To oversee the parish property and buildings for the two sites St Edmunds and St Joseph’s Southampton which comprise of listed churches, halls, offices and residential properties.

Proactive property management, working with instruction of the Diocesan Estate team to comply with diocesan policies.

Property Manager - Job Description

Main Duties

Repairs and Maintenance

• Manage the repair and maintenance of the parish site to ensure they are safe, clean, and welcoming.
• Undertake regular property and site inspections and manage actions.
• Responsible management of religious and listed buildings.
• Contractor management – Coordinate works to deliver value, meet quality and safety standards.
• Arrange periodic building inspections, liaise with estates on associated work.
• Submit reports to the Diocesan Estate Team as required.

Health & Safety

• Management of Statutory Inspection – arrange, manage and monitor.
• Use WorkNest H&S management system to manage compliance and risk issues.
• Work with H&S Competent Person and Estates Team, adhering to health and safety legislation.

Residential Lettings and Hall Hire

• Proactively manage income generating residential properties and parish halls.
• Work in partnership with managing agents so that rental properties are safe and achieve competitive rent.
• Periodically meet with managing agents to ensure that the best service is being provided.
• Maintain good relationships with tenants who use our halls and office space.
• Manage parish hall hire queries and coordinate the compliant use of facilities.

Governance and Compliance

• Ensure parish compliance with all diocesan policies.
• Maintain a parish asset register, inventory and annually review insurance cover. .
• Assist the Parish Priest in preparing reports and documentation for diocesan audits and reviews.
• Implement and oversee GDPR policies related to parish data collection and usage.

Volunteer Coordination

• Support and guide parish volunteers involved in facilities, or health and safety activities.
• Organise and oversee rotas for volunteers assisting with maintenance tasks.

Professionalism and Values

• Uphold and promote the ethos and values of the Catholic Church.
• Work collaboratively with the Parish Team to ensure the Parish Priest is effectively supported.

Property Manager – Person Specification

Competence, Expertise and Knowledge:

Essential

• Strong organisational and problem-solving skills, with the ability to manage multiple priorities.
• Solid experience of property management
• High level of proficiency in IT, including Microsoft Office and financial software.
• Knowledge of property management, including maintenance and health and safety compliance.
• Excellent communication and interpersonal skills, with the ability to engage with people at all levels.
• Valid driving licence and access to a vehicle.

Together with the Safety, Health and Environment Team and Facilities we ensure regulatory/legal compliance of properties.

- The Estates and Construction Team consists of approximately 17 personnel, including three Regional Surveyors

What we’re looking for in our Principal Surveyor:

- an experienced Surveyor (level 6 or higher) with significant post-qualification experience surveying in a property management or facilities management environment

- member of professional institution such as RICS, RIBA, CIBSE, CIOB

- experience managing a team of employees

- performance orientated, with an organized and methodical approach

- knowledge of retail acquisitions, disposals and leases

- multi-site property management experience

- experience managing minor project work including small building projects (up to £500k)

- understanding of estates compliance

About You

The Central Operations Assistant is responsible for supporting the Central Operations Manager with administrative support for the Society, which includes finance administration, membership and grants administration and journal sales processing. Thames Chase Community Forest was established in 1990 and covers an area of 98 square miles on the edge of east London and south-west Essex. Thames Chase Trust welcomes around 65,000 visitors per year to the Forest Centre complex. The architecturally acclaimed Visitor Centre is the information hub for the entire Community Forest and includes a cafe, shop, and public toilets. The complex also includes a 17th century barn, original stable block, refurbished Education Room, and farm cottages.

Our dedicated and friendly Forest Centre team seeks to provide the best possible visitor experience and to continue to develop and grow the complex. You will manage volunteers and five members of staff focussed on the Forest Centre complex. The staff team includes four Forest Centre Assistants and one Forest Centre Caretaker. You will be further supported by our Communications and Media Officer, Finance Officer, and Administration Officer. You will also work closely with the Progammes Team whose focus is project delivery across the Community Forest.

