Key Responsibilities

Financial:

• Raising purchase orders, processing purchase invoices & expenses & making payments.
• Ensuring appropriate backup is saved within Xero to support accounting transactions.
• Liaising with wholesale customers, raising sales invoices and reviewing ageing debtors following up on payments.
• Routine communication regarding financial information with regulators and banks.

Board of Trustees & CEO support:

• Arranging Board and committee meetings - securing dates, venue bookings, preparing and collating papers and presentations, taking minutes and facilitating actions.
• Coordinate Trust policy reviews and ensure these are completed in a timely manner
• Organising team meetings, team awaydays and collating and sharing information and notes arising from those sessions

Recruitment & HR:

• Preparing documentation & placing adverts.
• Organising interviews both in person and online.
• Processing documentation - new starter details, contracts & updating the HR system.
• Organising and booking staff training as required.
• Arranging DBSs for staff and trustees as required.

Retail:

• Monitoring online stock levels, placing orders for merchandise, and liaising with our fulfilment centre.
• Ensuring our retail management system contains up to date data, by reviewing stock takes, accurately processing orders and updating the database as appropriate.
• Producing quarterly stock take reports.
• Supporting the sales team at Port Lockroy.

General:

• Monitoring inbox, office telephone & postbag
• Working flexibly with colleagues in the broader support of the aims of the Trust. Providing ad hoc administrative support as required.

Terms

Salary: £28,000 pro rata

Working Hours

• 30 hours per week, Monday to Friday.

The Caerlow Trust is recruiting a Grants Officer to join our small but expanding team based in West London. 

The Trust’s operating principles are rooted in the basic belief that everyone deserves to have access to sufficient resources such that they are not concerned with day-to-day survival. General Statement of Duties

The St John of Jerusalem Eye Hospital has a loyal donor base, and we are now able to grow the major donor portfolio significantly to build our long-term sustainable income.  The Grants & Partnerships Officer will lead on delivering a best-practice grant-giving programme as part of a wider major donor programme.

Alongside the Executive Head of the UK Office, the Grants & Partnerships Officer will develop new major donors prospecting, cultivation, solicitation, and stewardship strategies as part of a wider fundraising strategy.

Main Responsibilities

· Developing and refining the internal systems needed to run a smooth and efficient grant-giving programme such as data management, internal communications, and reporting.

· Know and understand the longer-term financial strategy of the organisation and work with the Finance Director and Executive Head of UK Office to ensure the appropriate identification of funding needs.

· Work with the Executive Head of UK Office and other colleagues as required to develop compelling cases for support and funding packages that channel funds to where the need is greatest and that ensure our financial security.

· Work with the Executive Head of UK Office to manage the grant-getting budget to ensure the successful and cost-effective delivery of annual activities and understand and follow finance related procedures such as income forecasting, reporting and Gift Aid.

· Support and deputise for the Fundraising Officer (Community Fundraising), as required, to establish and manage strong relationships with past, current, and prospective community donors and partners, delivering the highest possible levels of care and attention.

· Provide project support as required to the Fundraising Officer (Community Fundraising) to ensure the successful implementation of community engagement and fundraising programmes.

Person Specification

Essential:

· Educated to degree level or equivalent career experience.

· Minimum of 3-years’ fundraising experience with a demonstrable track record of developing stakeholder and donor relationships with a responsibility for securing a minimum of six-figure gifts from grant-making bodies.

· Experience of working with high-value Trusts & Foundations.

· An exceptional and eloquent communicator, both written and verbal communications skills, and a natural relationship builder, you will have solid experience of presenting, negotiating, networking, and influencing.

· Experience of working to and commitment to achieving financial targets.

· Understanding of the principles and best practice of fundraising including Data Protection, ideally within humanitarian and/or international organisations.  

·A self-starter with initiative, confidence, exacting standards, drive, and flexibility.

· Highly proficient with Microsoft Office systems.

· Ability to work outside of contracted hours, as required.

· Ability to travel overseas, as required, and represent SJEHG at events and functions.

