The Sheldrick Wildlife Trust UK is seeking a creative and experienced Communications Officer to join our team for up to 14 months as maternity cover, beginning in September 2024. This is a varied role, through which the postholder will be a part of our small team in the UK. The role is on-site, based at the charity’s office in Billingshurst, West Sussex.
WHO WE ARE:
The Sheldrick Wildlife Trust has worked for over 47 years to protect wildlife and habitats in Kenya. Its projects include Anti-Poaching, Veterinary Intervention, Aerial Operations, Habitat Protection, Human-Wildlife Conflict Mitigation, and the rescue and rehabilitation of orphaned elephants, rhinos, and other wild species, all working towards a sustainable future for wildlife and communities.
In 2004, the Sheldrick Wildlife Trust UK (SWT UK) was established to protect and preserve African wildlife. Through relationship building and informed communications we raise funds to undertake direct conservation activities in Kenya, and to provide grants to SWT Kenya and other NGOs, to save wild lives and secure habitats.
KEY RESPONSIBILITIES:
As our Communications Officer, you will be responsible for managing the communications of the UK charity, inspiring and engaging both new and existing supporters. You will:
- Organise, create and schedule well-written, engaging content for a range of different audiences across various channels including email, print, and social media so that we communicate our news and story effectively.
- Maintain and develop the charity’s catalogue of marketing and communications assets, in line with charity brand guidelines, so that staff can easily access resources they need.
- Oversee, develop, and implement our communications plan, working closely with colleagues from SWT UK, and collaboratively with those from SWT Kenya, and SWT USA.
- Identify and explore opportunities to communicate conservation success stories so that we can engage new supporters in the charity.
- Write press releases, respond to media enquiries, and develop working relationships with relevant media contacts.
- Handle administrative tasks, to include reporting on donor giving, campaign effectiveness, and digital analytics, so we can produce effective communications.
- Maintain the media library, and providing support to other team members.
- Occasional new projects and responsibilities in keeping with the role and remit.

Visitor Centre
• Meet and greet visitors in a pleasant and welcoming manner • Provide informative guided tours of the working farm utilising volunteers where possible
• Work with the Cook to ensure the café is set up appropriately and in time to open and provide assistance with end of day procedures to include cashing up and cleaning down
• Assist the Senior Centre Promotions Officer and Centre Manager with the planning and organisation of a range of events in order to raise World Horse Welfare’s profile and generate income
• Deal with general enquiries relating to the hiring and use of the visitor centre’s facilities (indoor school and conference room) and all subsequent liaison and co-ordination of bookings to ensure all facilities and arrangements are as required by the event organiser
• Assist the Senior Centre Promotions Officer to co-ordinate the events diary and ensure that volunteers are organised to work as required
• Work with the Senior Centre Promotions Officer and Communications department to ensure promotional and display materials are current and accurate
• Actively encourage visitors to support the charity by signing up to memberships and other charity products • Increase the charity’s supporter database through visitor data collection
• Ensure all merchandise is presented professionally
• Working closely with the Senior Centre Promotions Officer ensure there is adequate merchandise in stock
• As directed by the Senior Centre Promotions Officer undertake stock-take of all merchandise

