Person Specification:

Essential:

• Level 5 CIPD or equivalent HR related qualification/HR experience. 
• Solid organisational and time management skills, with the ability to manage multiple priorities and deadlines.

• Support the Head of Governance and HR in delivering the actions that support preparations for the next Investors in People (IiP) external assessment in late 2024. Ensure the Trust’s HR policies and practices remain consistent with the IiP standard.
• Work proactively with the HR Business Partner on the running of staff recruitment and selection processes, including sitting as the HR representative on the interview panel for more senior roles.

Essential Experience, Skills and Attributes

• Substantial experience of working in HR operations and of developing and reviewing appropriate HR policies and procedures in a charity or similar setting.
• Sound understanding of employment law and a willingness to keep up-to-date with relevant legislative changes.
• A passion for EDI and an ability to be creative and engaging in communications around this subject.
• Strong organisational skills and an understanding of the importance of discretion and confidentiality.
• Excellent written and oral communication skills, including evidence of ability to adapt to a variety of cultural settings.

Supervising and managing the people administrator and the L&D Advisor to manage the following:

Oasis’ work and mission has grown rapidly in the last decade. We are looking to recruit a HR Business Partner to help us move into our next phase of growth and build the capacity of our Oasis Operations Team. 

This is a new and integral position in our charity, so you will need solid employee relation experience and employment law knowledge, to advise managers confidently. Working as part of the established Operations Team, you will also input into finance and budgets, recruitment at senior levels, and developing our policies in line with our ethos and 9 Habits. It’s a bit of everything, which is what makes this role exciting and a great opportunity for someone who is eager to get hands-on experience in working on the People Strategy of a national charity. As part of the wider Oasis family you will be well supported; being able to work collaboratively with different teams and functions, as well as managing your own workload, is essential.

While we envisage the ideal candidate would have a relevant HR qualification, we recognise that as a people professional, a candidate may bring extensive experience, creativity, and wisdom in this field, instead. The Felix Project is London's biggest food redistribution charity and the largest end-to-end food redistribution charity in Europe.

The Felix Project is a dynamic, ambitious charity working to make London a city where no one goes hungry and good food is never wasted.

We rescue high quality, fresh and nutritious food that cannot be sold from nearly 500 suppliers including supermarkets, wholesalers, farms, restaurants and delis.  We sort and deliver this food to charities, schools and community projects supporting London’s most vulnerable people.This year we expect to rescue 13,000 tonnes of food to redistribute to more than 1,000 London frontline charities and primary schools in every borough of London. That’s enough food to make more than 30 million meals.

The Felix Project is growing fast in response to huge demand. Set up in 2016, we now have around 160 staff working alongside 8,500 volunteers. We have four main operating depots spread across London - in Deptford, Enfield, Park Royal and Poplar. We’re committed to ensuring our different teams work hand-in-hand, so our main hot-desking spaces are built into these depots.

Alongside our large-scale, depot-based operations we have green ‘point-to-point' food redistribution projects in central London and Canary Wharf. In Poplar, we operate a commercial Kitchen which uses surplus food to cater for up to 5,000 individual meals per day.

Purpose of the Job 

The People Administrator will manage all staff recruitment and operations at The Felix Project. You will support the hiring managers through all stages of the employee life cycle and will ensure this process is both rigorous and streamlined. You will also manage and support our HR administration systems and will act as first point of contact for day-to-day staff issues. Working closely with the Head of People you will help introduce improvements to our systems and administration processes.

Job Description

Generalist HR Support  

• Support with all internal and external HR related queries, escalating when appropriate. 

• Manage the day-to-day HR activity on the employee life cycle across the organisation, including contractual changes, family leave, absence management and learning & development, with the support of our HR Administrator.

• Work with Head of People & Compliance to create and deliver training to staff and line managers 

• Support Head of People & Compliance in employee relations cases, including performance management and other formal processes 

• Be the key contact for all HRIS queries from staff and ensure all employee data is complete and up to date. 

• Support with the delivery of the People Strategy and employee engagement initiatives, including but not limited to annual salary review process, performance review processes and staff survey

Recruitment & Onboarding  

• Coordinate both internal and external recruitment processes, from job postings to job offers, providing a positive candidate experience for all applicants. 

• Manage and deliver the onboarding process for all new staff and volunteers, including pre-employment checks and coordinating the new staff induction and probation processes with our HR Administrator.

Compliance  

• Support the gathering of employee and organisational data, recording and storing personal data consistently and confidentially. 

• Support with the preparation of compliance-related guidance, policy documents and reports. 

• Setting up users on our training platform, allocating training, answering related queries and confirming completion. 

• Proactively identify and implement improvements to processes to ensure efficiency and engage teams in delivering these improvements. 

• Work with the Head of People & Compliance, and Director of Operations to meet the organisation's compliance targets, aims and objectives. 

Other Responsibilities / Tasks 

• Contribute to organisation-wide events and initiatives, including but not limited to the planning of Staff Away Days and ad hoc staff events and activities. 

• Uphold safeguarding and child protection policy and procedure throughout, including reporting safeguarding concerns and disclosures to the relevant DSL and uploading to MyConcern.

• Undertake any other reasonable duties as may be required.
