The Role: Operations Manager

We are seeking an inspiring and dedicated Operations Manager to play a key role in our organisation, leading and supporting our passionate staff team of eight people and managing daily operations at M13 Youth Project, supported by and reporting to the Founder.

You will lead on the smooth running of operations, working closely with youth work staff to nurture a trusting, inclusive and dedicated working culture, which enables staff and young people to feel safe, valued and hopeful and to develop excellent work together.

You will be responsible for overseeing the ongoing development of our staff team, including scheduling staff and activities, managing working hours and absence, line managing staff, supporting recruitment, induction, disciplinary and grievance processes and being the first point of contact for the team.

This role requires experience and capability in managing processes and people, with good organisational skills, attention to detail, emotional intelligence and dedication to completing tasks. Empathy, good sense, creativity and ability to manage competing priorities are essential, along with the ability to co-design solutions to effectively manage any issues arising in the office environment, whilst ensuring high quality youth work and excellent external relationships with partners.

Whilst knowledge of and previous experience within a youth and play work context is not a requirement, you will have an appreciation of and commitment to seeing children and young people’s lives enriched, and to developing an understanding of our approach to youth and play work. If required, the Founder will continue as Designated Safeguarding Lead and professional practice supervisor of youth & play work staff.

Post Title: Programme Coordinator – West Yorkshire

Responsible to: West Yorkshire Senior Programme Manager

Salary: £24,960 per annum

Holiday entitlement/Pension: Holiday entitlement will be 33 days per annum (inclusive of Bank Holidays), Employee Assistance Programme and access to an employee perk-based platform. Job Purpose

The Programme Coordinator post is an exciting role with Tutor Trust. You will assist the Programme Manager by liaising with local schools and organising tuition within the West Yorkshire area. This will include attending meetings, coordinating tuition sessions and arranging tutor cover.

You will also support the tutor recruitment and training process and help to ensure that it runs smoothly. You will also maintain and improve systems for the benefit of all our tutors, including ongoing tutor support.

 Main Functions

· Assist with setting up and managing tuition assignments across multiple schools/ colleges across West Yorkshire.

· Collect and input tuition related data into our Tutor Trust systems to support quality and impact, liaising closely with the West Yorkshire Administrator.

· Represent Tutor Trust in introductory meetings between tutors and teachers in schools and online

· Assist with general office functions in the Leeds office.

· Assist in developing closer relations between tutors and opportunities for networking and working together

· Assist in the quality assurance, development and delivery of training for tutors and assist in the recruitment process for new tutors, including interviewing potential tutors.

· Take part in general induction presentations and other events to promote the Tutor Trust both internally and externally

· Help with preparation for Tutor Trust events aimed at a range of stakeholders

· Participate in project work

· Assist other staff to complete a variety of administrative tasks that enable the Trust to operate effectively and efficiently

· Any other duties commensurate with the grade and nature of the post

Person Specification

 Good candidates for this role will be high achievers, with excellent IT and English skills, diplomatic and inter-personal skills and plenty of initiative.

 Skills

· Can demonstrate experience of administrative skills in a previous role (either paid or voluntary.)

· Excellent communication skills with ability to establish a rapport and communicate effectively with stakeholders at all levels and from all sectors

· The ability to work under pressure to cope with multiple demands and deadlines, to work fast and to a consistently high standard

· Be a team player but also able to work independently when required to do so

· Excellent organisational skills

· The ability to manage office systems and contact databases and to use them effectively

· Be able to write fluently, to think clearly and to grasp new concepts quickly.

· To be fully IT literate, particularly to be competent with Microsoft Excel and Access

· Educated to degree level is desired but not a requirement.

ABOUT THE DEPUTY MANAGER ROLE 

This is an exciting new opportunity as we expand our services in the Luton area with a new service, we are looking for a Deputy Service Manager to play a vital role in leading and supporting the delivery of high-quality, trauma-informed services to residents and participants. Working alongside the Service Manager, you will help shape a psychologically informed environment that promotes recovery, rehabilitation, and reablement. This is a leadership role where you will empower and develop frontline staff, ensuring services meet and exceed expectations. 

This new service will provide a safe, secure, and nurturing environment for women facing sexual exploitation and substance dependency – a place they can truly call home. The service will engage with women who are sexually exploited and are facing homelessness due to multiple forms of exclusion, such as historical or ongoing abuse, involvement in the criminal justice system, mental health challenges, drug and/or alcohol dependency and who are engaging in survival sex or sex work, enduring high levels of violence and coercion.  These are women who often find themselves repeatedly going through the accommodation pathway and have exhausted all other available options.

Shift/Working Pattern: 37.5 hours per week, Shift patterns to be confirmed but may include Monday to Sunday working including evenings and bank holidays. You will also take part in our out of hours on call duty for managers. 

Salary: £27,200 

What are we looking for from a Deputy Service Manager?

We are looking for passionate and dedicated Support Mentors on a 3 year FTC to join our team and play a vital role in empowering individuals to rebuild their lives. We have a unique opportunity for a Local Engagement Officer to join the Foodbank Team as part of our organising and local mobilisation strategy. This role will create real impact in Waterloo by identifying local issues driving poverty, and developing a strategy to build influence and win change.

Waterloo Foodbank (a part of the Lambeth Foodbanks Partnership) provides emergency food support to individuals and families in our community who are struggling with the cost-of-living and acute financial crises. This role will support our strategic anti-poverty work as part of our vision to end the need for foodbanks in Waterloo.

