INTERIM DEPUTY DIRECTOR OF PROGRAMMES JOB DESCRIPTION

This is an interim position, but the position will become permanent in due course through a separate recruitment.

Key Relationships:  CEO, Head of Strategy and Impact

This role is a member of WasteAid’s Senior Management Team.

Purpose of Role

The purpose of this role is to ensure the effective management and delivery of WasteAid’s global programme, providing leadership, capacity building and support to WasteAid’s international programme team and ensuring effective resource mobilisation.  This role reports to the Director of Programmes and supports that role in scaling, trialling and evolving WasteAid’s current programme approach.

Major Responsibilities:

Leadership and Representation

• Provide leadership and supervisory management for WasteAid’s programmes team, including mobilisation and stewardship of resources, programme quality accountability, and performance management.

• Participate actively in country programme management, coordination, and strategy meetings with Director of Programmes and members of the country team.

• Work closely with Finance colleagues to ensure timely budget development, financial planning and cost management.

• Support the Director of Programmes to actively engage with donors, partner organisations and external stakeholders to ensure WasteAid is strongly represented.

• Conduct regular field visits to support programme teams

Supporting Strategic Direction, Program Quality and Growth

• Provide cohesive leadership to WasteAid’s global programme teams ensuring that priorities and opportunities identified are in line with organisational strategy and approach which includes scaling of current programmes and the identification of further areas of intervention.

• Work closely with the Head of Strategy and Impact to support the programme team with regarding tools and strategies to ensure that programming is based on input from communities, local partners and local/national stakeholders, a thorough understanding of the context, and technical best practices

• Work with Director of Programmes and colleagues in the country programme to identify funding opportunities and support the development of competitive, responsive proposals; meet with potential partners (and donors as appropriate) to discuss current and potential funding opportunities.

• Work with the Senior Management Team to develop programme budgets, which reflect a detailed understanding of situational parameters, beneficiary needs, available resources and technical possibilities including partnership capabilities.

• Working collaboratively with the Senior Management Team, support MEAL approaches to adapt and implement appropriate monitoring and evaluation systems that enhance programme quality, increase effectiveness and measure results.

Staff Performance Management and Development

• Supervise and mentor direct-report staff, including communicating clear expectations, setting performance objectives, establishing a supportive environment while emphasizing accountability, providing regular and timely constructive performance feedback, and leading documented semi-annual performance reviews.

• Maintain open and professional relations with team members, promoting a strong team spirit and providing oversight and guidance to enable staff to successfully perform in their positions.

• Promote and monitor staff care and well-being. Model healthy work-life balance practices. Support appropriate interventions in response to identified staff care needs of staff.

• Work with HR to identify and implement recruitment and retention strategies.

Grant Monitoring & Partner Management

• Supervise the Grants Finance Officer.

• Support and supervise implementation of strong Project Management Cycle processes and tools including budgeting and planning and grant meetings such as Budget vs Actuals Meetings, Grant Opening, Mid-Term, and Closing Meetings, ensuring follow up on action points.

• Through the Grants Finance Officer ensure that all programmes are compliant with their respective donor regulations

• Support the Director of Programmes in having a solid partnership strategy for appropriate programmes.

• Ensure programme staff proactively maintain positive relationships with partners, including ongoing capacity building and mentoring,

Job Requirements:

· Educated to degree level, masters in a relevant subject would be desirable.

·  At least 10 years of progressively responsible professional experience managing complex international development programming, ideally with a climate or environmental element.

· Demonstrated successful leadership experience managing a multi-disciplinary team and cross-cultural dynamics.

· Strong diplomatic and coordination skills.

· Demonstrated ability for accurate analysis of complex issues, strong decision-making, and translation of programmatic priorities into operational strategies.

·  Proven track record of leading multi-location teams.

·  Repeated, successful experience delivering appropriate levels oversight for a portfolio consisting of a variety of complex, donor-funded projects.

· Demonstrated experience in developing successful funding proposals

· Strong oral and written communication skills, with ability to express ideas and concepts clearly and persuasively with senior internal and external stakeholders.

·  Established capacity to deal with ambiguity in stressful situations.

· Ability to respond to multiple priorities in a timely manner, producing high-quality outcomes.

