This is an exciting time to join the Museum as we have secured investment from the UK Government to build a new science and digitisation centre at Thames Valley Science Park, University of Reading. Working closely with colleagues across the Philanthropy team you will support the team in the Patrons, Legacy and High-net-worth individual (HNWI) income streams and manage your own portfolio of Legators and HNWIs. You will focus on the administration and stewardship of the Patrons Circle and Legacy programme, account management for your portfolio of donors, data management and supporting the wider team on identifying and approaching new potential donors.
You will work closely with colleagues in the Philanthropy team and wider Development Group across varied income streams whilst also building successful working relationships with colleagues at all levels across the Museum. You will maintain a high level of organisation and excellent communication to build meaningful relationships with donors to the greatest value for the whole Museum.
The role will be line-managed by the Patrons Manager with guidance from the Philanthropy Manager (Legacies & HNWI) and Senior Philanthropy Manager.
Main tasks and responsibilities
Patrons Circle
· Support the Patrons Manager with the administration of the Patrons Circle, including delivery of the events programme, drafting newsletters, event invitations, renewal reminders, thank you letters and welcome packs.
- Support the Patrons Manager to monitor the Patrons inbox for queries and event RSVPs, resolving any requests from Patrons, logging RSVPs or escalating them to the Patrons Manager as appropriate.
· Laise with Membership and Marketing teams to integrate Patron, Member and Visitor communications and benefit delivery.
Legacy and HNWI administration and pipe-line development
- Support the Philanthropy Manager (Legacies & HNWI) with the delivery of Legacy events programme and day to day administration of the Legacy programme, including administering new bequests via Smee and Ford notifications.Steward and cultivate a warm portfolio of 50 Legacy pledgers and lower-level donors by drafting day-to-day communications, marketing emails, writing stewardship reports and sending event invitations.
· Support the wider team by planning and cultivating prospective Legators and lower-level donors under the supervision of the Philanthropy Manager (Legacies & HNWI) and Patrons Manager.
General
· Ensure that Raisers Edge is updated regularly and in line with the requirements for each event or activity and work closely with key database managers to ensure records are kept up to date.
· Support the Senior Philanthropy Manager and wider Philanthropy team with meeting, visit and event organisation, including, supporting the delivery of events and writing briefings ahead of donor meetings.
· Support the wider Philanthropy team with Raiser’s Edge data- inputting and gift administration, including gift processing, acceptance and due diligence forms.
· Deputise for Patrons Manager and Philanthropy Manager (Legacies & HNWI) on designated accounts in order to handle day-to-day requests and flow of information, arrangements for meetings and thanking.

The Philanthropy Manager is a key member of the Philanthropy & Partner Engagement Department which sits within War Child’s award-winning Fundraising team. Your Role
The Philanthropy Manager role is crucial in helping raise funds to enable our rapid growth and the expansion of our impact. Reporting to the Philanthropy Lead, you will be responsible for developing an excellent stewardship programme which grows unrestricted and restricted income and nurtures relationships with War Child’s existing major donors. You will use excellent communication skills to write compelling and tailored proposals to increase our reach.
As an integral member of the Philanthropy and Partner Engagement Department, you will bring creativity, insight and experience to the team, as well as being a key voice and representative internally and externally. You will contribute to the wider Fundraising & Communications strategy by taking a lead role in cross-team projects and activities.
Your Responsibilities
- Systematically identify, qualify, and strategise a pipeline for up to six figure gifts for both unrestricted and restricted giving
- Lead on building an excellent stewardship programme, supporting relationship managers across the team to deliver sector leading supporter journeys
- Develop and implement strong cultivation and solicitation plans for existing donors to generate significant income from the portfolio. This will include personal meetings, attending networking events, writing proposals/reports and making presentations
- Take an active role, and lead where relevant, on the planning and delivery of a diverse portfolio of philanthropy events, including events that are hosted by Ambassadors
- Support on the development of new fundraising products which drive the stewardship programme and the retention of major donors
- Actively participate in regular department, team or working group meetings, contributing to strategy discussion and decisions that will be beneficial to the development of fundraising activities
- Record all communications with major donors on War Child’s database, Salesforce, ensuring donor information is kept up to date and properly secured at all times.

