In this pivotal role, you will support the Operations team, the Executive Management Team (EMT), the Board of Trustees, the Finance team, and the wider organisation. Your responsibilities will span various operational, compliance, administrative, and support functions, ensuring the smooth running of our charity.

Role responsibilities
Human Resources Support
- Recruitment: Support the recruitment process by helping to create job descriptions, place adverts, attract quality candidates and conduct assessments.
- Staff Onboarding: Ensure all new staff are welcomed and integrated into the organisation, guided by the new starter checklist.
- DBS & Safer Recruitment: Ensure the safety and well-being of all beneficiaries, by ensuring appropriate DBS checks are conducted for all employees, volunteers, trustees, and contractors who work with or have access to children, young people, or vulnerable adults and employees
- HR Administration: Support HR administration by managing contact databases, probation period deadlines and performance review schedules.
- Employee Relations: Help promote a positive work culture by facilitating open communication, addressing workplace issues and supporting the management of any employee conflicts or grievances.
- Managing Employee Benefits: such as the Employee Assistance Programme, annual leave entitlement and apparel.
- Training Requirements: Manage training schedule for the team, including first aid, health and safety, data protection and safeguarding.
- Employee Engagement: Help create and deliver initiatives to enhance employee morale and satisfaction, such as team-building activities and events.
- Asset Management: Oversee the issue, use and return of equipment used by the team, such as uniforms, phones, laptops etc.
Compliance Support
- Data Protection: Support the Data Protection Officer in ensuring compliance with data protection regulations.
- Audit Schedules: Oversee audit schedules for health and safety assessments.
- Documentation Management: Document and manage the retention schedule and naming conventions.
- Policy and Procedure Management: Manage the review schedule for policies and procedures, helping the Board and EMT ensure compliance with the Tier 3 Code for Sports Governance.
- Workplace Safety and Health: Help ensure a safe and healthy work environment by implementing safety protocols, training programmes and complying with regulatory standards related to workplace safety, such as workplace assessments.
- Insurance: Manage insurance policies schedules for equipment, personal liability, professional liability, etc.
IT Support
- Technology: Support the implementation of new technology solutions, such as HR and Monitoring and Evaluation systems.
- System Access: Manage access for systems like Worknest E-learning, SharePoint, etc.
- Microsoft Implementation: Create and manage Microsoft 365 accounts for staff and board members.
- Filing Structure Oversight: Maintain and oversee the organisation’s SharePoint filing structure.
- Equipment Maintenance: Ensure appropriate maintenance, updates, and training for IT equipment.
Executive Management Team (EMT) and Board Support
- EMT Support: Provide support to the Executive Management Team where necessary.
- Board Meeting Arrangements: Arrange board meetings and AGM, including communicating with members, taking minutes when required and filing documents.
- Governance Documentation: Keep the website updated with governance documentation.
- Trustee and Member registration: Manage the registration and setup for trustees and members
Office Management
- Point of Contact: Serve as the primary contact for internal and external enquiries, manage phone calls, and handle mail.
- Office Staffing Management: Oversee bookings, phones, and ensure adequate office staffing levels.
- Contract and Compliance Management: Oversee contract details and renewals for office equipment, supplies, health and safety checks, fire safety and liaison with landlord.
- Booking Assistance: Assist staff with bookings for vans, events, travel, etc. such as at our presence at the National Cycle Show and other major cycling and disability inclusion events.

ABOUT THE ROLE
We are hiring a Recovery Worker to join our women's only refuge in Hove. The service supports 18 women with a trauma informed approach using a psychologically informed environment model to provide high quality, person centred support to all our residents.
You will support with a range of frontline care and support activities within the service, in a varied role. You will work towards supporting residents/participants to achieve their desired goals/outcomes, and will ensure all residents/participants understand and have the right tools and resources for positive outcomes. You will also develop, participate in, and encourage residents/participants to participate in the running of activities, projects and events. There will be a focus on risk assessments and management, as well as housing and property management.
Shift Pattern: 37.5 hours per week on a rota. This may include shifts between Monday to Friday 10:00 - 18:00, 08:00 - 16:00 and 14:30 - 22:00. You will be based on site.

Role Profile
You’ll work in a multifunctional, three person project team alongside a Digital Strategy Manager and Digital Creative Expert. The three of you will cover everything needed to execute your projects, coordinating with our technology team and working with external design capacity to deliver outstanding results for your partners, and renew and grow your partnerships.
The teams are designed to be flexible and nimble, chopping and changing who does what to best meet the needs of the project and the capacity of each team member. However, each role has a set of primary areas of expertise which you’ll typically be in charge of on most projects. Benefits and location
Salary: £34,162 if you live inside London, £30,502 (plus £3,000 travel expense allowance) if you live outside London. Under our Employee Ownership Trust model, all team members will also receive an equal share of the profits each year. The amount will depend on how much profit is made.
Contract Term: This is a permanent, full time contract.
Hours: We work a 30-hour 4-day week, from Monday to Thursday. Please note - as this is a full time role, you are not permitted to undertake any additional regular paid work on the Friday.
Location: You can work remotely from anywhere in the UK or use our office in London Fields, East London. You will need to be able to come to London once or twice a month for in-person meetings, otherwise most of our meetings are held via video conferencing and all our workflow is built to be remote-first.

