Supporter Services Officer

About the role
Our supporters are really important to us which is why we want to do everything we can to make their experience of being part of the Practical Action team a positive one. Our Supporter Services Team work tirelessly to deliver the highest level of service possible to our supporters at all points of contact, including email, phone, and postal channels. So whether it’s processing donations or answering enquiries, our aim is to make sure our supporters know how vital they are to us and for them to feel valued.
About you
As a Supporter Services Officer you’ll be part of a busy team delivering an outstanding multi-channel contact service to Practical Action’s existing and potential supporters and donors. You will have a passion for people and will always be looking to go the extra mile to help others.
Previous experience of processing financial transactions and delivering high levels of customer service is essential and you’ll enjoy talking to supporters over the telephone, via email or letter. You’ll be a real team player and be able to work closely with colleagues in the Supporter Experience and Stewardship team and the wider Supporter Experience and Digital Division.
This is a demanding role that requires high levels of supporter relationship management, engagement and dynamism as well as an attention to detail, especially when it comes to income processing and database management. Key Working Relationships
The post-holder will report directly to the Supporter Experience Manager and will regularly collaborate with the rest of the Supporter Experience, Insight, Trusts and Major Donor and Digital teams. The post-holder will be expected to liaise effectively with other staff and teams across the Marketing Directorate.
KEY ACCOUNTABILITIES
Supporter Relationship Management
- To provide the best possible experience for our supporters, at all points of contact, including email, phone and postal channels.
- To keep informed and up to date about all relevant activities of Practical Action in the countries of operation, retaining and managing information needed to respond to supporters.
- To make outbound telephone calls and emails as required to new supporters, follow up queries, verify details or thank donors, acting as an ambassador for Supporter Services and Practical Action at all times.
Income Processing / Database Management
- To deal with incoming and outgoing post, all donations made online via the Practical Action website and other charitable giving platforms, ensuring all donations are handled accurately and in line with agreed procedures.
- To process cash donations effectively and accurately onto our database.
- To produce and send out letters of acknowledgement to supporters, personalising these communications appropriately.
- To set up Direct Debits/Standing Orders, handle upgrades and other changes to committed gifts, issuing appropriate communications to supporters.
- To accurately process and commit Direct Debit claims.
- To manage Gift Aid on supporter records. This will include setting up new declarations, ending and cancelling declarations and sending out notifications to supporters.
- To deal with new supporters’ welcome communications.
- To liaise with supporters regarding cancellation of donations.
- To update supporter information on the database such as personal details, communication preferences, and other indications of interest or activities to ensure that all our donor information is up to date.
- To undertake manual data entry where required, and to work to avoid the need for duplication of data entry, and ensure automation where possible.
- To pull information required, download and process third party donations ensuring that they are compliant with GDPR.
Compliance
- To keep abreast of all legislation relating to charitable giving such as PCI DSS, Institute of Fundraising guidelines and best practice, Data Protection and Gift Aid Regulations.
- To ensure data is managed to appropriate standards of data protection and security.
- To be aware of and consistently using organisational policies and procedures
Team Working
- To undertake and participate on projects as directed by the Supporter Experience Manager.
- To work closely with the team to review and improve practices and procedures, implementing positive changes and improving efficiency.
- To contribute to organisational meetings e.g. Stand Up, team away days etc.
- To be proactive in joining cross functional working groups.
- To work closely with the finance and fundraising teams to ensure that all processes are working to the highest standard.
- To undertake other tasks that may be reasonably requested by the Supporter Experience Manager and Head of Supporter Experience and Digital.
PERSON PROFILE
Qualifications, Knowledge and Experience
- Relevant experience in a customer or supporter service environment with experience of processing financial transactions and using a CRM database.
- Educated to GCSE level or equivalent, including English and Mathematics
Skills, Abilities and Competences
- Excellent communications skills, both written and verbal
- Excellent call handling skills and the ability to respectfully, honestly and transparently adjust communication to audience recognising the importance of diversity
- Able to use a CRM database
- Able to work across a team following business controls and systems
- Good understanding of the Microsoft Office suite (word, Excel etc. at advanced level)
- Ability to multitask and be able to manage changing priorities
- Ability to work on own initiative to solve problems
- Understanding of data protection legislation
- Prepared to learn or already have an understanding of gift aid legislation, Payment Card Industry, Data Security Standards compliance and charity sector guidelines and best practice.

