About the role:

The primary focus of the Bookkeeper role is credit control - raising invoices and following up on accounts receivable for our membership (approximately 1000 participants). The role will also include posting expenses and ensuring they are properly documented, reconciling bank accounts, and ensuring that records are accurate, up-to-date, and comply with relevant accounting principles.

This is a part-time role (3 days per week to start). The successful candidate may normally work from home or our office, but occasional in-person meetings at the office will be required (minimum twice per month).

Who we are looking for:

• Someone with a strong understanding of financial principles and practices, with excellent attention to detail – ensuring accuracy in financial records and reports.
• Someone with strong organisational skills, capable of managing time effectively and prioritising multiple tasks efficiently.
• A confident communicator, both in writing and verbally, who can interact well with team members, management, and external stakeholders. They should also be comfortable using the telephone and willing to make calls when needed.
• Strong mathematical skills and the ability to work with numbers accurately is essential.
• Someone with strong analytical and problem-solving skills, able to review and interpret financial data, resolve discrepancies, and provide valuable insights to support senior management's decision-making.
• An individual with good IT skills who is proficient in Microsoft Office, particularly Excel, along with experience in accounting software and CRM systems like Salesforce. We use Xero, but knowledge of this specific software is not required.

In your first 6 months:

To help you settle quickly, we will provide a thorough and comprehensive onboarding. Through meetings with key colleagues and online training, we will help you to become familiar with our way of working and our value proposition.

Key Responsibilities & Duties:

• Accounts Receivable: Manage accounts receivable (member invoicing and collections) ensuring that all invoices are generated on time and payments are collected effectively.
  • Monitor Member Accounts: Track outstanding balances and proactively contact members regarding unpaid invoices to ensure timely payment
  • Debt Collection: Chase overdue payments by phone or email.
• • Record Keeping: Maintain accurate and up-to-date records of member accounts, including invoices, payment history, and communications, and provide regular reports to senior management.
  • Cash Allocation: Ensure all incoming payments are correctly allocated to the corresponding invoices.
  • Dispute Resolution: Investigate and resolve any disputes or queries regarding invoices or payments.
  • Reporting: Provide regular reports on outstanding debts, overdue accounts, and the overall status of the company’s receivables to senior management.
  • Liaison: Collaborate with internal teams (Participant Engagement/Impact & Growth/Programmes) to resolve any issues that may delay payment.
• Expense Management: Track company expenses and ensure they are allocated correctly across teams.
• Bank Reconciliation: Regularly reconcile bank accounts to ensure that all transactions are properly allocated and accounted for, and discrepancies are addressed.
• VAT Compliance: Ensure VAT is accurately applied to all relevant transactions and prepare VAT returns for review by our accountant or Executive Director before submission, in compliance with legal requirements.
• Support Audits: Prepare relevant documents and assist with internal and external audits by providing necessary financial records.
• Petty Cash Handling: Manage petty cash transactions and ensure they are recorded appropriately.

The Bookkeeper may also be required to perform general finance and accounts-related tasks as needed to support the overall financial operations of the company.

Qualifications:

• Proven experience as a bookkeeper or in a similar financial role.
• Certification in bookkeeping, or equivalent 
• A good understanding of double-entry bookkeeping is essential, along with familiarity with tax and regulatory requirements.

Conciliation Resources (CR) is an independent international organisation working with people in conflict to prevent violence, resolve conflicts and promote peaceful societies. Research, Advisory and Policy Department (RAP) 

The Research, Advisory and Policy Department (RAP) of 9 staff facilitates learning and provides guidance to improve peace policy and practice inside and outside CR. 

RAP is responsible for the Accord publication series and cross-organisational research programmes, thematic policy advocacy, and the organisational approach to, and technical support to Programme Departments and the research team on gender and monitoring, evaluation and learning (MEL) and policy advocacy. The RAP Department includes the CR EU team based in Brussels. 

Job Purpose 

The Head of Monitoring, Evaluation and Learning leads on developing and implementing Conciliation Resources’ strategy, systems and skills for MEL in our peace practice. They ensure that MEL in CR serves to: evaluate the impact of our interventions; improve adaptability and effectiveness of our practice, including the objectives in our Gender Strategy; record, organise and learn from evidence of what works and what doesn’t; improve our knowledge base, culture and practice of capturing and measuring change; and inform CR and the wider peacebuilding sector about how to measure progress in peace initiatives. 

The Head of Monitoring, Evaluation and Learning acts as the technical lead on MEL, providing thought leadership, strategic guidance and technical advice to Programme and RAP teams on MEL; on learning goals in our Strategic Plan; on measuring progress towards our peacebuilding goals, our Theory of Change and our Results Framework; and on how to use MEL data for different strategic processes. 

Scope and Accountability 

The Head of Monitoring, Evaluation and Learning is accountable to and line-managed by the 

Director of Research, Advisory and Policy, and is a member of the Research, Advisory and Policy team. They work closely with CR Programme Departments and partners, Communications and Development teams, and the Executive Management Team. They are a member of the Team Leaders Forum.

Our Gambling Outreach And Living Support service GOALS is our community-based support service that provides bespoke and holistic 1:1 and group support to individuals and affected other impacted by gambling harms.

Our aim is to deliver an impactful GOALS service across London which builds effective networks of support for people before, during and after treatment.

