Summary of key duties:

Social media management: 

· Assist in the creation, scheduling, and publishing of content across various social media platforms (e.g., Facebook, Instagram, X (Twitter) and LinkedIn). 

· Work with the Events and Marketing Coordinator to create the monthly content calendars.

· Monitor social media channels for trends, engagement, and opportunities to interact with our audience. 

· Respond to comments, messages, and mentions to maintain a positive and engaging online presence. 

· Track and analyse the performance of social media posts and campaigns using analytics tools. 
 

Website management: 

· Format, edit and maintain content on our CMS, WordPress. 

· Liaise with the Trust's web developer for ongoing website development, ensuring an effective and accessible web user experience. 

· Build and manage online forms and surveys. 

· Monitor and share engagement data with colleagues to inform marketing and communication plans. 

Content creation: 

· Format documents and reports for internal and external audiences. 

· Design and create visual content for digital and print channels. 

· Commission accessible formats, including BSL and Easy Read. 

· Collaborate with the team to develop new content ideas and campaigns that align with our brand voice and goals. 

Administrative and logistical support: 

· Perform administrative tasks as needed, such as updating contact lists and maintaining marketing databases. 

· Liaise and assist with scheduling for external photography and film contractors. 

· Liaise with commercial printers and providers of collateral materials. 

· Manage the Trust's photography and film media library. 

· Administration of photography and film permissions data.

Summary of skills

About the role

The primary purpose of the Senior Administrative Manager will be to support the NTD (Neglected Tropical Disease) Department in functioning effectively and efficiently. This role involves coordinating administrative and support systems, procedures, and sub-teams essential for the management of the NTD portfolio.

Background

Sightsavers’ NTD directorate oversees projects funded by various donors to control and eliminate five PC-NTDs: onchocerciasis, lymphatic filariasis, trachoma, schistosomiasis, and soil-transmitted helminths in 28 countries. These projects are executed by country office teams, ministries of health, and partners, with operational and technical support from the NTD Department.

Principal Accountabilities 

• Oversee the creation and renewal of requested consultancy agreements with Human Resources, ensuring appropriate procedures are followed and records are kept updated.
• Manage the contractual organisation of the team of internationally located technical consultants and work with the relevant Global Disease Advisor to coordinate all aspects of support missions undertaken by the them 
• Ensure professional meeting support for all external NTD meetings with donors and international partners as requested by the NTD SMT.  This includes logistics, room bookings, agendas, slides, recording, virtual participation where required and minute documentation and distribution. 

• Assemble information as required for presentations, communications and reports, and manage internal document storage systems (Microsoft SharePoint and Teams). 

• Support the Grant Directors and IFT to compile key donor milestone reports and ensure a fully functional and accessible external ShareFile system for key donor groups where required

• Support communications both within the NTD Department team and with external stakeholders through dissemination of newsletters and maintaining contact lists. 

• Using all members of the admin team, coordinate the support for all regular internal PDU calls (recurring invites, agenda sharing and minute taking).

• Provide travel support to the SMT and Grant Directors where requested. 

• Manage/supervise NTD Dept Coordinator

• Undertake additional ad-hoc administrative duties as required.

 This is a new role at the DEC and developed as a key part of the DEC’s 2024-2029 strategy. The DEC has a wide range of established relationships with trusts and foundations, many of which give 6- and 7-figure sums to DEC appeals. The Trusts & Foundations Manager will be responsible for providing excellent stewardship to our portfolio of trusts and foundations. In addition, the role will also be responsible for cultivating new relationships for the DEC through thorough research, and through the prospect development cycle, to raise money for DEC appeals. In addition to appeal fundraising, the Trusts & Foundations Manager will be responsible for delivering on a new core cost fundraising strategy, in close partnership with the Head of Philanthropy & Partnerships.

Demonstrable, transferable trusts and foundations experience and knowledge, (preferably within the humanitarian & charity sector), will hold you in good stead for this exciting new role.

Key responsibilities include:

Strategic Development: Develop and manage the trusts and foundations portfolio and create compelling proposals for future appeals and core costs income. Showcase new ideas and innovative approaches for growing and developing a pipeline of new prospects. Develop engaging stewardship plans.  

Administrative Compliance: Lead and manage, robust and professional grant management, ensuring systems and processes are fit for purpose, streamlined and accessible. Remain compliant with grant terms and conditions, ensuring you are clearly communicating the unique contours of the DEC model whilst providing comprehensive and inspiring impact reporting.

Relationship Management: Maintain regular contact and collaboration with internal teams to collate a high-quality suite of communication materials and stewardship plans specific to a trust and foundation audience. Monitoring and Evaluation: Monitor, measure and evaluate progress against the DEC’s strategic goals and funds raised from trusts and foundations. KEY DUTIES AND RESPONSIBILITIES:

• Holistic Client Assessment and Support - Conduct detailed, confidential interviews with clients, applying a holistic approach to assess their needs for advice and support, including digital needs.
• Comprehensive Needs Assessment - Assess various aspects such as financial situation, social welfare entitlements, debt, digital literacy, and other significant issues affecting clients and their families.

