ABOUT THE JOB

Job Purpose 

We are looking for a passionate and driven individual to join our tight knit team and make a real impact. A key member of the finance team, working closely with and supporting the Finance Manager, in a welcoming and supportive environment with opportunities to learn and grow on the job.

The role offers the chance to work across several finance functions, including management accounting, supporting year end audit, Accounts Payable and Accounts Receivable and so it provides a great opportunity to experience the full breadth of finance work in a charity across all functions in a varied and interesting role.

Key Responsibilities

Day-to-day finance processes

• Assume responsibility for managing the finance inbox; answering queries from colleagues; students, commercial customers, and suppliers.
• Ensure supporting information for transactions is correctly stored in electronic format on Teams such as bank statements, remittance advices, credit statements.
• Assist the operations and administration teams as and when required, including with the preparation of internal reports.
• Other ad hoc support to the finance team as may be required including administrative duties.

Accounts Receivable

• Ensure that all income from a variety of different sources is correctly and accurately recorded in the finance system on a weekly basis.
• Income and customer account reconciliations and revaluations.
• Any other responsibilities relating to Accounts Receivable.

Accounts Payable process

• Work with the bookkeeper to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure in the accounting system and that all supporting documentation for all transactions are uploaded.
• Whilst the bookkeeper is responsible for making all payments, the Assistant Finance Manager has a key role in liaising with the bookkeeper and the Finance Manager, to jointly ensure that all invoices are paid on time.
• Providing cover and setting up payments when the Finance Manager is not available.
• Determine most efficient payment platform to process international payments and ensure these are recorded in the finance system at the correct conversion rate.
• Work closely with the bookkeeper to ensure accurate and timely recording of all approved supplier invoices, requisitions, staff expenses and other expenditure and that all supporting documentation for all transactions are uploaded.
• Carry out monthly Creditor account reconciliations ensuring that all balances are valid and backed up with appropriate supporting documentation.
• Assist with the set up all payroll payments in time for the monthly pay day. This involves ensuring correct amount (which may differ from the salary of the individual’s employment contract) and method of payment across all HQ staff.

Budgeting, management accounting and forecasting

• Assist the Finance Manager and CEO with the preparation of the annual budget, quarterly management accounts and forecast.

Year End Audit

• Assist the Finance Manager with answering queries form auditors and completing balance sheet reconciliations.

Systems and Processes

At the Gestalt Centre we’re in the process of updating and embedding new systems and processes and this role will assist that work. For example, we have recently implemented new educational management and room booking systems and this role will be involved in supporting the integration of the finance and education management software.

Education / Qualifications

Essential:

• 5 GCSE at Grade C or above including English and Maths.
• Post-GCSE qualification such as A-Level or T-level or Degree educated.
• AAT qualified, or part qualified CIMA/ACCA accountancy qualification.

• Sound understanding of double entry book-keeping including month end adjustments.

Full/Part-time (minimum 30 hours per week), 52 weeks per year

Location: Central Services Office in Marlow

This is a newly created role which is being introduced to support the centralisation and future growth of the Trust. This hands-on role will be responsible for preparation of monthly management accounts, ensuring all transactions and month-end processes are carried out, preparation of balance sheet, capital projects and fixed assets reconciliations , line management of finance officers and assistants, as well as oversight of accounts payable, accounts receivable and VAT returns. You will be involved in cash flow forecasting, treasury/banking processes, budgeting/forecasting process, monthly reporting, variance analysis and more. You will support the CFO and the Business Manager, and work closely with all schools’ leadership teams and Headteachers. 

The successful candidate will have previous financial experience and recognised accounting qualification, ideally in a school environment, and will be flexible and able to demonstrate an ability to adapt to a changing environment. You will be professional in your approach to all aspects of the role, extremely well organised, a team player and competent with accounting and procurement software, MsOffice and Google Suites.

CLPE is based in our beautiful Grade 2 listed building in Southwark. Our Centre houses an amazing collection of 25,000 children’s books as well as being a training and event centre for teachers, publishers and everyone else who works with children’s literature and cares about children’s literacy. The post holder would be required to work at our Centre at least one day per week but may work remotely for the remainder of their hours.

This role is office based (as above) but with flexible hybrid working. It is expected the postholder will attend the office at least once or twice a week.

The opportunity

We are seeking a skilled, experienced, and driven Finance Manager to join our dynamic team. Reporting to the CEO, you will be responsible for overseeing the financial operations of the company, ensuring accurate financial reporting, and providing strategic financial guidance to support the company’s growth and development. Summary job description

They liaise with the Director in order to prepare the annual budget for Finance Committee and Council. They also monitor the institute's bank accounts, administer and prepare the Pay Roll, process invoices, maintain the ledgers, prepare and submit the accounts to the Charity Commission, liaise and prepare the institute's accounts for its annual audit, and prepare the relevant summary section for the annual report. Summary duties therefore include to:

We are delighted to be partnering with a social care focused charity that drives excellence within the sector, to find a full time, fully remote, interim Finance Manager for the next few months with a view to extension.