You Are
- Experienced in a similar fundraising role, with a specialist knowledge of major donor fundraising, ideally within an international development or humanitarian NGO
- Able to work independently to develop and implement fundraising strategies with a proven track record of securing five-figure gifts and delivering against targets
- A relationship manager with strong networking skills at senior levels internally and externally
- Experienced in stewardship strategies for major donors or the development of supporter journeys in order to retain donors
- Excellent skills in presenting information, verbally and in writing, including briefings and project reports to a range of audiences in a clear and confident manner
- Able to understand international development including War Child’s vision, mission and values and present War Child’s work with authority
- Organised and able to plan and prioritise to meet multiple deadlines
- Able to demonstrate experience of successfully planning and delivering events.
- Up to date in your knowledge of fundraising regulation, compliance and GDPR, and its implications for fundraising policy and practise.

This is a new role at the DEC and developed as a key part of the DEC’s 2024-2029 strategy. The DEC has a wide range of established relationships with trusts and foundations, many of which give 6- and 7-figure sums to DEC appeals. The Trusts & Foundations Manager will be responsible for providing excellent stewardship to our portfolio of trusts and foundations. In addition, the role will also be responsible for cultivating new relationships for the DEC through thorough research, and through the prospect development cycle, to raise money for DEC appeals. In addition to appeal fundraising, the Trusts & Foundations Manager will be responsible for delivering on a new core cost fundraising strategy, in close partnership with the Head of Philanthropy & Partnerships.
Demonstrable, transferable trusts and foundations experience and knowledge, (preferably within the humanitarian & charity sector), will hold you in good stead for this exciting new role.
Key responsibilities include:
Strategic Development: Develop and manage the trusts and foundations portfolio and create compelling proposals for future appeals and core costs income. Showcase new ideas and innovative approaches for growing and developing a pipeline of new prospects. Develop engaging stewardship plans.
Administrative Compliance: Lead and manage, robust and professional grant management, ensuring systems and processes are fit for purpose, streamlined and accessible. IRC UK
IRC UK was established in London in 1997 to support the organisation’s global activities and

The Purpose of the Role
The Grants Manager ensures the quality of and efficient processes for proposal development and grants management; and manages the delivery of the IRC UK’s business development ambitions under the Strategic Action Plan.
Key Working Relationships:
Position reports to Director RAI UK. Position works closely with the Regional Grants Advisor, Program Development Advisor, Head of Programmes and RAI UK project leads.
Key Accountabilities:
Business Development:
- Identify, investigate, track, and support positioning for funding opportunities for IRC UK in in collaboration with regional business development and RAI UK management
- Develop, lead, and track proposal development processes, directly coordinating and managing the development of proposals and concept notes in collaboration with multiple stakeholders;
- Ensure proposals are timely tracked with standard IRC tracking tools
- Assist in compiling and editing proposal budgets and ensure communication and coordination between all departments (finance, programs, and operations) in drafting of budgets
- Provide weekly update to RAI UK on business development, including go/no-go, proposals submitted, wins / losses, etc;
- Drive IRC best practice in business development, including MEL, PEERS, financial planning, the IRC Way, etc;
- Allocate business development tasks and responsibilities to proposal and opportunity team;
- Maintenance of BD records: Pipeline , Partner tracker, BD Notebook (partner meetings, Go-No/Go, positioning, etc.,)
Grants & Contract Management
- Ensure that grants and contracts are implemented in compliance with IRC and relevant donor regulations, as well as maintenance of updated grant files and grant management tools;
- Support Project Managers with quarterly project implementation meetings, following up on any action points related to donor communication and flagging any concerns to RAI leadership in a timely manner;
- Assist project managers, operations staff, and partners with understanding the reporting and other compliance requirements on their grants/sub-grants;
- Manage all reporting deadlines, develop calendars for report development and coordinate report compilation and review;
- Support the MEL team to develop strong Monitoring, Evaluation and Learning practices throughout the portfolio;
- Coordinate modifications to any agreements or projects (i.e. extensions, indicator changes, budget realignments), as necessary;
- Act as focal point for communications with Regional Program Support Team (RPST) around grants administration and compliance functions;
- Act as Compliance officer for UK grants such as the Refugee Employability Project (REP), ensuring adherence to contract requirements such as social value and KPIs, standard contract T&Cs;
- Coordinate with donors on grants management, project progress, monitoring and evaluation.
Partnership Management
- Support in stakeholder analysis and potential partner identification on business development, live projects and for future opportunities;
- Oversee the process of negotiating pre-award agreements with potential partners;
- Work with Programme Managers to keep Partner Tracker up to date;
- Review and advise on all partner agreements (including log frame, budget, spending and workplan); ensure review of partner agreements and provide recommendations
- Ensure adherence to IRC’s Partnership Excellence for Equality and Results System (the ‘PEER System’ or ‘PEERS’) in the selection and management of IRC UK’s partnerships.
- Support Programme Officer with partner vetting and due diligence process in line with IRC’s policies and standards and support collaborative risk management and project design
- Support the review of the performance of the partner, of the IRC (including on the basis of partner feedback), and of the partnership, including successes, challenges and lessons learned, fostering ongoing partnerships beyond the sub-award project cycle.
PERSON SPECIFICATION

