Care Coordinator

Position: Care Coordinator
Location: Leeds Office (Beeston)
Job type: Permanent, Full-time 9-5pm
Salary: £27,000 per annum + generous on-call payments

About the role:

You will plan and organise care, establishing effective rotas for well-trained care teams, minimising travel, and maximising care continuity, enabling care colleagues to spend as much time as possible with the people they support. You will be a skilled communicator, sharing important information, ensuring people receive the care they need.

Your key responsibilities will include:

Coordination of Care

• Create consistent runs and rotas, matching customers, and colleagues to maintain high levels of care continuity.
• Ensure care calls are covered in advance, to minimise the impact of unplanned colleague absences.
• Work with the Trainer to schedule training and shadowing for care colleagues, providing cover for their care calls or negotiating additional time for training compliance.

Maintaining accurate records and information for:

• Care calls, ensuring they are scheduled to meet the needs, wishes and preferences of the people we support.
• Colleague records, their availability, absences, location and travel, and other important information to ensure you know who is available to work each day.
• Contact logs and other records of communication on the care system.

Care Quality and Customer Satisfaction

• Communicate with the people we support, their families and care colleagues regarding new care services and changes to care services.
• Establish and maintain professional relationships with the people we support, their families, colleagues, and external partners/services.
• Communicate in a timely manner, responding to concerns and issues - intervening early, resolving issues before they escalate, keeping colleagues informed and requesting support when needed.

The position we have on offer is for our Home from Hospital Manager working across North Yorkshire. This role involves visiting hospitals across North Yorkshire but some admin tasks can be completed from home.

Our Home from Hospital service support safe and timely hospital discharges and positively contributes to patient flow and a smooth transition home for our clients.

Overview

The Operations and Systems Manager is a key role in the Operations Team and will focus on ensuring that our staff, all home-working and many based internationally, can engage positively with Global Dialogue’s operational systems and processes. The scope of the role covers IT and digital tools, digital security, data management, HR, insurance and travel, as well as the organisation’s equipment, and health and safety protocols.

Job Description

• Responsible for the maintenance and development of systems and processes that support Global Dialogue’s operations across a range of functions.
• Provide operational support to programme staff across the organisation as needs arise.
• Collaborate with Operations Team colleagues to improve cross-functional ways of working and play an active role in the development of projects that enhance Global Dialogue’s ‘offer’ to hosted programmes.

IT, Digital Security and Data Management

• Oversee Global Dialogue’s IT provision, managing the relationship with and acting as the main point of contact for our external IT support, as well as fielding programme requests and managing costs.
• Maintain an overview of Global Dialogue’s user accounts across SharePoint and other digital tools, ensuring pricing, licencing and permissions are effectively managed across all platforms.
• Maintain and develop Global Dialogue’s practice and policies in relation to GDPR, ensuring that they are applied across the organisation, and take ownership of the organisation’s SharePoint structure.
• Support the development of Global Dialogue’s digital security offer to hosted programmes, so that the organisation has the tools and infrastructure to respond effectively to associated risks/threats.
• Responsible for scoping and implementing digital solutions that effectively support business operations.
• Source and maintain an overview of Global Dialogue’s IT hardware, phones and other equipment, including managing logistics and the phasing out of old equipment.
• Help to keep Global Dialogue’s website updated, liaising with external web developers where needed.

People and Care

• Support internal processes and systems for starters, leavers and existing staff; maintain an overview of mandatory staff training, as well as ensuring compliance of health and safety in the context of remote working.
• Provide administrative support across contract management and compliance tasks, referring on and tracking progress where needed.

Travel, events and insurance

• Responsible for Global Dialogue’s insurance policies (office, events, travel), ensuring that they are up do date and reflect organisational needs, as well as dealing with insurance queries and processing claims.
• Oversees systems for managing international travel, ensuring that risk management protocols are followed, and advising on compliance as required.

Other

• Maintain an overview of the organisation’s memberships and subscriptions, ensuring renewals and payments are up to date.

The UK Humanitarian Innovation Hub (UKHIH) is looking to recruit a Communications and Engagement Manager for a Maternity Cover for up to 1 year. 

In this role you will have the opportunity to lead processes and activities in support of the design and delivery of the UK Humanitarian Innovation Hub’s (UKHIH) global communications and engagement strategy under the direction and guidance of the UKHIH Director.

