You will work as part of a small, yet critical team to ensure the organisation and our services run smoothly.  This role’s specific focus will be to support the Finance and Resources manager with general bookkeeping, analysis of financial information and ensuring compliance of financial procedures. You should be well organised, a great communicator, and experienced in or willing to learn financial procedures. This role does require prior experience in an administrative role.

Prospectus is delighted to be supporting the UK’s leading public sector trade union, with over 1.3 million members working in public services, private, voluntary and community sectors and in the energy services. Supporting members experiencing financial and emotional difficulties, they provide confidential advice and support services for members and their dependants, who may otherwise have nowhere else to turn. Due to an increase in grant applications, for their winter essentials programme, they are now looking for a full time (35 hours per week) Grants Administrator to join them, on a temporary basis, starting on Monday 6th January for a duration of between 10-12 weeks. 

As a Grants Administrator you will work within the Casework team, providing support to members who are in financial difficulty or need advice and guidance, and/or signposting to other organisations. Due to an increase in grant applications, leading to a large backlog of claims, you will assist the team in reducing turnaround times, whilst managing your own individual caseload. The focus of the role will be assessing grant applications from members using an eligibility criteria, based on receipt of various benefits, as well as a variety of administration tasks.

To be considered for this role, you should have experience in a similar position, such as in grant giving, information, or advice services. Strong administrative skills are essential, and you should be able to organise and plan your workload effectively to deliver quality services. Candidates with knowledge of benefits and the use of eligibility criteria are encouraged to apply. Proficiency in Microsoft Office, including confidence with SharePoint, is required.

You will be required onsite (Kings Cross/Euston), 5 days per week (Monday-Friday) during the onboarding period and after this a hybrid working model will be considered, if all is working well with picking the role up, and able to work independently. About the role

The Programmes Administrator will be in charge of the smooth running of 1MM Mentoring Programmes in Greater Manchester and other regions, including the supporting of mentors & mentees through their journey. By ensuring a fast and effective onboarding process, timely communication, and ongoing support for our participants the Programmes Administrator will assist Regional Managers and/or the Head of Delivery with maximising the positive impact of 1MM’s mentoring programmes. CLPE is based in our beautiful Grade 2 listed building in Southwark. Our Centre houses an amazing collection of 25,000 children’s books as well as being a training and event centre for teachers, publishers and everyone else who works with children’s literature and cares about children’s literacy. Key responsibilities: 

• Ensure accurate and timely financial and management accounting reports are produced each month, that include full-year accounting forecasts and 18 month cashflow forecasts 

• Devise and maintain financial systems, procedures and internal controls for current and new work streams including online developments, grants and funded projects ensuring compliance with administration and financial regulations in relation to charity, trust and company law and regulations and funder requirements.

• Oversee procurement processes in line with the Manual of Authorities, including management of supplier contracts, working with the Centre Manager. This includes, but is not limited to, all contracts relating to the provision of services such as human resources, cleaning and maintenance, IT and reprographics, health and safety. Make timely payments to suppliers and staff using online banking.

We have an exciting opportunity for a Hub Administrative Assistant to work alongside our Hub Team Administrator for a fixed-term, from January 2025 until June 2025.  This role will support our Community Work Manager with the administration necessary to deliver our community work. This currently includes two food pantry sessions a week, and a combined pop-up pantry and Living Room (warm space) session each week.

With the Healthcare Coordinator, you will assist the residents in accessing GP and specialist services, and ensuring that up to date electronic records are maintained of all healthcare matters for residents.

This is a great opportunity to be involved from the very beginning in the delivery of a new programme - Barrow Buddies!

The service will provide opportunities to gain confidence and improve orientation and mobility for people who are vision impaired and living in Barrow-in-Furness. In addition there will be a weekly walking group.  All of ths will help adults with vision impairments to feel more confident making short and purposeful journeys independently and improve health and fitness through the walking group. Volunteers will provide much of the one-to-one support to service users with the guidance of this post-holder.

