About the role
This position involves supporting the Finance department by providing financial assistance to the Head of Finance in maintaining the organisation’s financial records and internal controls.
You will utilise your finance skills to ensure that transactions are accurately and promptly recorded, and you’ll assist in preparing high-quality month-end reports. You will also collaborate closely with the Finance Officer and wider teams to contribute to the organisation’s financial reporting and planning.
Key responsibilities
Prepare monthly management accounts and internal reports for departmental managers and participate in regular review meetings; conduct variance analysis against budget and forecasts and provide commentary for senior management.
- Prepare, check, and submit end-of-month financial data to external accountants.
- Respond to internal and external finance queries in a timely and professional manner.
- Process the month-end transactions on Quick Books.
- Assist the Head of Finance with payroll processing, audits, financial reports, and ad hoc finance-related tasks.
- Prepare budgets and financial forecasts in collaboration with the Head of Finance and ensure accurate upload into the financial system.
- Monitor cash flow and support cash flow forecasting.
- Contribute to the development and enhancement of financial procedures and systems to improve efficiency and accuracy.

Purpose of the role:

Key Responsibilities:

Doing all of our day-to-day fundraising administration to keep us well-organised and compliant. This includes:

Recording and monitoring fundraising data using our Fundraising Tracking Database

Keeping all of our grant agreements, contracts and other relevant documentation well-organised on GDrive and elsewhere

Ensuring compliance with the financial requirements of the grant agreements, and updating and maintaining the grant payments schedule

Raising invoices on Xero in line with funder agreements - noting instalment dates and receipts

Preparing payroll each month, ensuring everything happens on time and coordinating with our payroll agency. (This may only be a temporary responsibility)

Processing and reconciling payments. This includes:

Reconciling bank receipts and chasing late payments

Processing supplier invoices and payments

Monitoring our team’s Pleo card expenses and posting on Slack to our team for authorisation

Managing the subscriptions on Pleo cards (this is likely a temporary responsibility until our People & Ops Manager returns from sabbatical leave)

Preparing some financial reports and accounts. This includes accounts to trial balance, and ad hoc reports from Xero when our team have finance queries or need support

Supporting with finance projects which make our finance systems work more efficiently, simply and sustainably e.g. helping to update our budget spreadsheets and approach to budgeting, or moving to a new bank

Supporting the Head of Finance with budgets, financial planning and reports and any other ad hoc finance tasks

Being part of Ops Hub shared work and cross-organisational work and team days
About you:

You have experience dealing with people in different capacities, both internally and externally, on a day to day basis, and build strong working relationships

You have solid finance experience and skill. For us that means:

a minimum of three years work experience in a finance role, preferably within the charity/non profit sector. This means you have a good understanding of non-profit finance, including VAT and managing restricted and unrestricted funds

a solid understanding of Accounts Payable (with BACs, invoicing, etc) and Receivable (invoicing and credit control) processes

a Level 4 AAT, equivalent qualification or equivalent experience

Inter Mediate is a London-based peace-making charity supporting confidential negotiations in some of the world’s most challenging conflicts. Reporting to the Head of Finance, working closely with the Operations Director, and in close coordination with staff across IM, the key tasks of this role are to:
- Take a proactive and principal role in supporting Inter Mediate’s financial compliance;

Specific responsibilities
Finance
Working with the Head of Finance as required:
- Record and process a range of financial transactions accurately and efficiently to deadline in Sage 50 software (often in multiple currencies). Maintain financial records ensuring accuracy to facilitate internal and external audit processes;
- Take the lead in compiling, tracking and monitoring project budgets in close collaboration with operations and project teams;
- Track project and core expenditure and support in preparation of accurate, compliant and timely financial reports to funders to satisfy reporting requirements;
- Help to compile and monitor project budgets, log activities and record/prepare relevant material for grant audits;
- Implement and maintain financial policies and procedures;
- Manage book-keeping function by recording invoices, ensuring that they are promptly authorised in line with agreed financial procedures and paid on time;
- Manage complex cash and credit card expenses by collating and recording in multiple currencies; and taking charge of banking, petty & foreign cash accounts;
- Take the lead on initiatives to research, introduce and implement appropriate finance software to make the finance function more efficient;
- Be prepared to play an active role as IM brings management accounting in-house
- Support Inter Mediate with company and grant audits.
Operations
Working with the Operations Director as required:
- Assist with researching and implementing operations systems, policies and procedures (as requested by the Operations Director;
- Assist with timesheets, and absence reporting management;
- Collaborate with operations and project teams in complying with donor requirements;
- Undertake special projects such as aspects of the salary and benefits benchmarking exercise;
- Assist with smooth running of the office and maintenance of office systems and equipment, including stationery orders, overseeing subscriptions and shredding.
General
- Assist with organising meetings and events, including travel logistics, and providing other general support when required.

