The PA to the Director of Education is responsible for acting as the first line of contact for the Director of Education, his diary management, the maintenance of administrative systems, and for general secretarial and administrative duties. Key to the smooth running of our education services, the role also involves liaison with the administrative team in the services and the charity. The role will require dealing with highly confidential matters with tact and diplomacy.
To act as first line contact for the Director of Education, ensuring telephone callers, visitors and staff receive a professional response and are dealt with by the appropriate person
To communicate and liaise with staff, parents, governors, trustees, members of the local community and other external parties as appropriate, developing positive and courteous relationships with all
To manage the Director of Education’s diary with confidence and organise his day-to-day commitments To manage all incoming and outgoing correspondence to and from the Director of Education, including drafting letters and emails
To assist the Director of Education by dealing with all administrative functions, anticipating and scheduling meetings, including booking rooms, providing refreshments, preparation of materials and minute taking, in order to ensure their timeliness and smooth-running
To support and contribute to the charity’s responsibility for safeguarding learners, showing absolute confidentiality and discretion at all times To cover routine events or emergencies with equilibrium and confidence.
The ability to keep calm in any situation and to deal with anyone who may be upset or emotional will be an asset Assisting in co-ordinating arrangements for service or charity-wide events, including sending out invitations and collation of replies To work closely with other members of the office and administration team, supporting their work, attending meetings and covering for absent colleagues as required

About You

Your Main Responsibilities:
- Leadership & Management: Build strong working relationships, providing leadership and management for the staff team of 12 plus volunteers.
- Operational Management: Oversee the day-to-day management and running of the Centre.
- Service Delivery: Ensure high-quality activities and programmes are provided, seeking and acting on feedback from service users.
- Stakeholder Engagement: Raise awareness of our work and build our profile with key local and national stakeholders.
- Accommodation Oversight: Manage the development and running of the semi-independent living accommodation.
- Reporting to Funders: Manage robust monitoring and evaluation processes for timely reporting to funders and commissioning bodies.
- Fundraising: Support the Board of Trustees to secure new funding avenues in line with the charity’s objectives.
- Safeguarding: Be the main point of contact for safeguarding concerns and ensure processes are followed.
Due to the nature of the role, flexibility is required. The Centre is staffed on a 24-hour basis, and you will support safeguarding issues that occur outside of working hours (on a rota basis). Out of hours work may be necessary to meet the charity’s needs.
Person Specification
Essential Criteria:
- Experience in operations management and/or strategic leadership, ideally within a health and social care, childcare, or education setting.
- Proven leadership and people management skills.
- Highly numerate with a successful track record in managing budgets and delivering value for money.
- Excellent IT skills with the ability to learn and use new software and packages.
Desirable Criteria:
- Experience managing safeguarding and an understanding of Wales Safeguarding Procedures.
- Experience working with our beneficiary group, including children in mainstream care, secure residential settings, kinship care, Special Guardianship care, and foster carers.
- Experience with stakeholder engagement and/or public speaking.
- Service development and management of commissioned services experience.
- A recognised qualification in management and leadership or programme/project management.
- Experience working in the charity sector with a good understanding of governance requirements and the challenges in the sector, particularly in Wales.
- Experience in applying for and securing funding at national, regional, or local levels.
- Understanding and experience of implementing a trauma-informed approach.

ABOUT THE ROLE
As Philanthropic Programs Director, you will lead and keep developing AIM's Impactful Grantmaking training program and oversee our five funding circles. Your primary responsibility will be outreach, program facilitation, and hands-on philanthropic advising for the twice-annual 9-week cohorts of funders giving over $1M annually.
This is a fairly senior position with high stakes, a lot of potential for development, and outstandingly high potential for impact, and thus best suited to an individual with at a minimum 3-5 years of experience and some deep prior expertise in the philanthropic sector.
You will work closely with the Philanthropic Programs Manager in a two-person program team. You will decide collaboratively at the start of your tenure how to divide and/or share responsibilities in the categories below, as well as how to take care of operations and ad hoc tasks and projects.
KEY RESPONSIBILITIES
Program Facilitation (~40%)

The Director of Farm Programmes Quality and Partnerships is responsible for all aspects of quality programme implementation at Better Cotton small holders countries including development of programme designs and strategies, programme
The incumbent is responsible for ensuring development of high quality, evidence based, high impact, innovative programmes that deliver immediate and lasting changes in the small holders farming communities Better Cotton works in. S/he is responsible to ensure the compliance with technical standards in programme design and implementation. Primary (but not exclusively) this role will focus on programmes in China, Pakistan, India, Mozambique and other small holders’ countries.
In addition, the Director of Farm Programmes Quality and Partnerships will lead the global partnerships team and will be responsible for setting up Partnership Management Standards, supporting capacity of teams in project cycle management and supporting Better Cotton’s network of partners to ensure that their programme delivery is of high quality and integrity.
Responsibilities
In addition to actively participating in the relevant leadership fora and providing a role model for colleagues to follow in their interactions with internal and external stakeholders in line with Better Cotton’s ethos and values, the specific responsibilities of the role are:
Programme Quality and Management
- Accountability for quality and progressive improvement of Better Cotton global programme delivery.