The role will require you to have strong campaign and project management skills and a passion for driving the conversation around humanitarian research and innovation by delivering integrated multi-channel communications campaigns to engage the key stakeholders and drive impact around our work. 

The role also leads UKHIH’s convening work – bringing together stakeholders (e.g., innovators, academics, and humanitarians) through a range of mechanisms to promote and facilitate collaborations that focus on new and improved approaches, processes, and systems that make humanitarian action more effective.

The UKHIH Communications and Engagement Manager will work closely with Elrha’s communications team to align communications as part of a broader organisational development process and strategy, contributing to ongoing communications efforts for both Elrha and UKHIH during a period of strategic change. 

Your application will need to demonstrate: 

• Experience of planning and delivering multi-channel communications strategies in a way that is timely, targeted, impactful and ethical. 
• Experience in the international development or humanitarian sector, including an awareness of humanitarian issues and the way that the humanitarian system operates in terms of relevant media, networks, and organisations.  
• Excellent track record of Experience of managing external communications suppliers and agencies.

The Contactless giving Fundraising Team sits within the wider F2F Fundraising and Individual Giving Team

This important role entails working with the Trusts regional teams as a Team Leader within the wider Face to Face (F2F) fundraising team In this particular instance this role will have a focus on championing our Contactless Giving Workstreams across the regions, with the support of their face to face fundraising colleagues.

They are responsible for delivery of our contactless giving programme and ensuring that they are able to setup a maintain a varied programme of workstreams by sourcing and providing key technology and tools to all of the Trusts regions. You will help drive delivery of the agreed Team and individual targets and KPI’s for the region(s) with a particular focus on Contactless Giving.

This role will work across the regions as a dedicated national support and will be required at times to provide hands on coaching, training and support regionally to drive ongoing engagement and enthusiasm for the programme. They will also support the Regional Face to Face Fundraising Managers to identify and business case potential future opportunities when required.

You will play a significant role in supporting the day to day management of our contactless giving income stream by supporting our F2F Fundraisers, regional colleagues and volunteers, ensuring our Values & Behaviours and performance excellence standards are met on a consistent basis.

Location & coverage
You will be working remotely and should expect to spend more than 50% of your week out on location meeting with your fundraising team across the region.

There is an expectation of working some weekend days at our key regional events, spread over the year and being a part of the weekend Contactless Giving management rota, which denotes working at least one weekend per month.

As a remote worker you will be assigned one of our main hub spaces as as your formal base

Relevant hubs include:  Leeds, Ellesmere Port, Burnley.

Working Hours: 37 hours Monday to Friday with occasional weekend & bank holiday working.

Knowledge, Skills/Qualifications & Experience

Key Accountabilities: 

• Work with the Contactless Giving Fundraising Manager to devise robust strategies to achieve weekly & monthly volume and quality based fundraising targets, particular focus on Contactless Giving within the regions, Museums and attractions and our F2F Fundraising teams.
• Develop contactless fundraising techniques with the Contactless Giving Fundraising Manager that improve income generation for the Trust.
• Support the Face to Face fundraising management team with reviews and business casing of future fundraising opportunities for the face to face & regional fundraising programme.
• Ensure management of key contactless giving channels including devices, signage, branded clothing and collateral all contain contactless donation touchpoints across the network.
• Adhere to the IOF and Fundraising Regulator Code of conduct.
• Handle all sensitive and data protected information obtained by donors as confidential and in a safe and secure manner in line with the Trust’s GDPR and Security Procedures.
• Ensure regular Compliance checks and training sessions are delivered to the F2F team and Regional colleagues, particualrly around Contactless Giving.
• Clear, regular and timely communication with the Team and all members of the senior management team.
• Nurture and maintain positive relationships with regional colleagues to support delivery of F2F fundraising priorities, engagement and training; particularly contactless giving programme.
• Coach and mentor team members in the region and support the maintenance of performance targets and improvements where needed.
• Ensure that all data input and insight reporting is maintained for the benefit of the team including key systems such as CRM, Evergiving and other fundraising platforms and technologies.
• Support operational processes for managing equipment, managing suppliers, regulatory compliance and complaints management.

The purpose of this role will be to manage and deliver administration services associated with operational areas including Technology and Data, Human Resources, Health and Safety, and Facilities.
