About the Role

The Office Administrator role is to provide a high level of customer service and support to our service users, supporters, volunteers, groups, members of the public and internal customers. Contributing to overall implementation of the Services and Support and Northern Ireland directorates’ objectives. This will be achieved by ensuring the best possible service user experience for our MS community and by proactively improving processes and ways of working.

As a Benefits and Debt Worker you will provide service users with advice and support on finance and debt. Carrying out comprehensive assessments, via phone and face-to-face, and you will provide advocacy and support that empowers survivors primarily during crises and in the short term. You will also proactively work with other agencies on the service users’ behalf. You will hold a caseload of survivors and work as part of our duty team on a rota basis which will involve completing intake assessments and providing crisis intervention support.

About You:

To be successful as the Benefits and Debt Worker you will need the below experience and skills:

You will have the ability to encourage user engagement with the service through proactive contact. Maintain project logs and collate data from the logs for Team Managers. Proactively assess the needs and safety of any children that women using the service may have. Bring your experience of providing benefit, and debt advice and successfully, managing high numbers of calls and/or cases and have a solid understanding (possibly experience) of supporting women who have experienced domestic violence, forced marriage or ‘honour-based violence.

Governance Manager

Our Governance Manager is responsible for managing and coordinating all governance work, providing support to the Board, CEO and Executive Team in all matters relating to governance and in particular for the Board and Committee meetings.

You’ll ensure that transactional activities are accurately completed within specified timeframes and co-ordinate all committees of the YHA Board and advise on and implement good governance practice.

What will you be doing?

• Lead and advising on all matters relating to governance including the constitution, memorandum and articles of association, standing orders and codes of conduct, including leading the implementation of any changes agreed by the Board.

What Skills and Experience do you need?

• Experience of providing governance support at Board level.
• Chartered Membership of the Chartered Governance Institute (or equivalent) or studying towards the qualification or suitable other experience. Experience of working independently, pro-actively and sensitively with senior stakeholders (Chair, CEO, Board members, Exec directors).
• Excellent project management skills and experience.

• Experience of budgetary control.
• Experience and in-depth knowledge of corporate and charity governance, including of company secretary functional requirements.

This full-time role offers the flexibility of a hybrid working arrangement, with three days per week based in their office in Oval (London) and two days working from home.

The successful candidate will play a crucial role in ensuring smooth and efficient day-to-day office operations. The Office Administrator will be the first point of contact for visitors and callers, providing excellent customer service and ensuring enquiries are dealt with in a timely and polite manner. You will manage company correspondence, track office supplies, and help coordinate internal events, including staff meetings and team-building activities. Your ability to keep the office organised and running smoothly will be essential in this role, as well as your support with admin tasks across different teams. In addition to office administration, you will be involved in supporting the Finance & Grants and HR teams. This includes liaising with suppliers, processing invoices, and assisting with payment reconciliation in the grants system, as well as supporting on recruitment, onboarding, and maintaining personnel records.

The ideal candidate will have at least a year of office administration experience, including using databases and spreadsheets. The organisation is in their most exciting period of change for years. They are at the start of a large digital transformation programme, overhauling their current systems in multiple areas. As part of this, they are replacing their fundraising database and want to make sure their supporter data is connected and used well across the whole organisation.

They have recently started the project and chosen a CRM and partner to deliver it, but now they need someone to spearhead the data angle and drive the project forward alongside the Strategic Transformation Project Manager and Data Manager.

We are looking for someone who has either led or been heavily involved with a CRM migration before. The successful person will understand the importance of putting data at the heart of driving decision making, and the importance of customer or supporter journey and acquisition.

This is a real opportunity to build an incredible legacy within a passionate charity, building on great work that's been done so far and helping to take it to the next level.

This role is an 18-24 month contract at present, though we anticipate other opportunities may present themselves at the end of this interim period. Our client's HQ is in the Warwickshire area and due to the nature of the role, the successful candidate will need to commute in on average 1-2 days per week, though some weeks not at all. Ultimately, you'll be driven by the needs of the project.

Since 2011 Disability Africa has developed a model using playschemes as hubs to deliver essential lifesaving services to extremely vulnerable disabled children and to end their exclusion in low-income African communities. Using this model, we have worked with project partners in Kenya, The Gambia, Sierra Leone and Zambia. 680 disabled children have now attended our projects more than 90,000 times since 2011. Now the charity is planning to grow and expand with our 5-year plan (‘DA2029’) to replicate the Disability Africa Model to reach more disabled children across Africa.

By 2029 we will: 
• Start work with at least 4 new partners in Africa (as well as expected growth at our existing projects). 
• Deliver 160,000 attendances by at least 1,500 disabled children in 7 African countries. 
• Grow and reach as many disabled children as possible - we know we can’t do it all by ourselves - so we will engage other international NGOs to adopt our model of inclusion.

Key responsibilities

The Individual Giving Manager will contribute towards Ex Cathedra’s ongoing sustainability and success by maximising philanthropic income:

Strategy and research

• build, maintain and continually seek to expand a pipeline of prospects capable of making gifts at a high 4-, 5- and 6-figure level, making sure that all progress is tracked, monitored and reviewed on a routine basis

• explore our existing data to identify major gift prospects, working in line with data protection law and fundraising regulations

Individual giving

• work closely with the General Manager and Individual Giving Officer to further develop and implement strategies that will increase major gifts and legacy donations to Ex Cathedra, dovetailing with the Trusts and Foundations consultant where appropriate

• arrange and conduct face-to-face meetings with prospects and donors to help build and progress meaningful relationships through regular dialogue

• use their judgement to involve the artistic director, trustees and colleagues where most beneficial/advantageous

• align prospective donors with high-value funding opportunities for the performance programme, education and participation work, or area of greatest need according to the interests of the donor

• promote and encourage giving towards the establishment of an Endowment Fund that will provide long-term financial sustainability for the organisation

• meet agreed targets for activity (i.e. number of prospect meetings and solicitations) and income generation (i.e. funds raised)

• personally manage the portfolio of higher level donors and prospective donors.

Communications

• manage the delivery of specific appeals to prospects and donors

• work with the General Manager and freelance designer to devise and produce materials in support of Ex Cathedra’s fundraising aims

• create and refresh inspiring copy for inclusion in print, on our website and other relevant materials

Other

• record and maintain progress, ensuring that income can be projected as accurately as possible, liaising with the Finance Manager as appropriate

About you

You will be a skilled fundraiser, able to help us identify, recruit and manage a pipeline of individual donors, capable of giving upwards of £5,000 to support Ex Cathedra’s agreed strategic priorities.

Experience

• demonstrable experience in a similar role

• direct experience of securing gifts and donations at 4- and 5-figure level from individuals by initiating, building and stewarding relationships

Knowledge