• Advice and Casework - Provide high-quality advice and casework support on all social welfare benefits such as Universal Credit (UC), Disability Living Allowance (DLA), Personal Independence Payment (PIP), Attendance Allowance (AA), Council Tax Reduction (CTR), Discretionary Housing Payments (DHP), Carer's Allowance (CA), Housing Benefits (HB), legacy benefits and travel-related services such as blue badge/freedom passes, unemployment benefits, and other welfare benefits. • Application Assistance - Assist clients in completing application forms, mandatory reconsideration, appeals, and other paperwork related to social welfare benefits, money and debt, funding, and grants, both in person and online.
• Tailored Client Support - Ensure that services are adapted to the needs of each client, considering communication, digital abilities, understanding, and vulnerabilities, while supporting their navigation through online platforms.
• Financial Advice & Support - Provide advice on income maximisation, debt management, budgeting, savings, and accessing financial support, empowering clients to achieve financial independence, including offering digital tools to help manage finances.
• Client Involvement - Through clear communication and consultation, ensure clients are involved in resolving their social welfare issues, including welfare benefits, debt, and money management, and are kept informed on the progress of their case, particularly regarding digital aspects.
• Digital Training and Confidence Building - Assist clients in developing digital skills to independently manage online claim forms, journals, and accounts, ensuring they are well-equipped to navigate online welfare systems.
• Compliance and Quality Standards - Provide advice and casework support that adheres to the Advice Quality Standard (AQS) and digital best practices.
• Digital support and Case Management - Use the Lamplight database system to organise and manage client support, including digital support case recording and compliance with LHP’s case management procedures.
• Monitoring and Evaluation - Contribute to project monitoring and evaluation by providing data on digital support & financial outcomes and also producing evaluative reports for the Advice Services Manager, focusing on digital engagement and success.
• File and Data Management - Maintain accurate digital records of client interactions and stay updated on social welfare policies, regulations, and digital support systems.
• Community Engagement and Partnerships - Liaise with local authorities, health services, and community organisations to support clients, including digital outreach and awareness-raising activities.
• To liaise with other agencies and develop strong working relationships to support clients effectively, including partnerships with GP surgeries.

· Deliver advice sessions at the LHP office, GP surgeries, and other outreach venues, raising awareness of available support services.

· Participate in borough-wide forums and activities to develop relationships with other organisations and enhance community awareness.

• Client Relations and Safeguarding - Build trustful relationships with clients, ensuring safeguarding and digital support considerations are fully met.
• Professional Conduct and Team Participation - Maintain confidentiality, adhere to equal opportunities, and observe LHP policies, including digital inclusion strategies, while participating in team meetings to share knowledge and best practices.

GENERAL RESPONSIBILITIES:

The Royal Hospital Chelsea is seeking a passionate and skilled Trusts & Foundations Officer to join our dedicated team and help secure vital funding to support our mission. By securing grants and building long-term relationships with charitable trusts and foundations, you will play a pivotal role in ensuring the continued care and wellbeing of the Chelsea Pensioners.

The Role:

As the Trusts & Foundations Officer, you will take ownership of an exciting and diverse portfolio of charitable trusts, foundations, and other grant-giving organisations. Reporting to the Head of Trusts and Statutory Fundraising, you will work to grow both restricted and unrestricted funding to help meet the Royal Hospital’s long-term income targets. This role requires strategic thinking, and the ability to develop and nurture lasting relationships with funders.

Key Responsibilities

As the Trusts & Foundations Officer you will assist in identifying new funding opportunities to expand the existing funder base, work closely with all departments to develop tailored proposals and implement the organisation's fundraising strategy. You will maintain a rolling programme of bespoke grant applications while building and stewarding long-term relationships with funders. The role includes supporting the Head of Trusts and Statutory Fundraising with donor communications, trust and statutory fundraising applications, submitting timely reports, and maintaining accurate records.

About You:

The ideal candidate will have at least 1-2 years’ experience in a relevant fundraising role, and a good understanding of the voluntary sector funding environment. They should be skilled in researching and developing new funding pipelines, managing multiple contacts, and have excellent writing, proof-reading, and organisational abilities. Financial literacy and budget management are essential, alongside IT proficiency and familiarity with CRM systems like ThankQ. Candidates should have experience raising funds from trusts and foundations, managing donor relationships, and working to targets and deadlines.

The Upper Room (TUR) works with a wide range of financially and socially disadvantaged groups including homeless people, people with long-term mental health conditions, asylum-seekers, refugees and ex-offenders – helping them to improve their lives and become productive members of society. Central to our offering is our UR4Meals service, providing free, home-cooked food to people who cannot afford to provide for themselves. We are also very proud of our UR4Driving programme, which supports people recently out of prison with free driving lessons in exchange for community volunteering. Gaining a driving licence greatly enhances their future employability prospects and helps break the cycle of re-offending. Additionally, our UR4Jobs project focusses on both client wellbeing and breaking down the many barriers to employment faced by disadvantaged people every day.

Your responsibilities will include building long-term partnerships with grant making trusts and foundations, ensuring support through in-depth research, excellent stewardship, and timely and accurate reporting.
