The Role
As the Executive Assistant, you will play a pivotal role in providing administrative support for all aspects of the role of the Managing Director who leads on Fundraising, Marketing and Communications. This role is crucial in focusing on:
- Managing the inbox of the MD, to ensure emails are responded to in a timely manner to all internal and external communications.
- Triage and draft email responses – understanding and representing well the ‘voice’ of the Managing Director.
- Manage the Managing Director’s correspondence and communications with key supporters, donors, celebrities and major donors and ensure they are recorded on the database.
- In conjunction with the staff team, proactively prompt and coordinate the cultivation of the Managing Director’s relationships with donors and key stakeholders both internal and external.
- Prepare presentations for multiple audiences including donors and supporters, trustees, senior stakeholders, global and UK board meetings and board committees.
- Coordinate appropriate follow-up meetings and fundraising opportunities from individuals, companies, trusts and other relevant sources. Update members of the staff team on relevant meetings and actions.
- Manage the travel arrangements of the Managing Director.
- Prepare and circulate relevant papers and perform the duties of the administrator to the Fundraising and Marketing Committee of the Board of Trustees, including arranging meetings, preparing papers and taking minutes.
The person applying for this role should have excellent communication skills, including written and verbal to engage with employees. Able to work with senior-level stakeholders and arrange important large meetings, juggling diaries and appointments, providing administrative support, and managing correspondence. Extraordinary organisational skills and the ability to prioritise with attention to detail and maintain accuracy under pressure. Able to work in a confidential environment, working sensitively. Competent in Word, Excel, PowerPoint, and Outlook and working with a fundraising or CRM equivalent.

About the role
The Data Team Manager will be responsible for ensuring high quality data collection, reporting, quality assurance, analysis, and maintenance of Drive programme data, including data collected via the projects Case Management Systems. They will be responsible for excellent internal and external relationship management, supporting the delivery of high-quality data and information. They will manage delivery of programme design, delivery, interpretation and training on datasets and associated analytical techniques.
The post holder will deputise for the Head of team, where appropriate, attending meetings and liaising as required with external partners, stakeholders, and front-line services. The post holder will be responsible for ensuring all work streams are delivered to a high standard, on time and to budget, alerting the Head in a solution-focussed way to problems as they arise.
Hours: Full-time, 37.5 hours per week.
Contract: Permanent.
Location: Bristol based with some travel across the UK.

Some key responsibilities include:
- People – Manage the head of people to ensure the team provide excellent HR administration, support and up to the minute data
- Finance – Manage the head of finance, supporting them and the finance team to deliver sound financial controls/clear reporting and manage an annual budget of £25m – ensuring financial capability and clear cross-team communication.
- Governance – Lead on the management of board/subcommittee meetings, maintaining efficient and effective processes to ensure targets and deadlines are met
- Management of external contracts and relationships – Manage the delivery manager with responsibility for the Department for Education (DfE) contract oversight, university approval and regulatory relationship management, ensuring effective internal governance, compliance and reporting.

- Oversee travel risk management to ensure the safety and security of staff traveling to high-risk areas.

School Improvement Programmes Manager (Maternity Cover)
Salary: Full-time £38,814 - £43,139 per annum (depending on experience and FTE)
Reporting to: Head of Programmes and Network
Line Managing: 1–2 persons
Contract Type: 12-months fixed-term (Maternity Cover- might be potentially extended)
Working Pattern: 37.5 hours per week. Our core hours are 09:30 - 16:00 from Monday to Friday. This role can be either full-time or part-time (0.8 FTE) and we are open to flexible working requests.
Start Date: June 2025 (Specific date to be agreed)
Location: This is a blended-working role with two in-office days (Tuesday-Thursday) during term time and the flexibility to work from home during school holidays. Occasional travel to schools and events will be required. We are currently based at Resource for London near Holloway Road station, however, our office will be moving to another location in London in the coming months.
About the role
The School Improvement Programmes Manager will be responsible for overseeing the delivery of three national programmes: Growing the Top, the SEND Developmental Peer Review, and the Trust Leaders’ Network.

The School Improvement Programmes Manager will line-manage Programme Leads and Partnership Coordinators and will act as a role model, coaching and supporting colleagues in addressing complex and sensitive issues raised by schools and programme facilitators. Key Responsibilities
The School Improvement Programmes Manager will have the following key areas of responsibility and will be expected to undertake other responsibilities commensurate with the role as requested:

Our Migration Fund was established in 2015 and has since awarded over £30 million and supported 160+ organisations. We currently grant c. £5 million per year to organisations working towards ‘a world in which everyone is free to move, and no one is forced to move’.
In close collaboration with migrants and those working towards migrant justice, our team has recently reviewed our priorities and criteria, which includes an updated analysis of how positive change might happen, our role in facilitating that change, and the types of work we are keen to support across the UK. This current iteration of the fund was launched in April 2024.