This post-holder will be supported by an expert team of Volunteer Officer, Engagement Officer and a Service Manager with a proven track record in outdoor activities.

We are looking for a high energy, highly organised, person-centred individual with an optimistic attidue and an ability to flex to changing needs.  A walk leader qualification or previous experience in the vision impairment sector would be beneficial but not essential.  Full training will be provided.

About the role

The Creative Minds Programme funded by the National Lottery, is designed to enhance mental health and wellbeing for adults in West Kent through engaging in creative activities.

These 24-week programmes are held in various locations across West Kent and are conducted in collaboration with professional artists, local arts organisations, and supported by the West Kent Mind community wellbeing team.

Open to adults (over the age of 18) in West Kent, the programme offers inclusive, free sessions in a wide range of artforms.

Key Objectives include boosting confidence, fostering connections, enhancing life skills, and increasing participants' ability to manage their mental health and support others. 

Now in its second year, the programme aims to support 864 adults over three years, with a focus on those with mental health challenges or feelings of loneliness. In addition to creative workshops, the programme offers leadership training to select participants, empowering them to become "Creative Agents." These agents lead "Creative Places" to engage the wider public in community-based creative activities. 

The programme is set to conclude in March 2026.

Who you are

All previous experience may be paid or voluntary, full, or part-time, in the UK or overseas.

 · Ideally, you will have previously supported people with their mental health and wellbeing.

· You know how to quicky and effectively process referrals.

· It is desirable that you have experience using a client content database (CRM). We use Beacon.  

· You are happy working as a team but equally can work independently.

· It is essential that you know your way around working in ways that are compliant with policies and procedures, for example, safeguarding, risk assessment, confidentiality and GDPR.

· Having a good working knowledge and understanding of other local services, for example health, social services, drug and alcohol support, benefits and related support.

· It is desirable that you would have some experience in co-ordinating meetings and events, including working with external contractors.

Key Responsibilities

· Together with the Community and Partnerships Manager, you will be setting and completing work objectives.

Holidays

It’s important to take time off. We give you 23 days a year, increasing by one day per year of service up to 30 days, plus bank holidays.

To refresh and recuperate before the start of a new year, we also give you an extra three days holiday between Christmas and New Year.

For part-timers this is all calculated pro-rata.

Operations Administrator

We are looking for an Operations Administrator to join the team supporting facilities and building maintenance and offering general admin and operational support.

This role could also be full-time incorporating the HR support function, which at the moment is as separate standalone part-time role.

Position: Operations Administrator

Location: Bristol (onsite)

Hours: 15 hours per week (0.4 FTE) 7.5 hours split any days Monday – Thursday. Fridays are mandatory. (or full time hours for the HR and Operations Officer role combined)

Salary: £25,000 pro rata (£10,000 actual)

Contract: Permanent

The Role

The Operations Administrator will be responsible for the facilities, asset, and building maintenance of an owned therapy building. The Operations Administrator will understand that due to the building being used for therapeutic purposes, there will need to be clear communication between staff and suppliers on ‘quiet times’ and optimal visiting times.

Main areas of responsibility include:

• Stock control
• Maintaining relationships and organisational contracts with suppliers e.g. phone company or IT support
• Ensure office workplace health and safety standards are upheld
• Assist with operational aspects of staff away days and events e.g. venue booking and staff lunch
• Support with the set up and management of the outreach centres
• Supporting staff with internal operational enquiries
• Working closely with the Finance Manager to ensure operational expense is accurately reported
• Tracking and management of petty cash
• Finance admin support

We are advertising this as a part-time permanent role but would welcome applications for this post and the HR  post as a full-time position, HR and Operations Officer, £29,000 annual salary 1.0 FTE.

Due to the nature of the role (facilities & building maintenance), remote working is not an option. Please only apply if you are able to commute to the therapy building in St Paul’s, Bristol. 

About You

You will have experience in facilities/building management, administration and/or office operation OR equivalent experience, with a strong focus on overseeing administrative systems
