We are looking for an enthusiastic and proactive individual to take responsibility for the delivery of several key functions within the Supporter Care and Operations team. You will be responsible for the importing of data into the database, making sure that our supporters and beneficiaries receive an excellent experience by inputting high quality data and ensuring that our database is accurate at all times. 

You’ll have knowledge of a relational database, excellent attention to detail and be skilled and comfortable in building good working relationships. 

The role also includes providing excellent service and delivery of supporter care and thanking supporters promptly and appropriately. 

Experience required 

• Database support experience (charity database preferred but not essential) 

• Experience of formatting and importing data to a database from external sources to agreed timescales 

• Experience of exporting, de-duping and formatting data from a large dataset 

• Experience of performing complex queries to identify records that meet criteria

MAIN DUTIES AND RESPONSIBILITIES

Events Fundraising

• Assist in the planning and execution of a diverse range of fundraising events, including challenge events and community initiatives.
• Support the management of event logistics, including participant communication, volunteer coordination, and on-the-day activities.
• Collaborate with external partners and suppliers to ensure smooth event operations and build strong relationships for future collaboration.

Community Fundraising

• Lead outreach efforts to engage new local community partners, such as (small) businesses, schools, and clubs, promoting fundraising opportunities and supporting their initiatives.
• Provide stewardship for in-memory and in-celebration fundraisers, ensuring they receive the information and support needed to maximise their fundraising potential.
• To represent the charity as and when required in schools, engagement events and cheque presentations.

Supporter Care

• Serve as the primary point of contact for community and events fundraisers, delivering outstanding stewardship that enhances their experience with the charity.
• Provide timely and effective follow-up communications with supporters, ensuring they feel valued and engaged.
• Manage our CRM database.
• Maintain accurate records to track communications, income, and supporter preferences, ensuring compliance with GDPR and data protection laws.
• Continuously evaluate the supporter journey, aiming to enhance retention and engagement.

Administrative and Financial Support

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.
• Adhering to fundraising budgets, tracking income, and ensuring effective expenditure management.
• Manage the distribution of supporter resources, conduct stock checks for fundraising materials and ensure an organised work environment for all fundraising assets.
• Overseeing our online shop.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc) and social media content to inspire participation in fundraising activities.
• Produce regular newsletters and impact reports.
• Ensure fundraising and associated webpages are kept up to date.
• Collate information for the Head of Fundraising to support trust and foundation applications.

Team Collaboration

• Work collaboratively with the wider team (when required) to support in-hospital and community events as well as assisting with tasks as needed to ensure smooth charity operations.
• Support team members with ad hoc projects, activities, and any high-priority tasks to contribute to overall team objectives.
• Any other duties as required by the Head of Fundraising.

ADDITIONAL INFORMATION

Salary is £27000 - £29,000 (depending on experience) FTE per annum. The role covers 30 hours per week. A minimum of one day per week working in our charity office and the remaining hours working remotely which may be spread across 3-4 days depending on preference and will be discussed at the interview stage. Occasional evening and weekend work subject to our events calendar.

One-year fixed term contract however there is potential to increase working hours and / or extend contract length after 12 months subject to performance.

A full driving licence or the ability to travel to events and meetings within London and the South East is essential.

Role Purpose

Overall Purpose

Support the grants team in recording and maintaining accurate data, ensuring records are complete, up-to-date, and compliant. Conduct routine system checks and regular data cleansing as required.

Support monitoring received from grantees, helping extract key data and learning, checked by Head of Impact.

Provide support to Head of Impact with Salesforce CRM training to internal teams to enhance data usage and impact measurement.

Performance Management

Collect, analyse, and present relevant data on a quarterly basis to support donor reporting.

Relationship Management

Regularly connect and engage with wider Community Foundation network to ensure BLCF’s data systems remain fit for purpose and aligned with sector best practices.

Participate in cross-foundation learning initiatives to stay updated on trends in data-driven grantmaking and impact measurement.

Role Purpose

The Operations Director is a critical leadership role responsible for ensuring the efficient and effective running of all operational aspects of Katherine Low Settlement. This role oversees the day-to-day operational leadership of the charity, ensuring that its systems, processes, and teams are aligned with strategic objectives and compliant with relevant legislation.

This position will lead on programme delivery, financial management, human resources, IT infrastructure, risk and compliance, governance, and facilities management, ensuring that the organisation operates smoothly and sustainably. The post-holder will act as the Designated Safeguarding Lead (DSL), embedding a strong safeguarding culture across the organisation, and also be responsible for policy development and culture and wellbeing.

Job Title: Finance Officer 

 Job Description 

 Job purpose 

You will be responsible for managing the financial transactions of the organisation. Working closely with the Finance Manager to ensure all financial systems are implemented effectively while ensuring data integrity and compliance with accounting standards. In addition, you will assist the Finance Manager in maintaining a functional and safe office environment in accordance with employment and health and safety laws. 

 Key duties:

 Financial:

 Accounts Payable

• Manage the day-to-day accounts payable activity to support the organisation's short-term obligations owed to its creditors or suppliers, including but not limited to: 
• Utilise cloud-based software to manage supplier invoice activity.
• Dealing with external creditor and supplier queries. 
• Assisting the Finance Manager with supplier contract renewals.
• Manage and reconcile expense activity across all business cards utilising cloud-based software where appropriate. 
• Resolve accounting discrepancies.

Account Receivable

• Manage the day-to-day accounts receivable activity between the organisation and its clients, customers, and donors, including but not limited to: 
• Process all incoming post and utilise the CRM database to record any fundraising income.
• Ensure cheques are deposited weekly in accordance with finance policy and procedures.
• Ensure accurate billing for goods or services, not including those related to healthcare.
• Reconcile incoming payments against all invoices. 

 Month End and Period End

• Assist the Finance Manager in the preparation of accurate monthly, quarterly, and yearly accounts by performing activities including but not limited to: 
• Auditing and correcting where necessary the accounting allocation of transactional detail in accounting software. 
• Monitor and audit aged debtors and creditors- correcting errors, reconciling unallocated payments, and chasing missing invoices where needed. 
• Utilise the CRM database to calculate and submit the monthly gift aid return and perform the journal entry into accounting software.

 Payroll Administration

• Collate salary transactional data from payroll reports, update payroll apportionment sheet and prepare journal for entry into accounting software.

 Participate in Finance Audits

• Maintain records at a level which meets the needs of external auditors. Assist the Finance Manager in the preparation of document evidence and be on hand to assist during the field week section of the external audit.

 Office Duties

• Assist the Finance Manager in various office duties including but not limited to: 
• Monitoring office supply levels and replenish where necessary.
• Maintaining the organisation's small asset register.

·Provide Support in Eye Clinics: Assist parents of children and young people in an eye clinic setting, offering both emotional support and guidance.

·Offer Information & Guidance: Deliver expert advice on health, education, welfare, and social care, ensuring families are well-informed and empowered to make decisions.

·Collaborate with Professionals: Liaise with internal and external professionals to ensure coordinated care and support, facilitating smooth communication across services.