Job Summary
We expect this role to focus on developing and maintaining relationships with key funders, stakeholders, institutions and individuals. It will undertake work to secure funding, resources and partnerships for both Shared Assets and the wider land justice movement, and to raise the profile and reputation of Shared Assets.
The role will have responsibility for securing core funding for Shared Assets from trusts, foundations and high net worth individuals, and for supporting colleagues to secure grant and commercial funding for consultancy, research, movement building and communications projects. It will have responsibility for reporting on core grants and providing quality control for colleagues for their bids, tenders and funder reports. As part of this work the role will play a key part in providing intelligence and foresight to contribute to the organisation’s strategy and business planning.
Beyond securing consistent core funding for Shared Assets the role will also work with funders and others to secure longer term resourcing of the wider land movement in order to deliver our collective ambitions for a just and sustainable land system.
As part of a self managing organisation all team members are expected to contribute to the day to day management of the organisation through participation in management circles, team days and working groups.
Main Responsibilities
Fundraising and resourcing

Develop and maintain relationships with funders to fund work that seeks to support common good land use and to create a more just and sustainable land system.

Work with the team to ensure we maintain a healthy pipeline of bids and tenders in order to meet income generation targets across the organisation.

Work with the wider land justice movement and funders to secure significant, consistent and long term resourcing for the wider land movement, working in ways that are open and transparent to, and inclusive of, the wider movement and which will help to deliver systemic change that meets our collective objectives for a more just and sustainable land system.

About the Role
The Special Events Lead role manages the organisation’s special events from start to finish, raising the visibility of the charity, building relationships with prospects and securing income for the Children’s Hospital and the Cancer Hospital.
They will be responsible for project management and professionally executing the organisation’s special events. Past events have included a fundraising gala for 500 guests at Trinity College, a private reception at a jewellery designer’s studio and a behind-the-scenes tour of robotic surgery at the organisation.
Key responsibilities include:
- You will take lead responsibility for the operational management and delivery of several Special Events, from dinners and receptions to larger flagship events.
- Create a portfolio of events that will engage a variety of supporters and prospects.
- Develop a yearly events plan for prospects and donors with consideration of cross-team requirements.
- You will manage relationships with volunteer organisers of major special events; not organising the events themselves but being the key point of contact and providing support e.g. income management, marketing support via the comms team, Gift Aid and best practice advice.
- Create detailed event plans with specific objectives and actionable plans, manage event budgets astutely and review whether each event met its objectives.
- Maintain good relationships with committee chairs and committee members where events are being organised by volunteers.
- Take the lead at events; briefing and supervising event staff and volunteers, ensuring that each staff member has a sense of authority and ownership for the successful outcomes of his/her respective areas, as well as the department and organisation.
- Acknowledge, thank and maintain up-to-date, accurate records on the organisation’s CRM database.
About You
As Special Events Lead, you will be educated to a degree level or equivalent of knowledge and experience with a minimum of 3 to 4 years of successful coordination experience. You will have excellent attention to detail and organisation skills as well as the ability to project plan, design and deliver briefings.

