies
· Process changes to the Giggle Doctor schedule on our internal systems
· Liaise with hospitals and keep them up to date with information about their programme of Giggle Doctor visits
· Set up meetings with hospitals, artists and Theodora Foundation colleagues as required
· Book long-distance travel and hotels for artists for hospital visits and training events when required
· Support the Finance Manager and Giggle Doctor Programme Manager with collecting and filing timesheets, invoices and receipts for payment
Training and Events
· Support the Giggle Doctor Programme Manager with events, including booking rooms, resources and catering
· Attend training events for Giggle Doctors, setting up and packing down as needed
Impact and Programme Monitoring
· Support the Giggle Doctor Programme Manager with monitoring Trainee and Junior Giggle Doctor’s progress and keeping records of their observation notes
· Support the Giggle Doctor Programme Manager with data capture and record keeping
· Take minutes and record actions during Programme Team meetings, Theodora Foundation meetings and office team meetings from time to time
- Utilise the charity’s CRM database to keep all records up to date and effectively progress supporter development.
HR and Safeguarding
· Act as Deputy Safeguarding Lead and follow safeguarding processes for recording safeguarding incidents in the Designated Safeguarding Lead’s absence.
- Run DBS checks for artists when required using the external Ucheck platform

• Social welfare advice social prescribing: Specialist support delivered by a qualified social welfare advisor to address housing and benefit needs.
• Mental Health Community Connectors: Supporting people with serious mental illness (SMI) to achieve better mental health and wellbeing, increasing independence and reducing reliance on services.
• Community self-referrals: Designated link worker receiving social prescribing self-referrals from the Centre.

You will be the first point of contact for teams who need support with any case management system queries, incidents and accidents and any data related queries. Strong customer service skills are essential for this role. You will be adaptable and able to work in an agile environment to support the team meet deadlines and reporting cycles.
The weekly working hours are 37.5 hrs, to be completed between 9am-5pm Mon- Fri. This is a hybrid based role with two days a week completed at our national office.

Our Business Compliance Officer role sits within the Alzheimer’s Society Dementia Support & Partnerships Directorate, responsible for the delivery of the Society’s information, advice and support services, through a network of volunteers and employees, and reports to the directorate Business Manager. It is a critical role within a complex and multi-faceted environment, to ensure that the whole directorate has well designed and embedded business processes relating to its regulatory, contractual, and legal requirements as well as enabling an understanding of relevant controls and assurance activities that relate to internal policies, procedures, and best practice guidance.
About the role:
- Designing, implementing, and monitoring the required processes in line with our legal and regulatory obligations, such as the overseeing the timely review of information assets, and emergency contact lists.
- Overseeing the directorate control of documented information, including policy, procedures, guidance.
- Delivering robust governance arrangements in record management processes, and health and safety requirements.
- Work alongside internal colleagues to maintain understanding and improvements in core learning requirements; and readiness for annual governance reporting such as liaising with branding and design.
About you:
- Experience of developing and monitoring business process relating to legal and/or regulatory compliance across a multi-faceted environment.
- Previously worked with records and information management and be able to articulate clearly how you have successfully delivered improvements and designs in this area.
- Able to engage and motivate others, with a strong sense and understanding that the commitment for a healthy, safe, and successful environment is through a culture where everyone understands their responsibilities and is fully enabled to carry these out confidently and competently.
- Possess the ability and confidence at delivering to a range of audiences, delivering workshops or other enabling spaces, with both verbal and written communication
- Someone with attention to detail, methodical and able to create innovative processes that engage others.
- Ability to work within a team, supporting colleagues, collaborating with others to find solutions.
- Able to meet deadlines, to plan ahead and prioritise effectively, and deliver to timescales.

As a Senior Engagement and Events Manager, you will:
- Deliver on day to day basis a programme of brilliantly executed opportunities, included both virtual and physical events
- Lead on and be first point of contact for Core Events across the School.
- Deliver donor and supporter care event programme
- Lead on day to day volunteer management
- Support in the delivery of a new and innovative global network for the community.
- Line manage of Engagement and Events Manager and interns
In order to be successful, you must have experienced :
- A track record of delivering highly sophisticated events and communications programmes
- Experience working in development/ alumni relations or equivalent profession
- Experience in managing budgets
- Experience of donor care management
- Experience of volunteer management; committees, project teams or similar
- Hardworking, driven and flexible and good at dealing with a multi faceted workload.
- An enthusiastic and positive attitude.
- Excellent communication skills, both written and oral.
- Highly accomplished in the area of inter personal skills with a proven track record of building trusted relationships with a wide variety of individuals including sophisticated and diverse alumni, parents, benefactors and potential benefactors of all ages and nationalities.
- Knowledge of working with a sophisticated CRM database preferably Raiser’s Edge.
- Strong IT skills: highly proficient with Microsoft Office.
Salary: £40,000 per annum

Location: South London, hybrid working , 1 day from home during school time, 2 days from home during half terms.