Role Description - What will you do?

People

You will bring this spectacular place closer to the hearts of visitors, our local communities and our many partners and you will lead on facilities, retail, catering (outsourced), visitor experience, membership, and volunteer teams. 

You will show initiative in developing the visitor experience through events, guiding, informing, and reinforcing the Thames Chase Plan, brand and values.

You will need to be able to promote the natural and cultural heritage of landscapes.

You will be familiar with the use of professional and social media and will need to be an exceptional communicator and an inspiring manager for an enthusiastic and knowledgeable team of staff and volunteers.

You will know just how to get the very best out of everyone and to support and motivate the team. There are set targets for income, and you will be responsible for ensuring that your team meets these.

You will lead the development, integration and delivery of all the visitor facing elements of the Thames Chase Forest Centre complex.

Place

You will work with the Thames Chase Community Forest Director, Deputy Director, your fellow colleagues and with the support of the Board of Trustees, to create a sense of place, a destination venue and a resource that families and visitors will consider as a day’s offer.

You will sensitively maximise the built heritage within the complex, acknowledging that this adds to the sense of place, our culture, heritage, and tradition. In particular, the agricultural heritage of this landscape.

Business

You will support the Thames Chase Community Forest Deputy Director in leading staff and volunteers in developing and growing the income from all aspects of the Forest Centre, to support the work and aims of the Community Forest and provide a quality visitor experience.

To create a robust business plan for the Forest Centre complex that identifies income potential and scope for maximising the diverse facilities on site whilst protecting the built, cultural and natural heritage

Business Launchpad operates on-site at Tooting Works and is a registered charity which provides support and training for entrepreneurs aged 16-30 years from across London who want to set up their own business. 

Role Summary:

The Operations Manager is responsible for the smooth, efficient, and compliant day-to-day operation of the business centre. This includes oversight of facilities management, health & safety, lettings, team leadership, and budget management. The role ensures the business centre is well-maintained, tenants are satisfied, and operational performance is continuously improved. Reporting to senior leadership, the Operations Manager contributes to strategic planning, drives efficiencies through systems and digital tools, and plays a vital role in sustaining high occupancy and tenant retention.

 

Role Responsibilities:

Centre Operations Management

• Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained, compliant, and running smoothly.
• Ensure the lettings process is well-managed and aligned with policies.
• Implement and monitor operational procedures to improve efficiency and service quality, including opportunities to digitise processes and services.
• Contribute to strategic operational planning and continuous improvement initiatives.
• Identify and resolve operational challenges in collaboration with senior management.
• Report regularly on KPIs, occupancy, operational issues, and budget status to senior management.

Building Maintenance

• Oversee the upkeep and preventative maintenance of the property, ensuring high facility standards.
• Manage and coordinate external contractors and service providers (e.g., cleaners, engineers).
• Monitor maintenance budgets and project timelines, ensuring quality and cost-effectiveness.
• Conduct regular building inspections and implement corrective actions as needed.
• Drive sustainability initiatives, including energy efficiency and waste reduction.
• · Maintain and develop use of CMMS (MaintainX) to manage and record all maintenance work.

Health & Safety

• Ensure compliance with UK health & safety regulations, including risk assessments and fire safety.
• Develop and monitor health & safety procedures tailored to the site.
• Organise relevant training for staff and enforce contractor compliance.
• Maintain accurate H&S records, incident reports, and lead periodic audits.
• Support development and execution of emergency response and business continuity plans.
• Fire safety responsibility ( Fire Safety designated person))

Lettings and Lease Management

• Oversee the Assistant Lettings Manager and monitor the development and execution of the lettings process from enquiry to move-in, including viewings, negotiations, and onboarding and offboarding of tenants.
• Check we are maintaining up-to-date tenancy records,
• Draft lease documentation and ensure timely renewals and support the rollout of any rent reviews.
• Carry out twice-yearly audits of lease documentation.
• Maintain relationships with tenants to support retention and satisfaction.
• Monitor lease management by team, lease compliance and resolution of any lease-related issues.