About the role:
This is a vital and high-profile role for us and requires a person with strong technical skills and the power of independent thought; meticulous organisational skills and attention to detail; and drive to constantly develop new and improved ways of working. The successful candidate will be a qualified and committed accountant, ready to lead financial control for Ark’s central Finance team.
The Financial Controller will be mainly responsible for ensuring the highest standards of financial control are met across Ark, its subsidiaries and the various external ventures Ark supports. Within this, the role will be responsible for the processing and reporting of financial accounting data for Ark and its related entities, day-to-day cash flow management and compliant statutory returns (including VAT).
The Financial Controller for Ark and Ventures will report into Finance Director for Ark and Ventures. This role is currently operating hybrid working in our West London Office on a permanent basis working full time.

Key Responsibilities:
- Staff management including training and regular appraisals. The team currently consists of two Finance Officers. Also supporting two business partners.
- Provide up-to-date financial information and technical advice to Ark management and the Venture teams, including cash management.
- Lead the year-end process, including creation of annual accounts for Ark and its related entities (excluding Ark Schools) and overseeing the audits.
- First review of monthly management accounts.
- Take responsibility for the year-end audit and preparation/supervision of draft statutory accounts for the Group and 5 subsidiary entities in accordance with Charities SORP, Companies Act and UK GAAP. Liaise with auditors and ensure timetable and deadlines are met
- Management and oversight of the month-end process to ensure timely period close, including approval of all manual journals posted to the accounting system.
- Review and approval of balance sheets control account reconciliations, including bank reconciliation, petty cash, purchase ledger, staff loans, credit card, and Payroll accounts.
- Responsible for the day-to-day management of the Group’s cash flow and Treasury and preparation of performance reports for the Ark Management Team and Finance and Risk Committee.
- Set-up and maintenance of PS Financials (accounting system) and Concur (invoice and expense system), including maintaining workflows in accordance with the Scheme of Delegation.
- Relationship owner for Lloyds (banker), including set-up of Commercial Banking Online and credit cards in accordance with the Scheme of Delegation. Responsible for maintaining all bank accounts and mandates.
- Responsibility for writing and maintaining finance policies and processes, including the financial Scheme of Delegation, and ensuring these are freely available to all relevant staff.
- Accounts Payable Lead ensuring all suppliers are paid on time. Responsible for processing weekly BACs runs and authorisations in line with the Scheme of Delegation.
- Manage insurance provision for the Ark Group.
Key Requirements:
- Right to work in the UK.
- Professional Accounting Qualification (at least 3-years post-qualification).
- Educated to degree level or equivalent.
- A record of Continuing Professional Development activities.
- Audit experience.
- Hands on experience of producing statutory accounts.
- Experience of VAT, including international and/or construction industry scheme reverse charge, ideally in a charity context.
- Advanced level IT skills and ability to make effective use of standard software packages, e.g., Microsoft Words, Excel, PowerPoint and Outlook.

Position Overview
The Finance Director will play a crucial role in overseeing the financial health and strategy of the Barnabas Aid family globally, ensuring that all financial activities align with our mission and values. Job Description
The Head of Management Accounting will:
- Lead financial management and reporting for Districts/Departments, ensuring timely and accurate financial information for the Senior Command Team and Business Executive Leaders including revenue, grants, and capital income/expenditure.
- Produce and monitor budgets in line with Force timetables, providing assurance to the Senior Command Team and Business Executive Leaders on financial integrity.
- Strategic lead on the delivery of financial management, financial reporting and financial advice to the Districts/Departments budget holders and providing financial information to Senior Command Team and aligning financial decisions with the Force's goals and addressing financial risks.
- Responsible for all aspects of producing accurate and timely financial information for budget monitoring and budget setting in line with the Force's periodic timetable. Working closely with the Head of Finance and Chief Finance Officer to provide assurance to the to the Senior Command Team regarding the integrity of the Finance's finance position
- Driving efficiency's across with the team through ensuring that the line management responsibility model based on one to four/five ratio is fully embedded within the Finance Officers.
- Drive efficiency's by embedding a 1:4/5 line management ratio within Finance Officers, standardising procedures, and reducing reporting variability.
- Lead annual budget planning, working with senior leaders to ensure resource allocation aligns with strategic priorities.
- Challenge and support senior leaders to improve financial plans and achieve value for money.
- Implement performance frameworks, reviewing KPIs, and driving continuous improvement across the finance team.

The Successful Applicant
The successful Head of Management Accounting will be/have:
- Qualified Consultative Committee of Accountancy Bodies (C.C.A.B.) or CIMA accountant.
- Significant experience in management accounting and strategic financial planning and working with a finance business partnering model to deliver the outcomes.

You will be responsible for managing the financial transactions of the organisation.