About the role

We are excited to be advertising this newly created role as part of WGN’s growth. This role will be the lead on the finance function. Reporting into the Director of Finance and Resources, the role works closely with stakeholders across the organisation including executive leadership, with a specific focus on working closely with the Director and external auditors. The role will have two direct reports – Finance Business Partner and Senior Finance Officer. This is a hands-on role and will have full responsibility for the finance function on a day to day and medium-term basis. The Role

As an Assistant Accountant, you will play a key supporting role in the financial health of The Royal Parks.

Compensation and Benefits

• This role is two days a week. We are open to this being two full full days or the allocation being stretched across the week.
• The contract is being offered on a one year fixed-term contract at 37,000 GBP pro-rata with a strong possibility of extension

Duties:

1. Developing and delivering Human Rights Act based rights training workshops and support sessions
2. Analysing human rights law and development in cases and communicating the practical impact of these through outreach visits to local community sector
3. Develop and improve our resources and support sessions on the practical use of UK human rights law
4. Plan and develop human rights information resources, including guides, handbooks, factsheets
5. Arrange short talks for a range of audiences

Person Specification:

Essential characteristics:

1. Have at least two year’s experience of working in the charity sector, voluntary sector, or the public sector in a role with some similar role and functions
2. Experience of developing and delivering outreach work to build the capacity of people to develop the knowledge, skills, and confidence to bring about social change
3. Understanding of working in the charity sector, and in particular what it means to work for positive change whilst not being a campaign group
4. Understanding of human rights law and practice and implications for diverse communities
5. Excellent interpersonal skills and ability to communicate effectively, verbally and in writing, with a wide range of people
6. Able to receive visitors and to deal with their queries, signposting to other agencies, where required
7. Experienced in dealing with work of a confidential nature, ensuring compliance with GDPR and other regulatory requirements
8. Experience of report writing, preparing newsletters, project monitoring reports, publicity and promotional material

THE ROLE:

We are seeking a Finance and Operations Manager to lead and strengthen our financial and operational functions as we continue to grow. This role is critical in ensuring that Open for Business adheres to best practices in financial management and reporting, including compliance with the Charity SORP.

You will serve as the main point of contact for our external accountants and our Financial Advisory Committee, providing timely and accurate financial information to the CEO and Board of Trustees.

On the operations side, you will help build and execute the organizational infrastructure needed to support our expansion, which includes office management and collaborating with our HR team to create a robust induction system for new staff, as well operational management or oversight of core processes.

We are looking for candidates who are passionate about tackling LGBTQ+ inequalities on a global scale and are eager to contribute to a dynamic and fast-growing organization. This UK-based role offers a hybrid working model, with time split between our London office and remote work. Remote candidates within the UK are also welcome to apply. Part time considered. The position reports directly to the Chief Executive.

KEY RESPONSIBILITIES:

• Manage financial and operational systems, processes, administration, and internal controls.
• Ensure effective and efficient day-to-day business and financial operations.
• Oversee bank accounts, accounts payable and receivable functions, purchasing, financial reporting, and grants administration.
• Conduct bank and transaction reconciliations and manage expenses, bills, and payments using Xero.
• Produce or oversee production of monthly payroll.
• Produce quarterly management accounts and VAT returns.
• Collaborate with external accountants for annual audit and accounts.
• Liaise with other external advisors as needed.
• Prepare project-specific budgets and lead financial reporting for grants.

PERSON SPECIFICATION:

The ideal candidate will be experienced with charity finances and may have worked in a similar role previously. You should be able to demonstrate the following skills and experience:

• Direct experience in managing a charity finance or operations function.
• Experience liaising with third party providers, including accountants.
• Proficiency in budget preparation and financial reporting.
• Experience with Xero and other accounting software.
• Experience with project management and leading internal change management
• Experience of bookkeeping and (management) accounting.

About the role

As a Chapter Member at the National Deaf Children's Society, you'll be in a Chapter of like-minded and skilled specialists, experts, and emerging experts. Chapters are self-organising, and every member has a vital role to play, sharing their skills, knowledge and experience and learning and developing together. Led by the Chapter Lead all Chapter Members will value and respect each other's contribution and learn and develop collaboratively.