Customer Service

• Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
• Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
• Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.

 

Financial Management

• Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
• Negotiate contracts with suppliers and service providers to secure cost-effective deals.
• Ensure tenant arrears are regularly monitored and managed.

 

Line Management

• Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
• Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
• Handle recruitment, onboarding, and offboarding of staff members as needed.

 

Essential Skills / Experience

• Bachelor’s degree or higher in Business Management, Project Management, or other relevant fields.
• At least 2 years’ experience in operations work.
• Excellent organisational and administrative skills.

• Experience of managing a building, property or facilities beneficial.

Coram’s Fields is a unique charity in the heart of Bloomsbury, London. In addition to our iconic 7-acre child-friendly park, we run a variety of services and enrichment programmes to support local young people and their families, including a nursery, an after-school and holiday club, a drop-in centre for parents of under-5s, a vibrant youth centre and a sports programme. The Operations Officer role is an integral part of the central team with responsibility for procedures, systems that support the effective, efficient, and compliant running of our seven-acre site, services, park events and oversight of income streams. It is an exciting and highly collaborative role offering a fantastic opportunity to combine effective communication and organisational skills with a passion for helping young people and a desire to develop commercial and business development experience.

Main Duties and Responsibilities:

General operations, processes and systems 

• You will be responsible for the oversight and continuous improvement of organisational procedures including IT, GDPR, Health and Safety, Fire Evacuation, incident management.
• You will be responsible for briefing staff across the charity in the use of these procedures and working with the Office and HR Manager to arrange training for staff where necessary. 
• You will be responsible for improving existing office systems and identifying opportunities to develop new systems and processes to enable people to work more collaboratively, efficiently, and effectively. 
• You will be responsible for ensuring that organisational procedures are documented and accessible on the internal SharePoint.
• You will be responsible for developing and overseeing a new volunteer infrastructure for the charity, working with teams across the organisation to deliver a consistently high-quality volunteer experience for all with standard recruitment, induction, and on-going oversight procedures.

Events and project management 

• You will be responsible for coordinating and overseeing a diverse and inclusive programme of park events, making the park an interesting and vibrant place to visit, encouraging the community to gather and socialise, and generating income to support the work of the charity.
• You will have responsibility for working with internal and external stakeholders to ensure each event is well-planned, managed safely and compliantly with all regulations and laws, and executed successfully within budget. 
• You will work with the CEO, COO and Buildings and Facilities Manager to support capital projects, liaising with external stakeholders, contractors and the Local Authority to ensure the effective operation of the site. Commercial Operations
•  You will operationally oversee our facility-hire income (halls, sports facilities, and grounds) and be responsible for: – ensuring necessary contracts, waivers, and legal/statutory documents are completed – executing effective marketing and promotions, and creating high quality promotional content for our website and social media – regularly reviewing fees in relation to the hire of our facilities and making recommendations for changes to these – understanding and improving the utilisation of facilities – supporting the COO to develop and grow partnerships with local organisations and schools – improving the efficiency of our booking systems/processes and overall user experience 
• You will be responsible for identifying new (temporary and permanent) opportunities and third party partnerships to bring new experiences, enjoyment and enrichment to local young people while also generating income for the charity. 
• You will work closely with our Café Manager to grow the profile and income generated by our cafe through improved park signage and park visitor experience initiatives, and integration of the café into the hall and sports hire customer journeys.

Other 

• You will be expected to undertake personal development and training where required or beneficial for the role, and to attend regular supervision and appraisal sessions.
• To undertake any task that may be request from time to time by the CEO or Board of Trustees, as may be consistent with the nature and scope of this post.
