About MammaKind

MammaKind alleviates hardship for mums with young children living in poverty across Greenwich, Lewisham, Bromley, and Bexley. We gather new and pre-loved donations of clothing, toiletries, and equipment, distributing them through a network of over 100 referral partners, including NHS professionals, local councils, and charities. In 2023, we supported 2,677 individuals, including 1,519 children across 917 families with donations valued at £809,854.

Driven by a dedicated group of parent volunteers focused on reducing child poverty, MammaKind envisions a capital where every child has access to the essential items necessary for thriving.

Purpose of Role

Regifting pre-loved and new baby equipment, clothes, and toys to families in poverty is at the heart of what we do.

The warehouse manager plays a pivotal role managing the warehouse and volunteers to streamline the donation process, ensuring safety, compliance, and effective stock management from donation intake to distribution. Working towards our overall organisational goals of supporting as many children as possible.

Key Tasks and Accountabilities

Warehouse management:

· Warehouse layout and organisation, to ensure that the donation and referral process is as efficient as possible. 

· Keeping the warehouse clean and tidy and compliant with health & safety legislation.

· Responsible for adherence to agreed Health & Safety policy in the warehouse, including responsibility for volunteer health & safety induction and their safety whilst on site.

· Managing warehouse budget (cleaning, maintenance) and contractor liaison for maintenance issues.

· Responsible for facilities management and one of the designated key holders for the warehouse.

· Expected to be based in the warehouse 5 days per week between 09.30 and 16.30.

Stock management.

· Ownership of the lifecycle of MammaKind’s stock from start to finish.

· Directing strategy for donations and targeted donation drives/providing guidance to social media channels to ensure that we are trying to obtain the goods we need and not those we don’t.

· Managing incoming donations (which arrive in volatile quantities): checking donated equipment. Ensuring the quality and compliance of donations meets MammaKind’s high standard.

· Liaison with Referrals Manager to ensure that warehouse is appropriately stocked for forthcoming referrals.

· Keeping records of stock levels to ensure that stock of particular items does not fall too low or rise too high.

· Buying of stock to replenish essentials (including collection of stock from suppliers), managing to agreed budgets.

· Download and print manuals for items to be sent to clients, creating instructions where no instructions are available online.

• Driving a delivery van to and from multiple sites moving equipment and stock. Unload and loading delivery van, sorting and placing items on to racks, and shelves and using trollies to move kit around.
• On occasion delivering referrals to referral partners and emergency referrals.

Volunteer Management

· Weekly co-ordination of volunteers for warehouse sessions (sorting and creating bundles for clients).

· Planning and organisation of volunteer sessions in terms of task management (to ensure stock levels are optimally maintained).

· Manage volunteers, ensuring they understand tasks, work to the standard of their training and to MammaKind’s standards. Serve as the point of contact for volunteer queries during sessions.

· Manage volunteer drivers with loading and despatch schedules such as arranging collections of donations and refuse centre trips.

· Coordinate with the Referral Manager and Head of Operations to manage stock levels. Using Salesforce data to determine core stock levels.

Operational Support:

· Actively foster an inclusive and supportive workplace culture in line with MammaKind’s values.

· Provide reports of donations to the Head of Operations and collaborate closely to refine and enhance processes as needed.

· Work closely with the Referral Manager & Head of Operations to ensure the smooth running of weekly activities, to ensure any priorities for that week are completed and any outstanding tasks are communicated to the Head of Operations.

· Monthly reporting against budget to Head of Operations.

· Represent MammaKind at community events as needed, including occasional Saturday Big Sorts.

What we can offer

This is an exciting role that refreshes the way Hearing Dogs for Deaf People delivers its key community events, both physically and digitally. It has full support from the Executive Leadership Team and respective teams, who are excited and ready to support its development.