About Us:
Appeer is a Community Interest Company (CIC) set up to deliver services that support autistic girls and women (and those assigned female at birth) to connect with peers, to develop their life/work skills and to support their wellbeing. We provide in person and online activity groups and programmes, alternative provision, events and resources for those in the community that we serve, their parents/carers and other professionals. We are not a therapeutic setting and as such do not offer clinical support or 1:1 supervision. We were established in 2019 and have since grown rapidly from a small startup to a robust small-medium enterprise with a turnover of £250k and serving well over 400 beneficiaries a year.
All our work is firmly rooted in a ‘positive peer approach’, providing an enjoyable, pressure-free and beneficiary-centred space for connecting with others and exploring interests and hobbies in a place they can truly be themselves. KEY RESPONSIBILITIES:
Executive Support:
- Manage the Founder’s inbox, draft and send emails on their behalf, and schedule appointments.
- Arrange and coordinate meetings for the Founder with internal and external parties.
Financial Management:
- Oversee online accountancy and manage payments through the online banking platform.
- Create cashflows and budgets to forecast income and expenditure, ensuring financial stability.
- Manage the relationship with the part-time accountant/bookkeeper, overseeing the production of annual accounts and reports.
- Handle organisational memberships and subscriptions (e.g., Information Commissioner’s Office, and Living Wage Foundation).
Operations Management:
- Organise monthly clinics at different prisons, coordinating with staff at prisons and partner law firms.
- Coordinate the remote clinics, ensuring that the clinics are staffed with volunteers.
- Arrange and coordinate staff travel arrangements.
- Conduct DBS checks for employees and volunteers.
Payroll Administration:
- Set up payroll online using Xero, which automatically generates monthly payroll, pension filings, and PAYE submissions.
- Process pensions and PAYE.
Fundraising Support:
- Collaborate with the Head of Fundraising to identify Charitable Trusts and Foundations for potential applications.
- Assist in drafting funding applications and meeting with Charitable Trusts and Foundations to secure donations.
- Provide updates for funders to communicate the impact of their support.
- Keep fundraising documents updated, including the application tracker, fundraising calendar, and donations spreadsheet.
- Manage donation processes, ensuring accurate recording, acknowledgement, and stewardship of donors.
Communications and Marketing:
- Manage and curate content for the organisation’s social media platforms.
- Design compelling marketing materials to promote the organisation’s initiatives, including the annual Impact Report.
- Ensure the website is up to date.
Trustees and Board Management:
- Act as the main point of contact for the board of trustees.
- Coordinate and manage Trustees' meetings, compiling board agendas and associated paperwork.
- Prepare minutes for Trustees’ meetings.
- Communicate with Trustees throughout the year to keep them updated on all activities.
Event Coordination:
- Plan and execute fundraising events and charity initiatives.
- Participate in networking or awareness-raising events, ensuring we have presentations and staff available.

- Send out questionnaires to clients to collect qualitative and quantitative research.

In the role of Personal Assistant (PA) you will work alongside the Senior Leadership Team and the Board of Trustees as they lead Church Army forward. You will be a trusted and valued colleague who will help the CEO to make the most impact with their time by managing a busy diary, multiple projects and tasks with a flexible approach to the role and an ability to respond to needs as they present.

The Role
We are looking for an experienced, self-motivated Administrator to join a Finance team. You will have a pro-active approach and ‘can-do’ attitude, which will be key to fulfilling the following responsibilities:
- Providing administrative support to the Finance Department and IT function
- Assist in preparing and circulating agendas, minutes, and other papers to committee members, and accurately take and prepare minutes for review.

A prestigious London Local Authority with a large regional jurisdiction over both the City of London and the county of Greater London is looking for a number of 12-month front of house and administrative staff to join a busy and expanding team based in Stanford-Le-Hope/Tilbury/Corringham area.
Your new role
To provide clerical and administrative support to the staff in a busy and expanding office. To work as one of the team of Support Assistants within the Service, in the provision of an effective, efficient and responsive service.Hours: 37 hours per week within the hours of 6am-10pm on a shift basis
Main Duties & Responsibilities
- Carry out reception duties and act as 'first point of contact' for visitors to the office.
- Sorting, date stamping, scanning all documents received and distributing post and documents received into the office and verifying delivery of documents, parcels and other goods in accordance with office procedures.
- Provide clerical and administrative support to the field staff, as required.
- Arrange the collection of all samples on a daily basis that need to go to the labs, preparing for collection and liaising with the couriers.
- Use office equipment, including the postage franking machine, facsimile machine, scanner, photocopier and computer system to carry out the duties of the post.
- Answer all incoming calls and respond to telephone queries from a wide range of sources regarding the current status of imported food cargo and charging procedures, including passing calls on to the relevant staff.
- Under the direction of the Officers, or Technical Officers, carry out documentary checking with regard to consignments of imported food (not of animal origin), and maintain all necessary electronic and paper-based records.
- Input data into internal and external database systems and carry out general internal database maintenance, e.g. modifying tables, queries and reports.
- Maintain and update electronic and paper-based filing and record systems, including the equipment inventory. Assist with the archiving of items, and deal with confidential documents appropriately.
- Under the direction of Official Veterinarians or Officers, record Products of Animal Origin and other imported food consignments on the computerised cargo handling system and port manifesting systems.
- Under the direction of Official Veterinarians or Officers, they undertake the initial documentary check for third country consignments of products of animal origin in accordance with ISO procedures and ensure that documents for charging purposes are sent to the Finance Section on a daily basis.