- Minimum two years experience working in an NGO and with local community organisations or charity partners;

About the position
The GMS Support Manager will be responsible for leading on the day-to-day operations of the Freedom Fund’s new Salesforce Grant Management System. The project to develop the new GMS is currently in progress, with user training expected to take place in January 2025 and the Go Live planned for February 2025. The transition to the new system will be a significant change in the organisation’s way of working; currently the Freedom Fund’s grant management process is manual and spread over multiple different platforms.
Initially, the focus of the role will be on supporting the Freedom Fund staff as they transition to using the new system, including assisting with user training and working with the implementation partner Hyphen8 to identify and resolve any issues that arise. Following Go Live, the GMS Support Manager will be responsible for leading on administration and maintenance of the system, requiring a good technical knowledge of how Salesforce works. The role will be responsible for user training and support, leading on staff consultation for future system developments and prioritising requests. The successful candidate will also act as the main point of contact between the Freedom Fund and implementation partner Hyphen8 for both ongoing support and future development phases.
Responsibilities
• Support the roll-out of the Freedom Fund’s new Grant Management System, including supporting Hyphen8 with user training and troubleshooting any issues that arise during the transition.

ABOUT THE ROLE
We are looking for an organised and proactive person who will lead the delivery team for our Grant Management portfolio and Process Hosting services. This involves ‘account management’, which means supporting groups as they scale, as well as oversight of the services. You will manage at least two Partnerships Managers, each with their own portfolio of groups, and be responsible for continuing to shape and refine the delivery of the service.
Many of our groups are at the beginning of their journey in impact or size. Our Grant Management service supports our groups through this journey, ensuring we understand their needs, finding practical solutions to support them to achieve their goals, ensuring contracts are delivered in line with agreements, supporting them with budgeting and advising where financial decisions need to be made. Our Process Hosting service is new but growing, and provides groups, coalitions and networks with crucial admin, governance and secretarial support suited to non-hierarchical structures. As the Senior Account Manager, you will be responsible for supporting groups and leaders facing complex dynamics and testing creative solutions to address their challenges.
This role combines customer service, impact-scaling support, account management, deep facilitation and team leadership. This role will be an integral part of the business, and your understanding of the service and what is important for our groups will support the growth of our business. You will report to the Head of Programmes and work closely with the rest of the Delivery team as well as other functions across SCN.

Account management (60%):
You will manage several partner accounts, specifically those that are high profile or complex. For Grant Management, this involves:

The Direct Marketing Manager, Retention, is a newly developed role at the DEC, responsible for shaping and delivering new and existing supporter journeys for DEC individual, community and legacy donors, and leading a programme of improvement across all major contact points between the DEC and the public.
The Direct Marketing Manager, Retention will:
- Contribute to and develop DEC direct marketing strategies, including the refreshing, implementation and analysis of the DEC’s segmentation, to maximise future income and continually improve the retention of individual supporters for future emergency appeals,
- Lead on the production of retention and reporting back materials for individual and community supporters,
- Manage the development and maintenance of specific supporter journeys,

As our reach and impact has increased significantly in recent years, so has our income, and this new role has been created in response to that demand. We are a very small team so the role will cover a breadth of funding streams, with a particular focus on Trusts and Foundations, High Value Donors, and Events, both special and community.