Fundraising Operations and Supporter Services:

• Ensure systems effectively support and prioritise workflow across the Fundraising Operations team and utilise to manage across the team.
• Accountable for accurate reconciliation of finance and Fundraising CRM systems within defined timeframe from month end.
• Accountable for the management of Gift Aid Declarations in Salesforce, and work with the Finance team to manage the monthly Gift Aid claim.
• Work with the Supporter Services and Compliance Manager and wider Fundraising team to ensure appropriate and complaint business processes are in place and kept up-to-date.
• Oversee the develop and management of robust processes for monitoring and responding to supporter complaints. Ensure the development and delivery of management information related to supporter complaints.
• Oversee the management of relationships with external fulfilment houses, payment providers (Stripe, GoCardless), and fundraising platforms (Enthuse, Just Giving, CAF, CAF America) on behalf of FareShare to ensure compliance and optimal supporter experience.

Fundraising Compliance, Policy Development and Risk Management:

• Work with the Fundraising team and with Fundraising SLT to ensure relevant and compliant policies are in place and kept up-to-date.
• Develop and implement approval processes to ensure compliance of Fundraising activities across all relevant areas of legislation (GDPR, PECR, Gift Aid, Code of Fundraising Practice)
• Work with the Fundraising and Marketing teams to ensure compliance in Data Protection legislation (GDPR and PECR) across fundraising campaigns and activities.
• Ensure DPIAs (Data Protection Impact Assessments) are undertaken when needed and escalated as appropriate.
• Ensure all Fundraising Gift Aid processes and records are in line with HRMC requirements. Support the Finance team with any HRMC Gift Aid audit.
• Advise the Fundraising team on appropriate implementation of the Code of Fundraising Practice across their activities to ensure compliance.
• Ensure compliance with FareShare gift acceptance policy through the management of the due diligence process.
• Be responsible for drafting and maintaining fundraising policies to ensure compliance with all relevant legislation and best practice.
• Manage the fundraising risk register ensuring risks are documented, understood, managed, and escalated as appropriate.
• Act as a trusted advisor to senior stakeholders on fundraising compliance.

Person Specification 

Essential Criteria 

• Experience in leading and managing a team or function, and strong motivator of people.
• Strong knowledge of Salesforce or another similar CRM, particularly in relation to fundraising and donor management. 
• Proficiency in data analysis and reporting within Salesforce or another similar CRM, particularly in relation to fundraising in a non-profit organisation.
• Strong understanding of fundraising supporter services and data management processes, and best practices. 
• Understanding of financial reconciliation processes and the role of a CRM in effectively managing income processing.
• High level of knowledge of the fundraising regulatory environment, including the Fundraising Regulator Code of Practice, HRMC Gift Aid regulations, GDPR and PECR.
• Experience of supplier management (ideally within a customer-facing service environment) with the ability to proactively manage supplier contracts and relationships to maintain the best-possible service and value.
• Excel to an advanced standard, as well as Microsoft Word, Outlook, and PowerPoint.
• Excellent project management skills, with the ability to manage multiple projects simultaneously.

The Marketing and Communications Manager is a new role which has been created to support the continued growth of Raise: Cumbria Community Forest, building upon assets developed by an experienced Associate.

As a member of a small, dedicated team, this is a hands-on role, requiring both strategic thinking and practical implementation.You will deliver all day-to-day marketing and communications activities, including multichannel campaigns, social media management, and content creation.

Our partner seeks a technically strong accountant to offer support in the day-to-day running of their finance function, covering a period of staff absence. This is a 2 month FTC.

Responsibilities

• Bookkeeping, and posting journal entries
• Monthly reconciliation of income, bank accounts and petty cash, and monthly reconciliations of balance sheet control accounts.
• Process the monthly payroll.
• Raise and issue sales invoices.
• Lead on the payments approval process; prepare and process the weekly payment run of supplier invoices, grants and expenses; and process credit cards.

Requirements

• Qualified or part-qualified accountant with a strong grounding in technical accounting covering double entry bookkeeping, managing invoices and expenses, and undertaking monthly reconciliations.