Desirable:

· Experience of raising funds within the humanitarian and/or international organisations.

Our priority programmes include support coaching for young people, community activity sessions, sustaining our accommodation provision for vulnerable young adults and establishing how we can best support more young people on the homelessness pathway.  We have some great spaces that are in need of development, and we expect that both capital and revenue funding will be included in your workload. We also look for smaller grants during the course of the year, including for food for our residents and supplies for our art groups, and we hope to recruit volunteers to assist with the smaller and less complex bids. 

You would – for now – be our only Grants Officer, so should be familiar with the whole cycle of applications and monitoring and able to work independently.  This is a fabulous opportunity to make your mark on young lives in Doncaster and take our fundraising to the next level. 

Main Responsibilities

• To work delegated idea notes into fundable project profiles, each with a clear and compelling case for support.
• To create a clear and compelling case for support for unrestricted grants income.
• To agree full cost recovery arrangements with the Chief Executive.
• To be responsible for an assigned portfolio of trusts, foundations and similar, developing knowledge of, and relationships with, those funders.
• To make strong applications to funders within the assigned portfolio, matching YMCA Doncaster’s agreed cases for support with funders’ interests and requirements.
• To make strong applications to public sector and similar bodies offering contracts for work within YMCA Doncaster’s scope.
• To work to regularly reviewed and achievable targets.
• To prepare and give presentations, maintain ongoing contact and host trustee or representative visits where required as part of an application process. 
• To devise efficient evaluation and monitoring systems which meet funder requirements.
• To oversee the accurate completion of returns and reports, ensuring that funders are satisfied and funding continues.
• To keep comprehensive records, in an agreed format, from initial contact with a potential funder through to either the rejection correspondence or the funding agreement and subsequent monitoring and evaluation.
• To supervise / oversee grants volunteers and less experienced staff applying for smaller grants. 
• To comply with fundraising and other legislation relevant to the role.
• To recommend updates to the Fundraising Policy in accordance with changes to legislation or operating practice.
• To report to the Chief Executive monthly in the required format.
• To approach the role with professionalism, and to maintain appropriate boundaries with staff, clients and others.
• Additional or other duties as necessary within your capabilities and status to meet the needs of YMCA Doncaster.

Person Specification

• A recent track record of success in securing funding through written bids (five figures plus) in an employed role focused on grants or similar fundraising. 
• Experience covering the full cycle of grants fundraising including creating cases for support, submitting applications, responding to requests for information or visits, monitoring and evaluation.
• An understanding of the current UK grants / trusts climate and the types of funders likely to support YMCA Doncaster’s work. 
• Self-motivated and self-supporting, with the ability to work independently and deal with unexpected or challenging situations including short-notice opportunities.
• Able to supervise and support volunteers and others to complete strong applications efficiently. 
• Ability to create and work with project budgets and projections.
• Computer literate, able to use Microsoft Word and Excel to a high standard, and able to use technology in devising and using procedures, gathering information and completing online and electronic applications.
• Exceptionally strong written communication skills, a strong command of grammar and meticulous attention to detail.
• Able to articulate YMCA Doncaster’s work effectively, and to create compelling written applications for support.
• Experience of maintaining confidentiality and appropriate relationships, and a clear understanding of the importance of those.
• Able to represent the Association positively, professionally and with credibility.

The Role
In this role, no day is the same. You will be involved in various exciting projects and campaigns to mark upcoming milestones. As the Research and Philanthropy Officer, your responsibilities will include managing a portfolio of funders, developing high-quality funding proposals, reports, and thank-you communications. Collaboration with the Philanthropy Manager and the wider team to achieve fundraising goals will also be vital.

What We're Looking For
We are seeking individuals with proven success in writing grant applications and conducting desk-based research, along with exceptional writing, research, and organisational skills. Self-motivation, enthusiasm, and a commitment to equity, diversity, and inclusion are essential, as well as a passion for fundraising and the work of the Anne Frank Trust.