Key responsibilities of this role will be:

· To explore and understand the experiences that are bringing people to need the foodbank’s support, working with a variety of local stakeholders including foodbank clients

· To develop and manage a team of volunteers with the aim of identifying a local issue and campaigning for change

· To develop strategic relationships with key partners of Waterloo Foodbank

· To feed into our wider strategic work including our 3-year participation targets and strategic communications

· To work and engage with the Trussell Trust’s Organising and Local Mobilisation team, and their central campaign activities

· To represent the vision, mission, and values of Waterloo Foodbank and of Oasis Hub Waterloo

The successful post holder must have:

· Good standard of basic education, including English and Maths Level 2

· Experience facilitating groups and organising engaging group activities

· Experience managing and working with volunteers

· Good project management skills, able to balance a range of priorities.

As a People Partner, you will provide an integrated, consultative HR service to your assigned Directorate. Key Responsibilities: 

Programme Facilitation: 

• Coordinating Luminary’s twelve month Employability & Independence Training Programme, including facilitating programme sessions, coordinating external facilitators and specialist trainers 
• Assist Senior Programme Manager with regularly reviewing Programme Curriculum. Working collaboratively with the Employability Coordinator and Baking Teachers to oversee its evolution and adaptation based on learner needs and changing trends within the employment market. 
• Working in collaboration with Luminary’s Progression Support Workers to resolve barriers to engagement and learning for women and tailor learning to support needs. 
• To host a trauma informed learning environment, creating and maintaining a safe space for trainees to be trained and supported in 
• To meet the key performance indicators attached to contractual delivery and funder requirements, including Luminary’s goal to see 80% of trainees, attend 80% of the training programme. 
• Facilitate the courses in a welcoming & professional manner, creating an environment where women feel safe, can learn & grow and build strong relationships across the cohort. 
• Work closely with Progression Support Workers to ensure trainees transition smoothly between programme phases. 
• Regularly monitor risks associated with trainees & escalate any safeguarding concerns via Luminary’s Safeguarding Protocols.

Programme Marketing and Recruitment:

• Coordinate the recruitment of trainees on to the programme, including assisting the Senior Programme Manager to assess suitability in line with Luminary’s referral criteria. 
• Coordinate and conduct the application process, interviews and onboarding in a trauma informed way, creating the safety survivors need to take a huge step in their recovery by exploring this opportunity with Luminary. 
• Promote the programme and liaise with referral agencies to successfully generate enough referrals to fill all trainee spaces available. 
• Assist the Senior Programme Manager to develop strategic partnerships with relevant organisations in the charity sector and local government, to market the programme and attract referrals. 
• Work in collaboration with the Baking Teachers and Progression Support team to carefully onboard trainees, setting the culture of learning and communicating expectations to set them up to successfully complete the programme. 
• Coordinate and facilitate the courses in a welcoming & professional manner, creating an environment where women feel safe, can learn & grow and build strong relationships across the cohort. 

Line Management: 

• Line manage two part-time Teaching Assistants. Ensuring they are well supported, trained to a high standard and delivering Luminary’s vision of vocational training for women. 

Training Management: 

• Assist the Senior Programme Manager in evaluating the services Luminary offers for: reporting to funders, completing new funding applications and internal monitoring. 
• Responsible for maintaining accurate and complete training records, including tracking and monitoring learner progress and development to support high accreditation pass rates and good retention.
• Contribute your experience of best practice to shape the way Luminary operates effectively 
• Undertake any additional duties within the scope, spirit and purpose of the role as requested by the Senior Programme Manager. 
• To take reasonable care for the health and safety of learners in accordance with legislation, and government guidelines.

Role purpose

In this new role, you’ll create and grow fundraising opportunities from businesses, individuals, community groups and grant-giving trusts and foundations to help Cirencester Food Bank realise its aim of ending food poverty.

You'll be at the heart of our local community, bringing our cause to life and building lasting relationships with our stakeholders and the wider Cotswolds Community.

Responsibilities

• You’ll identify and prioritise a pool of potential Trusts and Foundations funders for Cirencester Food Bank and, working with colleagues, you’ll develop authentic, compelling, creative and winning funding bids that can successfully engage new and existing Trusts and Foundations funders.
• You’ll work closely with and support the Head of Cirencester Food Bank and the Foodbank’s Treasurer in maintaining and evolving existing relationships, and seeking and pursuing new funding and grant opportunities.
• You’ll engage with local community groups, associations, events, schools and businesses in order to inform and educate on the causes of, and solutions to food poverty and to grow the Foodbank’s community fundraising reach and income.
• Utilising the knowledge gathered from the local community and the Foodbank, you will provide input into relevant stakeholder groups to help end the need for foodbanks.
• You’ll generate and distribute communications to stakeholders and community groups about the work of the Foodbank, which will include: marketing and information brochures, the Foodbank’s annual food poverty report and other external messaging in written, published social and electronic formats
• You’ll represent the Foodbank at community events to ensure effective sharing of the work of the Foodbank, and to develop relationships
• Capitalising on your community connections in the local area, you will support the Foodbank’s Operations Manager in raising awareness of the need for food donations if stocks become critically low, or for key campaigns around Harvest and Christmas.
• You’ll work with colleagues to support client engagement to ensure stories and case studies are captured which help illustrate the charities impact, issues that lead people into food poverty and enable further advocacy, which can then be shared with funders and the wider community.
• To enable fundraising and community relationship activities, you will maintain the Foodbank’s customer relationship management systems
• You’ll produce fundraising and community relations reports to agreed deadlines

Key Skills and Experience:

• You’ll have a proven track record of building relationships with individuals, community groups, trusts and foundations and other donors to achieve and exceed annual income targets and Key Performance Indicators.
• You’ll have the capacity to create and craft compelling proposals and appeals that successfully engage and attract donations from new and existing supporters.
• You’ll have strong experience of corporate partner and individual giving fundraising.