A main aspect of the role will be to support and work closely with individuals presenting with lived experience of gambling harm issues and/or people affected by this issue. The GOALS Supporter will understand gambling related harm and dependency issues and be able to ensure safe working environments and take a robust lead on safeguarding and harm minimisation procedures and policy.

The post holder will work with the Head of Support Services and GOALS Coordinator to support the development and maintenance of the systems and structure of the service, ensuring that governance and polices are implemented, safeguarding and safe working practices are systematic and develop a clear understanding of how the service integrates with the national gambling treatment service.

Other support activities will be developed, such as group support and weekly meet ups.

The post holder will develop and maintain relationships with key stakeholders, deliver presentations and other promotions within community, education and health centres to help grow and develop the service.

About the role

We are looking for an Engagement Manager to join our team while our Director of Development is on maternity leave. The person will be responsible for project managing the work of the engagement team. As a key member of our team, you will:

· Support our approach to securing both statutory income (grants and contracts) and voluntary income (trusts,      corporates, major donors, individuals), in partnership with the Leadership Team.

Southall Community Alliance is a charity that has been working in Southall for over 30 years. People & Culture

• Lead the review and development of HR policies and processes to ensure that they embody People’s Economy’s values, and support effective working and staff wellbeing, drawing in external expertise as necessary.

• Lead the development and implementation of recruitment processes for staff vacancies, ensuring compliance with People’s Economy’s recruitment policy and employment law.

• Lead the implementation of formal HR processes e.g. disciplinary processes, contract variations, and act as the key point of contact with People’s Economy’s external HR advisers. 

• Contribute to the development of organisational culture and values and ensure that they are embedded, promoted and enacted throughout the organisation.

• Lead review and development of People’s Economy’s safeguarding policy, processes and practice including staff and trustee training.

• Lead the work to build and maintain staff health and safety and wellbeing, through developing appropriate systems, processes and practices.

• Undertake day-to-day HR administration, including leave booking and sickness absence recording. 

Operations

• Develop policies, systems and processes to support the effective functioning of the organisation and (with support from the Programme Director) which support the implementation of programme and project delivery.

Finance

• Lead People’s Economy’s financial management and control, including:

  • Manage People’s Economy’s book-keeping and payroll providers to ensure that high quality records of income and expenditure are maintained and the smooth operation of supplier payments, invoicing, payroll and pensions contributions.

  • Oversee the timely production of regular financial reporting including management accounts, cash forecasting and quarterly reporting to the Board. Scrutinise regular finance reports and work to resolve any issues identified. 

  • Liaise with People’s Economy’s accountant and manage the annual process of independent examination and producing year-end reports and accounts.

• Lead on financial planning, including the preparation of an annual organisational budget and lead on updating budget information throughout the year.

• Create systems and processes to support staff to develop and manage budgets for the programmes and projects that they are leading.

• With support from the Executive Director, lead the development of organisational business plans and monitoring of progress against them, including reporting on progress to the Trustee Board.

• Lead on maintaining robust and up-to-date information about the organisation’s income pipeline. 

• Lead on fundraising administration:

  • Track progress against income targets ensuring information is kept up to date and regularly updating the Executive Director on the position.

Governance and Legal

About Us:

Write Back is a registered charity which builds self-esteem among marginalised young people by helping them to tell their own stories. We foster self-respect, community and independent voices for young people through immersive and inspiring storytelling programmes.

We have been operational since September 2019 and, in early 2020, registered with the Charity Commission and recruited a board of trustees. We have operated on a mostly voluntary basis and are now able to secure a more sustainable model for the charity.

We are now looking to take on at least one storytelling facilitator who can expand our capacity by supporting delivery of our programmes.

What We Do:

We run 10-week storytelling programmes open to students aged between 13 and 16 and identified by their teachers as lacking confidence, self-esteem or a creative outlet. These young people are referred to us by schools in Barking and Dagenham, and are then enrolled in our programmes at the Future Youth Zone, an award-winning local youth centre. In each session we run confidence-building activities, engage with the writing of a young author and then develop the stories of the participating young people. The 10-week project also involves working with writers and artists and culminates with the celebration of the young people’s work including in books, local museum exhibitions and much more.

Alongside our main projects, we run a graduate scheme that offers new creative opportunities for young people who have completed a 10-week programme. We also run bespoke, one-off storytelling sessions for young people in collaboration with other partners.

Our sessions primarily run in Future Youth Zone near Becontree but we also deliver other projects across Barking and Dagenham. Typically each group contains around 14-20 young storytellers.

What We’re Looking For:

We are looking for a passionate, engaged and collaborative facilitator with experience of youth work and storytelling who can help deliver our programmes. Depending on the availability of the candidate and the delivery needs, this would look like either leading on delivery of one of our pilot projects or assisting with the Director in the delivery of our core programmes.

We are looking for people initially interested in joining us on a freelance basis or part time one day a week from January to July 2025. We anticipate that, as we grow, there are likely to be expanded opportunities after this.

Objectives of Role:

● To co-deliver highly impactful storytelling programmes in Barking and Dagenham.

● To ensure the safety of young people and adults working for or with Write Back.

● To collaborate effectively with other members of our small staff and voluntary team.

● To show every young person we work with that they have a story to tell and the power to tell it.

● To participate in the planning, delivery and evaluation of our storytelling programmes.

● To assist young storytellers in telling and writing their stories and provide empowering and impactful feedback.
