Job Summary:
The Executive Assistant to the Deputy Director of Programmes will provide high-level administrative support, ensuring the efficient operation of the office and supporting the Deputy Director in managing their workload. This role requires a proactive individual with excellent organisational, communication, and multitasking skills, capable of handling sensitive information with discretion and professionalism. The Executive Assistant will act as a key liaison between the Deputy Director, internal departments, and external stakeholders, contributing to the overall effectiveness and impact of the Programmes Department.
Key Responsibilities:
- Administrative Support:
- Manage the Deputy Director’s diary, schedule meetings, appointments, and travel arrangements.
- Prepare and organise meeting agendas, take minutes, and follow up on action items.
- Draft, edit, and proofread correspondence, reports, presentations, and other documents on behalf of the Deputy Director.
- Handle incoming communications (emails, calls, etc.) and respond or redirect as appropriate.
- Project Coordination:
- Assist in the coordination of projects and initiatives led by the Deputy Director, including tracking progress, deadlines, and deliverables.
- Conduct research and compile data to support project planning and decision-making.
- Coordinate with other departments to ensure seamless execution of cross-functional projects.
- Maintain and update project documentation and files.
- Liaison and Communication:
- Serve as the primary point of contact between the Deputy Director and internal/external stakeholders.
- Facilitate communication and collaboration between the Deputy Director and team members, ensuring information is accurately conveyed and deadlines are met.
- Represent the Deputy Director in meetings or events when necessary.
- Office Management:
- Organise and maintain the Deputy Director’s office, ensuring it is well-equipped and efficient.
- Manage office supplies, equipment, and budget as needed.
- Coordinate with IT and other support services to ensure the Deputy Director has the necessary tools and resources.
- Event and Meeting Coordination:
- Plan and organise departmental meetings, workshops, and events, including logistics, catering, and materials preparation.
- Assist in the preparation of presentations, speeches, and other materials for events or conferences.
- Ensure all event and meeting details are flawlessly executed.
- Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality.
- Manage the Deputy Director’s files and records, ensuring secure storage and easy retrieval.

- Personal Assistance:
- Provide occasional personal assistance to the Deputy Director as needed, including managing personal appointments or tasks.

Qualifications:
- Education: A bachelor’s degree in business administration, management, or a related field is preferred.
- Experience:
- Minimum of 2 years of experience in an executive assistant or senior administrative role.
- Experience in a non-profit or international development organisation is advantageous.
- Skills:
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.

The Role:
Mary’s Meals International is recruiting for an experienced Personal Assistant to join our Risk & Governance function. Introduction
We are looking for an enthusiastic, confident and highly organised individual to take on the role of Food and Beverage Manager at our Sherwood Forest nature reserve.
The café is located in our award winning visitor centre, situated is an ancient landscape alive with nature, history and folklore. Today it is a magical destination visited by people from across the globe, home to the enduring legend of Robin Hood and the famous Major Oak, estimated to be more than 1,000 years old.
We care for over 450 hectares of ancient wood pasture and rolling heathland which is home to thousands of species of bird, insect, mammal, fungi, tree and plant. Wooded for centuries and once part of a vast royal hunting ground, for the 350,000 people who come to visit each year it is an incredible place to visit!
What's the role about?
Supporting the Assistant Food and Beverage Manager in the delivery of an exemplar customer experience, maximising income streams and effectively managing costs to deliver optimal net contribution, whilst ensuring a high level of legislative compliance.
Working at Sherwood Forest Reserve, you'll compliment the unique and fascinating visitor experience offer inspiring our visitors to support nature conservation now and in the future. Working with the Assistant Food and Beverage Manager, and a team of Centre Assistants, you'll be responsible for delivering the café's menu offer and driving income, ensuring consistent high customer service and delivery. Excellent staff management and organisational skills will be required to manage the weekly rota effectively and a keen eye for managing budgets and costs are essential to manage costs and margins to maintain profit.
Working as part of the catering team, we need someone who is enthusiastic and hard working and is determined to make a success of the catering operation.
The Food and Beverage Manager will:
• Complete back of house and front of house operation alongside the team
• Support delivery of exceptional customer care.
• Proactively support the delivery of net contribution targets through effective budgetary management and resource planning.
• Proactively support the effective delivery of defined standard operating procedures.
• To proactively support the effective delivery of all administrative tasks within defined timeframes.
• Responsible for effective management of food safety and health and safety, adhering to RSPB procedures.
• Proactively support in the management and leadership of team members.
• Deputise in the absence of the Food and Beverage Manager.
• Ensure the café is commercially merchandised according to the agreed layout and stock levels are appropriate.
• Ensure all catering administration, operating processes, security, food hygiene and health and safety adhere to RSPB procedures.
Essential skills, knowledge and experience:
• GCSE Maths and English or equivalent
• Level 2 Food Hygiene
• An understanding of budgets and delivery of KPI’s
• A working knowledge of MS applications, including Excel and Word
• Knowledge of food safety management systems and health and safety legislation
• Strong visual merchandising, display and presentation skills
• Strong resource planning with effective allocation of teams and product
• The ability to plan and prioritise tasks
• A strong leader, who motivates and nurtures their teams
• Effective in responding to customer and colleagues needs and feedback
• Supporting and developing a highly performing diverse team
Desirable skills, knowledge and experience:
• Level 3 Food Hygiene
• Experience of working at a visitor attraction
• Multi-site catering experience

About the FCLP
upReach’s Future Charity Leaders Programme (FCLP) is a graduate programme combining delivery work (supporting our Associates) with exposure to a range of aspects of charity management.
As a Programme Coordinator on the FCLP you will be delivering personalised employment-focused support to a cohort of approximately 80 Associates, helping transform their lives by equipping them with the necessary skills to secure a top graduate job. During a typical week, you should expect to be working across a range of projects including 1:1 undergraduate coaching, group workshops, webinars (we refer to them as Video Forums), partnership management (with university partners or employer partners) and more!
In addition to this, the programme offers the opportunity to develop skills in key areas of charity management by participating in 3 rounds of six-month 'rotations'. After your initial 18 months and the completion of 3 six-month rotations, you will have the opportunity to undertake an apprenticeship in Leadership and Management to further develop your skills.
Throughout the programme, you will receive dedicated internal training developing your leadership skills and building your confidence in the role.
Through our partnership with The Circle Line, you will be part of a supportive peer group, offered regular personal development training workshops online and in-person on their '12 Tools for Life'. You will also be able to choose your own practitioner to support you with 1:1 sessions throughout the programme to help you unlock more of your unique potential.
What will I be doing?
The FCLP is a fast-paced but rewarding role. Programme Coordinators spend 80% of their time (4 days per week) working directly with associates to enhance their career knowledge and skills and 20% (1 day per week) on a charity management rotation (or an apprenticeship after 18-months). No two days are the same, but your responsibilities may include:

Assisting Associates with their applications to undergraduate positions and graduate jobs

Developing sector and/or employability skill knowledge while building resources to aid all Associates

Planning, delivering and reporting on events and workshops with partners

As you will be working directly with our beneficiaries throughout their degree, this consistency will allow you to build bonds with your Associates and ensure continuity, thus allowing us to have the most impact for the young people we work with.

This programme would be suited to individuals who are committed to upReach’s mission, motivated to work with undergraduates and interested in learning about, and gaining experience in, charity management.
