PINF is the first charity in the UK that exists to support high-quality journalism. We exist at the cutting edge of charity law and need an experienced charity professional to make sure we do things properly.
As Head of Operations & Governance, you will be responsible for overseeing the back-office operations of the charity. You will be a key point of contact for the team and support the Executive Director to ensure smooth, efficient and compliant operations.
You will be a senior member of the team, responsible for ensuring that PINF operates within its legal and regulatory framework, including in relation to charity, corporate, tax, employment and data protection regulations. The role involves liaising with the Chair, Board of Trustees, Executive Director, legal advisors and regulators to support best practice in financial management, governance, risk management and compliance.
Duties and responsibilities

Financial Management

Ensure consistent delivery and quality of finance operations, including transactions processing, which will involve managing a bookkeeping service.

Prepare and monitor annual budgets, management accounts and project budgets.

Lead on the financial aspects of fundraising, contract management, and funder reporting. Including managing restricted and unrestricted funding.

Oversee the process of preparing statutory accounts, including liaising with accountants and auditors.

Maintain internal controls and policies to protect assets, prevent fraud, and ensure business continuity.

Participate in the Finance & Fundraising Committee and support the Treasurer to plan and deliver meetings.

Prepare financial reports for board meetings and engage in board discussions.

Governance

Manage our annual governance cycle, working closely with the Chair, Treasurer and Executive Director to ensure legal compliance and to plan and prepare for Board meetings including taking appropriate minutes.

Manage the organisational risk framework including identifying emerging risks and working with the Executive Director to mitigate them.

Companies House and Charity Commission filings.

Develop and maintain a suite of policy to ensure PINF meets its obligations as a charity and an employer.

Manage HR across the organisation; ensuring all HR processes and policies are fit for purpose, up to date and adhere to law, and are understood and implemented across the organisation.

Manage recruitment processes for all staff.

Ensure the smooth running of the organisation by leading operational planning and monitoring progress.

Lead on relationships and contracts with external suppliers and contractors.

Requirements

A professional qualification in finance, management, law, or a related field and at least five years’ experience relevant to this role.

Deep understanding of good governance and best practice in the charity sector.

Understanding of relevant laws relating to employment, data protection and running a charity.

Skills and attributes

Overall Purpose
To work and lead on setting clear standards for high quality gathering, recording, monitoring and use of data collected via our grant’s programmes and initiative, accessing this data to inform donor grant reports, infographic data sharing, donor reports and network reporting in an accurate and transparent way. Responsibilities
To lead on the accurate recording, management, and accessibility of data gathered through the Foundations programmes and initiatives via our Salesforce CRM system and future platforms, including potential Social Value and Social Return on Investment models.
Support the grants team in recording and maintaining accurate data, ensuring records are complete, up-to-date, and compliant. Conduct routine system checks and regular data cleansing as required.
Support monitoring received from grantees, helping extract key data and learning, checked by Head of Impact.
Provide support to Head of Impact with Salesforce CRM training to internal teams to enhance data usage and impact measurement.
Performance Management
Collect, analyse, and present relevant data on a quarterly basis to support donor reporting.
Produce data driven reports aligned with the Donor Care Plan, ensuring accuracy in evaluation, impact measurement, and End of Grant reporting (quality checked by Head of Impact).
Develop and submit annual data reports for platforms such as 360 Giving, FREA (Funders for Race Equalities Alliance), IVAR and other partnership platforms aligned to BLCF work including UK Community Foundation Quality Assurance.
Provide insights and key learnings that demonstrate the effectiveness of grantmaking, inform strategic decisions, and highlight return on investment.
Relationship Management
Regularly connect and engage with wider Community Foundation network to ensure BLCF’s data systems remain fit for purpose and aligned with sector best practices.
Participate in cross-foundation learning initiatives to stay updated on trends in data-driven grantmaking and impact measurement.
Work with the Head of Business Development to provide insights from donor trends and grant impact data, supporting fundraising and partnership strategies.
Representing the Organisation
Maintain a strong understanding of community and charity sector issues to inform BLCF’s data strategy and grantmaking approach. Ensure relevant insights are shared across the team.
Develop and maintain an appropriate network of contacts within the grantmaking sector across BLCF’s geographic reach.
Serve as a BLCF ambassador, promoting the Foundations values and impact through data storytelling and sector engagement.
Be an ambassador for the work of the Foundation by demonstrating its values in the delivery of its work.

Overall Purpose
The Office Administrator will provide comprehensive administrative and secretarial support to ensure the smooth and efficient operation of the Foundation. This role is responsible for maintaining and developing administrative systems, both manual and digital, while supporting all core functions, including executive board, grant-making, fund development, and finance. Acting as the central support for the team, the role ensures internal processes run effectively by managing key administrative tasks and coordinating internal and external meetings. Through excellent organisation and attention to detail, the Office Administrator plays a vital role in keeping the foundation connected and running seamlessly.
Responsibilities
Provide administrative support to all staff of the foundation.
Manage the administration of information systems, including filing and database management.
Type and word-process documents and letters as required.
Undertake routine collation of information relating to the foundation’s services.
Office Coordination & Communication
Serve as the first point of contact for incoming phone calls and emails, greeting and assisting visitors, and overseeing the handling of incoming and outgoing post and deliveries.
Contacting individuals and groups by telephone when clarification or further information is required.
Provide customer service support when necessary.
Administer and keep up to date the contacts database and formal records or organisations the foundation works with.
Enter details of applications and donors into CRM systems.
Maintain and develop communication with affiliated and other voluntary groups, including supporting networking events.
Operations & Supplies Management
General office administration, including the maintenance of equipment inventories, training records, PAT testing schedules, and room bookings.
Manage the ordering and stocking of stationery, equipment and other office supplies.
Marcomms Support
Assist in the preparation, production, and distribution of regular newsletters, including maintaining the mailing list database.
Assist in posting content on social media platforms.
Executive Board Assistance
Work with the CEO to prepare and manage quarterly Board meetings for Foundation, and as required, other partners (including JCT)
Prepare for meetings, including compiling and distributing board papers, managing meeting dates and availability, and ensuring logistical arrangements.
Take accurate minutes and provide general administrative support for Board level members, always ensuring strict confidentiality.
Regularly update and maintain Board requirements, including EDI data, references, annual Conflict of Interest declarations, DBS checks, and other governance related documentation including Foundation Training log and Policy changes.
Provide administrative support to the Chair of Trustees as required, ensuring they have the necessary documentation, scheduling support, and other assistance to fulfil their role effectively.
Events and PR
Assist with organising events to showcase the Foundation’s work, including functions for donors, potential donors, community and voluntary groups.
Representing BLCF
Work as an effective Ambassador for the Foundation always, including at events and external networking.

Experience