Role Purpose
This role is focused on maximising comms-based engagement across the GDI Hub’s portfolio, supporting GDI Hub’s growing outreach across project-based deliverables and organisational comms channels (e.g. social media, websites, content generation).
The post holder will work closely across GDI Hub comms team to support delivery across the organisational portfolio – with a focus on key regular outputs, reactive queries and organisational communications. Have a strong understanding of the context and challenges facing vulnerable young women and girls, including the impacts of domestic violence, mental health, and sexual health.
Bring a significant experience of working with young women experiencing issues related to offending and experience of community engagement, advocacy and support work with young people and have proven practical experience of using motivational interviewing and coaching techniques with young women and girls, using a woman-centred approach to build trust and rapport. In2scienceUK’s aim is to promote social mobility and diversity in science, technology, engineering and maths. We do this by leveraging the skills and passion of researchers and STEM professionals to support young people from low socio-economic backgrounds to achieve their potential and progress to careers in STEM.
The In2STEM programme is a fantastic opportunity for 16-19 year olds to gain insights directly from STEM industry and research professionals. The programme provides over a thousand students each summer with a blend of online and in-person activities, equipping participants with the skills, knowledge and confidence needed to excel in STEM.
What we are looking for
We are excited to be recruiting a Senior Programme Officer to join our growing In2STEM Programme team. The focus of this role will be to support delivery and ensure that our young people have an exceptional experience on the programme. You will also be kept engaged through deputising for the In2STEM Programme Manager one day per week.
You will have a good understanding of the challenges today’s young people from less privileged backgrounds may face and bring a proven track record of supporting vulnerable young people and/or adults with a range of support needs, including mental health needs, learning difficulties and disabilities. You will be good at building trust and rapport with young people and have practical experience of appropriately, calmly navigating situations involving safeguarding and signposting for young people and adults.

Duties and responsibilities
The purpose of the Senior Programme Officer role is to support the successful delivery of the In2STEM Programme and ensure our young people have an excellent experience.
Your specific duties will include:
Programme Delivery

Managing a caseload of students and volunteers from application stage to successful completion of the programme, including recruitment, placement matching, onboarding, event planning and programme delivery (in-person and online), troubleshooting throughout the programme and evaluation.

Where appropriate, supporting the Programme Manager as the first port of call for programme staff with enquiries or needing advice relating to pastoral care for our beneficiaries.

Developing and maintaining excellent working relationships with partners and funders to further the delivery of our work. This will include for example, working with schools, colleges, academic and professional services staff at universities.

Creating and developing engaging resources to support the programme including video presentations, posters/flyers, case studies and website text and images.

Monitoring student and volunteer applications to ensure targets and milestones are met.

Maintaining up to date records via the programme database and ensuring data protection.

Ensuring all operations are in line with Health and Safety and Safeguarding policies and procedures.
Evaluation

Developing programme activities, using student and volunteer evaluation data and staff insights.

Optimising systems, processes and ways of working, to ensure delivery models are scalable and achieve intended outputs and outcomes to the highest degree of quality, effectiveness, and efficiency.

Maintaining a comprehensive overview of programme activities, among both staff and partners, and reporting on progress at regular intervals as defined internally and contractually.

Supporting team members to create evaluation and student data reports.

Supporting the creation and dissemination of case studies, working closely with the fundraising team to ensure funder requirements are met.
Deputy Managing

Managing the In2STEM team when the Programme Manager is not working, including preparing and running programme update meetings from time to time.

Supporting and assisting the Programme Manager to ensure organisational and delivery targets are achieved.
As duties and responsibilities change, the job description will be reviewed and amended in consultation with the post holder. The postholder will carry out any other duties as are within the scope, spirit and purpose of the job as requested by the line manager.
Person Specification:
Essential

Track record of experience directly supporting vulnerable young people and/or adults with a range of support needs, including mental health needs, learning difficulties and disabilities, facilitating access to other support services as needed.

An understanding of the social and economic barriers that prevent some young people accessing STEM careers and an ability to recognise the importance of diversity and inclusion in STEM.

Knowledge and understanding of the STEM sector, including higher education, apprenticeships and STEM careers.

Experience of delivering projects for young people including recruitment and caseload working.

Experience developing and maintaining strong working relationships with internal and external stakeholders at various levels.

Excellent written and verbal communication skills, with strong presentation skills and an ability to adapt to a range of audiences.

Good understanding of safeguarding in practice when working with young people.

Flexible and adaptable, with an ability to pick up new tasks quickly and keep a level head when faced with challenges.

Knowledge, understanding or experience of programme or project evaluation.

Experience of deputy managing or managing staff or volunteers.

Building relationships with other statutory and non-statutory agencies in local communities is vital to build referral pathways and provide a whole system approach to supporting individuals.
To carry out this work you will meet women in the community in your designated borough and co-locate with other agencies including the National Probation Service, as well as regularly attending Advance’s North London vibrant Women’s Centre/office space.
You will be a creative self-starter who will support the service and look for innovative solutions to support clients with complex needs. You are confident professional relationship builder and has good awareness of Safeguarding procedures. Strong Administration skills and understanding of compliant behaviours also experience of supporting. With good knowledge of the criminal justice system and awareness of other support provisions within the North London area.
