Job Description
Quality Assurance
- Deal with external and internal enquiries
- Work closely with Industry Engagement and Partnership team to deliver industry-led (external) accreditation in a timely manner
- Lead the materials ordering process, including the distribution of certificates and badges to regional offices and external partners
- Take the lead on external partner feedback surveys, student data requests and observation reports, working with partners to ensure their completion and return
- Manage Quality Assurance data dashboards and work with the Head of Impact to provide evaluation and impact statistics for external Industrial Cadets accreditations
- Liaise with the Marketing team to update Industrial Cadets and Quality Assurance partner materials (such as certificates and information packs) on a periodic basis
- Perform an internal Quality Assurance moderation process three times a year to ensure consistency of delivery from internal teams and escalate any feedback where appropriate
CRM Support
- Be a Hubspot ‘super-admin’, acting as an initial point of contact for internal staff queries, making changes to the system and escalating queries internally and to external partners where appropriate
- Manage the support ticketing process for Hubspot queries
- Support, and eventually lead, weekly online Hubspot drop-in sessions for internal staff enquiries
- Perform data quality audits on Hubspot, ensuring data is entered consistently by teams in accordance with their processes, cleansing data where appropriate
Business Improvement
- Actively support the Quality Assurance Manager and Operations Director on continuous improvement projects, including supporting with team requirement gathering and process documentation
- Proactively identify opportunities to streamline internal processes or potential new initiatives, communicating this to the Quality Assurance Manager

Project Management

At the Poppy Factory, we help armed forces veterans to find meaningful and sustainable employment after service. This often means overcoming a longstanding health condition or injury, and other barriers to employment such as addiction & homelessness. As a Navigator, you will be assisting veterans who are furthest from employment to engage in meaningful activity as they look to gradually progress back towards work. Based at your home, with regular travel, including some overnight stays at our Richmond offices. The Navigator is a non-clinical role focused on supporting Veterans with mental or physical health conditions. The role aims to support them to overcome various factors impacting their lives, to achieve improved well-being and reduced social isolation. Clients of the service may present with issues around housing, accessing relevant health care services, substance misuse, education and training, financial concerns, and benefits, amongst others.

The Role

As a Training and Engagement Coordinator to the Scotland Team, you will provide effective and efficient co-ordination of resources and support, primarily related to our accredited courses, Idaa and DACA, as well as our open course and bespoke training, when capability allows. The successful candidate will need to evidence the following:
You will have knowledge and experience in:
- Demonstrable track record of operating at CEO level or similar, managing, and embedding change.
- Proven track record of managing, growing, and developing support services in line with best practice in different and diverse communities, ideally in health or social care sectors (within Mental Health specifically preferred).
- Experience in recovering reserves and developing cost-saving efficiencies.
- Experience in restructures.
- Experience working with statutory and non-statutory bodies to achieve commissioning and grant targets and to grow the charity.
- Experience of working strategically to source and secure sustainable funding solutions working within tight financial constraints.
- Building effective partnerships with internal and external stakeholders including service users based on principles of co-production.
- Educated to degree level or equivalent, with demonstrable evidence of continuous professional and personal development.
- Excellent people management and conflict resolution skills, and the ability to lead, delegate appropriately, motivate and support the performance of staff.
- Excellent understanding of safeguarding legislation and processes, safety, and quality management.