Member engagement
- Together with the membership administrator, you will be a primary point of contact for members across the UK and internationally

- An analytical approach to member engagement is required as you will be responsible for the analysis and interpretation of engagement data, using this to develop an engagement strategy and encourage member participation
Member acquisition
- You will work with the CEO on developing and managing the member acquisition strategy and pipeline, researching prospective members, and managing the relationship through to membership
- You may be asked to represent IDPE at external events or conferences, identifying and connecting with prospective members
- You will work with marketing to communicate member benefits to prospective schools
- Together with the membership administrator you will manage the new member onboarding process, conducting welcome calls and initiating regular follow-ups to ensure new members are engaged and knowledgeable about our services
IDPE’s member acquisition strategy is based on relationships. We do not cold call or hard sell but build on introductions and approaches from schools interested in joining.
Volunteer stewardship
- You will be responsible for building and managing a nationwide network of volunteers, encouraging their involvement in the member engagement and acquisition process
- IDPE hosts 12 regional meetings and specialist forums, across the UK each term. You will be responsible for ensuring these happen, working with volunteers to create relevant and engaging agendas and chairing meetings when required
- You will manage the volunteer recruitment, onboarding and engagement process
Membership strategy
- Membership strategy is led by the CEO but, as membership engagement manager, you will be instrumental in influencing this and will lead its delivery. You will also support the CEO in a wide range of membership activities and projects
- You will be an ambassador for IDPE, representing the charity at internal and external events, chairing webinars and over time will become a subject matter expert on IDPE’s membership
- Your analytical approach will enable you to report on trends, behaviours and challenges, providing data to support your narrative. You will also work closely with the Finance Director to set and monitor membership targets
- You will be responsible for writing membership communications and for ensuring the membership content on the website remains current
- You will be responsible for leading key membership projects

It’s an exciting time to join War Child as they have just launched their new Alliance initiative. The War Child Alliance brings together the five War Child fundraising members (in the Netherlands, UK, Germany and Sweden, plus Children in Conflict in the US), with 14 programme members, based in and around conflict-affected areas across the world and coordinated by a new international body: the War Child Alliance Foundation. As part of the Trusts and Institutional funding team of four you’ll work alongside the Head of Trusts and Institutional, Trusts Manager and Trusts Executive, and be line managed by the new Trusts and Institutional Funding Lead.
Your key objective is to provide operational, administrative and analytical support to the team to grow income and enable War Child to deliver quality programmes. You’ll ensure compliance with quality and donor requirements, contribute to effective risk management, provide support for the different donor accounts and ensure processes and systems are in place, implemented and efficient.

- Develop donor profiles by conducting research on potential donors, including their funding focus, giving history, and connections to War Child.

About Fundraising at CARAS
CARAS offers holistic early-action support to refugees and people seeking asylum, ensuring individuals have the knowledge, skills and confidence they need to thrive in the UK. Founded in 2008, we have co-created our thriving adult and youth services in partnership with CARAS community members over the last 16 years and now run a thriving weekly provision of social and educational programming delivered alongside wrap-around casework support.
The growth in our service has been underpinned by great success in fundraising which has allowed us to consistently grow year on year, with our current annual budget now standing at approximately £750,000. Fundraising is led by the Head of Development and Impact. The creation of the Fundraising Officer role is an exciting new step for CARAS, providing us with the opportunity to get to understand our supporters more deeply, and build meaningful new partnerships with businesses and investors across many sectors to improve the outcomes for individuals with a refugee background across south London. Working together with the Head of Development and Impact, the role with focus on nurturing individual giving, community fundraising, CSR partnerships and building relationships within our local community, increasing our unrestricted income as you go.
We are seeking a creative, motivated worker who has ideas for how to support a thriving organisation, helping us build new relationships and partnerships that will support CARAS to maintain and adaptive and iterative approach towards our work to ensure that person-centred support is available when new-arrivals need it most.

About the role
This role focuses on scaling CARAS’s unrestricted income portfolio, building CARAS’s support base to sustainably increase our income. Working closely with the Head of Development and Impact, this will include:

Summary of the role
Following the successful conclusion of the Making the Exceptional Happen campaign (which raised over £71m) attention is turning to a future campaign in support of the University’s 2030 strategy which has three core themes: sustainability (greener); improving human health and wellbeing (healthier); and creating a fair and inclusive society (fairer).
Aligned to the Faculty of Humanities, Arts and Social Sciences (HASS), you will plan, develop and produce fundraising proposals to trusts and foundations of a consistently high quality.