This role will design, implement and manage systems to ensure that fundraising and marketing activity is of a high quality, complies with relevant legislation and sector codes and is consistent with National Deaf Children’s Society policies.

You will carry out a programme of detailed quality assurance activity and monitoring to identify areas where improvements can be made and provide fundraising teams with recommended actions. This work has a particular focus on the management of telemarketing and face to face recruitment.

You will prepare reports for internal teams and stakeholders and provide support and guidance to fundraising staff in relation to compliance and what is required of them.

 What might a day in the life look like? 

• Take ownership of and manage our internal Call Monitoring process – selecting and allocating calls from our agencies and listening to the majority to recognise any potential issues or trends that may arise.
• To follow up any feedback with the agencies and ensure they are compliant with fundraising code of practice.
• Updating and monitoring the site lists on our websites to ensure our supporters know where we are.
• Attend monthly and ad-hoc compliance forums and engage with external bodies to ensure we are maintaining standards across the sector. A chance to network with peers and even offer insight into our best practise.
• Quarterly due diligence checks with our agencies, along with monitoring of job adverts and contracts to ensure compliance.
• To manage and monitor our Mystery Shopping programme – engaging with the agencies regarding feedback and follow up, and approving invoices.
• A monthly compliance tracker to be shared internally so we know our key areas of focus.
• Management of our fundraising shadowing programme, with the occasional visits to our agencies for compliance training, feedback and shadowing.
• To help the organisation to deliver excellent standards of supporter care by providing cover for the team where necessary.

The Co-Director of Strategy & Finance works closely with the Co-Director of Operations to ensure the sustainability, growth and success of Hackney Playbus and to ensure that families are placed at the heart of the charity's work.

The Principal duties and responsibilities will be as follows:

Governance 

Ensuring that the charity is legally compliant, compliant with requirements of the Charity Commission and has the correct insurances in place for the charity’s activities and that these are reviewed annually.

Ensure systems are in place for the Board of Trustees to fulfil its statutory responsibilities and exercise effective control of the charity's affairs. Support trustee recruitment in line with Hackney Playbus procedures.

Ensure policies and guidelines are appropriate for the charity’s work and reviewed regularly by the Trustees, including annual reviews of Children’s Safeguarding, Data Protection policies and the Risk Register developing policy proposals as necessary

Report quarterly or as required to the Board of Trustees on progress against key strategic objectives, providing information and explaining performance

Strategic

To work with Trustees to ensure the charity’s vision, mission and strategic plans are reviewed in conjunction with key stakeholders including Hackney Playbus staff, volunteers and families.

To take Joint responsibility for achieving, monitoring and reporting on performance against targets in all areas of charity’s activities taking action as required

Financial

Ensure that income is maintained, expenditure controlled in line with budgets and potential risks are identified and managed

Draw up an annual budget for approval by Trustees

Liaise with appointed bookkeeper, ensuring timely payment of bills, invoicing for services, chasing of invoices for payment and maintenance of petty cash systems

Prepare contracts, apply for tenders, negotiate and agree contracts, service level agreements and acknowledge receipt of funds as required.

Promotion of Charity

Maintain effective networks with supporters and stakeholders

Network externally and develop partnerships to improve impact and sustainability

Key Responsibilities
Reporting into the Operations Manager, the Brand Operations Officer is responsible for managing the distribution of products donated by brands to community-led projects. This role plays a key part in developing and coordinating relationships with key logistics and storage partners.

Managing the brand donation logistic process in line with the organisational objectives, resulting in the successful allocation of products to reach areas of most need.

· Respond to and coordinate all brand enquiries

· Accurately allocate, and track all brand donations, ensuring prompt logging by Projects

· Work with the brands to ensure accurate data is provided and meets The Hygiene Bank’s requirements

· Work closely with existing partners to utilise storage and logistics solutions and continue to develop these relationships

· Record KPI’s and analyse the data

· Prepare detailed quarterly reports for the Operations, Finance, Risk and Audit Committee and present the findings to them, when required

· Support the Head of Operations / Operations Manager to deliver the brand strategy including identifying new logistic providers

· Attend all Operation Team meetings and work closely with Partnership Managers to gain a clearer understanding of each Project and their requirements