We have since introduced a Steering Group, made up of six external individuals with complementary skills, knowledge and experience who help our team review and shortlist applications to be considered by our decision-making panel, a mix of independent advisors and PHF trustees. This group also supports our overall work, ensuring our funding strategy responds to the opportunities and needs emerging in the field, helping us identify gaps in our portfolio, and expanding our networks.
In addition to our grant-making, the Migration team supports a range of learning exchanges and events to strengthen relationship building and collaboration within the movement. This includes financial and strategic support to emerging collaborations, exploratory and thematic events in the UK and beyond. Every year, we host the Migration Residential, a 2.5-day retreat to support our partners and the wider field to recharge, connect and strategize together.
What will be my main contribution?
As a Grants Manager, you will act as the primary point of contact between applicant organisations and Paul Hamlyn Foundation, undertaking enquiry calls to learn about their work, assess their alignment with our strategic priorities, advise them on the application process, and providing tailored feedback, where needed. You will also review applications alongside the Migration Steering Group and make funding recommendations to our decision-making panel. You will work closely with a portfolio of funded organisations in our migration theme, primarily the Migration Fund. There is a current portfolio of c. 50 live grants that you will manage and be the key point of contact for. You will build strong relationships with funded organisations, responding to emerging needs, providing advice where relevant, and supporting them to achieve their learning and impact goals.

You will be supported by and report to the Head of Programme – Migration.
Who will I line manage?
You will not have line management responsibilities. However, you will be expected to work in a small and fully interconnected structure that relies on collaboration, flexibility, and the ability to operate within both formal and informal reporting relationships.

Main Responsibilities

Grant-making and Management
· Provide prompt and helpful support to potential applicants enquiring about the Foundation’s work, the Fund’s criteria and the organisation’s alignment with it.
· Work alongside the team to proactively identify potential applicants and enable them to apply to the Migration Fund.
· Assess grant applications, analysing their alignment with the Fund’s criteria and priorities, fit with our portfolio, and participating in discussions with the team, Migration Steering Group, trustees and senior leadership to agree on successful applications. Support the team to provide tailored and constructive feedback on applications and hold relationships with applicants throughout the whole process.
· Prepare written reports with detailed analysis and recommendations to present at decision-making panel meetings.
· Manage and monitor a portfolio of grants awarded, which includes supporting organisations to identify their learning goals; reflect on lessons, impact and challenges; review learning reports; respond to emerging issues and needs; authorise and generate grant payments in a timely fashion.
· Support the Head of Programme to continuously review and improve our grant-making processes to ensure that they are accessible and do not perpetuate existing structural inequalities.
· Maintain our grants database (Blackbaud Grantmaking), ensuring that records are accurate, reporting and payments are completed so that we know the status of applications and awarded grants at any time, and so we can better analyse and learn from our portfolio.

Terms and conditions
· Salary circa £39,000.

Role summary
The Director of Admissions and Service Development (DASD) will play a pivotal role in shaping our admissions processes and service offer through utilising deep subject matter expertise of the needs and landscape for CYA with complex needs. Seashell’s national and regional networks will be strengthened and utilised through the DASD leadership of our ‘Complex Needs Mapping’ programme of work. They will promote Seashell’s role as a strategic partner, working in collaboration with commissioners and service providers to ensure CYA are supported by the right services, at the right time to achieve optimum outcomes whilst making best use of public funds.
This senior leadership position is responsible for the oversight and enhancement of our admissions process providing a single ‘front door’ into Seashell. The postholder will lead on Service Development initiatives to ensure they align with our organisational goals and the evolving needs of the communities we serve.
Working with the COO and Senior Leadership Operations Team colleagues, the DASD will define the admissions criteria to enable and support the best outcomes for the CYA and families who we support. Optimising occupancy across all service areas through efficient and effective admission, transfer and discharge processes, leadership and operational direction of the multi-disciplinary admissions function will be a key responsibility.
In addition, you will lead on development of Seashell’s ‘Knowledge Hub’ – our new external training, advisory and resource offer to professionals and practitioners to build their knowledge and skills in supporting young people with complex needs within their current settings and areas.