The Finance Manager will play a pivotal role in providing operational and strategic leadership in the financial management of the charity.  Working to a high level of autonomy, the role will form part of the Operational Leadership Team, supporting the charity to deliver its organisational strategy.  This role is crucial in leading the Finance Team to ensure financial health and long-term sustainability.  The role will ensure compliance with charity legislation, providing key support to the Director of Finance and Corporate Resources.

Main Duties
 

1. Lead and managing the Finance Team on all aspects of the charity’s day-to-day financial operations, including all income, expenditure and balance sheet accounts, ensuring compliance with polices, charity legislation and other relevant financial standards. 
2. Leading the Finance Team and directing the work, whilst fostering a collaborative and high-performing culture.  Liaise across the organisation, being able to manage a matrix style approach across teams, to ensure the smooth running of the Finance Team

4. Undertake financial due diligence approval checks against the raising of our client sales invoices, monthly payroll submissions, fortnightly BACS runs and bank reconciliations, ensuring appropriate, supporting audit documentation is in place.
5. Leading and maintaining on the production of our monthly cash flow forecast and bank account management to aid financial forecasting and reporting, ensuring the charity maintains an operational surplus position. 
6. Leading on the charity’s annual external audit, including the preparation of our statutory accounts, ensuring compliance with all relevant charity legislation, regulations and financial reporting standards.
7. Leading on the submission of timely quarterly VAT returns to HMRC, mitigating the risk of potential financial penalties for late submission.
8. Leading on the process of preparing and setting budgets and financial forecasting, liaising closely with the Director of Finance and Corporate Resources and budget holders as appropriate, to ensure accurate income projections and profiles are in place aligning with the charity’s strategic priorities.

The Finance Manager is a high impact role, based in the Academy’s Finance Team, and will be responsible in advising across the organization. The Finance Manager is responsible for ensuring reliable financial reports, regulatory compliance, and analysis of financial reports. The role provides support to the Head of Finance by ensuring that key financial controls are in place and managed effectively, ensuring financial procedures are kept up to date and communicated to staff, and income is maximized by robust credit control and cash management.

Key areas of responsibility:

• Oversee the processing of income and expenditure incurred by AMS group and ensure these accurately accounted for in the financial accounts and timely closure for month-end and year-end
• Lead on the process of accurate and reliable financial accounts

As Group Finance Manager, you will play a leading role in the Enabling Services team at an innovative international charity focussed on climate initiatives, enabling the organization to deliver innovation that creates the change we have committed to, meet our funders’ needs, and support our partners and community 

Reporting to the Group Financial Controller, the Group Finance Manager, will oversee and manage the monthly close process, lead the preparation of year-end financial statements for the group, and coordinate the annual audit. Key Responsibilities
 

Management
•  Manage and develop 2-3 finance assistants
•  Manage interactions with teams across the organisation, collaborating in the key processes of financial management and provide guidance and advice to the business. 

Month-End Process and Close:
•  Oversee and manage the monthly close process, ensuring all transactions are accurately recorded and completed within the month end timetable.
•  Prepare and review balance sheet reconciliations, ensuring that all discrepancies are investigated and resolved in a timely manner.
•  Work with the finance team to ensure the accuracy of the trial balance and prepare key month-end journals, including accruals, prepayments, and provisions.
•  Ensure all intercompany transactions and balances are reconciled and eliminate intercompany profit, and are in line with transfer pricing requirements
•  Perform detailed variance analysis of key financial statements, including P&L, balance sheet, and cash flow.

o  Preparing and managing the timetable for preparation and audit of the financial statements, ensuring all financial statements are signed off within required timelines.
o  Assisting local teams in resolving audit queries as necessary, ensuring local audits are completed on time, within budget and with minimal issues or adjustments. 
o  Preparing consolidated financial statements

Local reporting and compliance
•  Manage reporting timelines including filing deadlines for assigned funds and all branches in the structure, and that all deadlines (e.g., lenders, investors, statutory) are met. 
•  Perform high-level review of local branches companies; review financial statements prepared by local teams
•  Ensure timely compliance with donors, audit and statutory reporting as required; ensure the remediation of audit recommendations and implementation of financial / risk reporting decisions by governance bodies. 

Controls and conintuous improvement
•  Drive strong financial control and advocate financial priorities to the business.  
•  Continuous improvement of ERP system for the finance team. 
•  Support financial and performance reviews using monthly dashboard.

Education/Qualifications

• Holder of a recognised accounting qualification (ACA, ACCA, etc.) with over six years post qualification experience. 

Experience

• Substantial experience of working in complex entities with multi-national interests and distributed teams (working in different locations and through remote or virtual working) and experience of managing finance teams.
