It is an exciting time to join King’s College Hospital Charity and the Fundraising and Communications Team to support our innovative and ambitious fundraising targets. We recently had our biggest ever team at the 2024 London Landmarks Half Marathon, with 96 runners representing Team King’s and over £85,000 raised for our hospitals. The Great Hospital Hike, our flagship fundraising event, also raised over £160,000 for our hospitals, with our supporters walking the 18-mile route from King’s College Hospital in Denmark Hill to the Princess Royal University Hospital in Bromley.
The Supporter Services Assistant is often the first point of contact at the charity for supporters - handling enquiries, processing income, sending out donation thank you letters and supporter materials and mass postal mailings, where required. You will combine excellent supporter care and customer service with administrative efficiency and attention to detail to ensure that the supporter experience is smooth and positive from start to finish. You'll be skilled at listening and responding to queries appropriately, both over the telephone, via email and letter.
You will use the Access Charity Customer Relationship Management (CRM) database to make sure all supporter information is recorded consistently, kept up to date and maintained in accordance with database management procedures. You will work closely with the Database Manager and Senior Fundraising Operations Officer to highlight opportunities for improvements to processes and procedures.
Key Responsibilities:
- To give supporters a positive, consistent experience in all their interactions with the Charity, especially in response to enquiries, income handling and donor thanking.
- To ensure that income is recorded accurately and promptly on the CRM database to enable the Finance team to reconcile and correctly allocate income, and the Fundraising team to have financial oversight of their fundraising activities.
- To ensure that supporter records on the CRM database are kept up to date, adding enquiry responses, donation correspondence and amending records where requested by either the supporter, members of the Fundraising & Communications team or wider charity colleagues.

Person Specification
- Recognised accounting qualification or working towards one (AAT)

Purpose of the role
As the Executive Assistant to the CEO, you will hold a pivotal position within our team, providing essential support to the CEO. Your primary purpose is to offer high-level strategic assistance, allowing our senior leaders to concentrate fully on steering the organisation towards its mission and vision. In this role, you will embody proactive problem-solving, strategic thinking, and effective communication. Duties and responsibilities
1. Actively support the CEO with day-to-day administrative support including proactive diary management, assembling and preparing papers required by the CEO to attend meetings, prepare reports, or reply to requests for information.
2. Co-ordinate and organise meetings including board of directors' meetings, conferences, both in person and virtually. Prepare meeting agendas, minute taking and maintaining action logs.
3. Actively collaborate with the CEO and senior leadership to create engaging presentations and materials for internal and external meetings, ensuring content is well-structured and visually appealing.
4. Actively organise and maintain critical data, documents, and records, implementing a structured filing system for easy access and retrieval.
5. Researches, prioritises, and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response.
6. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.

Your new role
To provide clerical and administrative support to the staff in a busy and expanding office. To work as one of the team of Support Assistants within the Service, in the provision of an effective, efficient and responsive service.Hours: 37 hours per week within the hours of 6am-10pm on a shift basis
Main Duties & Responsibilities
- Carry out reception duties and act as 'first point of contact' for visitors to the office.
- Sorting, date stamping, scanning all documents received and distributing post and documents received into the office and verifying delivery of documents, parcels and other goods in accordance with office procedures.
- Provide clerical and administrative support to the field staff, as required.
- Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.
- Use office equipment, including the postage franking machine, facsimile machine, scanner, photocopier and computer system to carry out the duties of the post.
- Answer all incoming calls and respond to telephone queries from a wide range of sources regarding the current status of imported food cargo and charging procedures, including passing calls on to the relevant staff.
- Under the direction of the Officers, or Technical Officers, carry out documentary checking with regard to consignments of imported food (not of animal origin), and maintain all necessary electronic and paper-based records.
- Input data into internal and external database systems and carry out general internal database maintenance, e.g. modifying tables, queries and reports.
- Maintain and update electronic and paper-based filing and record systems, including the equipment inventory. Assist with the archiving of items, and deal with confidential documents appropriately.
- Under the direction of Official Veterinarians or Officers, record Products of Animal Origin and other imported food consignments on the computerised cargo handling system and port manifesting systems.
- Under the direction of Official Veterinarians or Officers, they undertake the initial documentary check for third country consignments of products of animal origin in accordance with ISO procedures and ensure that documents for charging purposes are sent to the Finance Section on a daily basis.
