The Finance and Operations Officer will provide general support to the Head of Finance and Operations across the following areas:
Office Management
-
Managing day-to-day relationship with landlord

Ensuring office meets all health & safety requirements

Managing purchases of stationery and office equipment

Booking meeting rooms

Organising catering for internal meetings

Supporting with new office search and move to new premises

Liaising with utility, cleaning and security providers in new premises if required
Human Resources

Liaising with the external HR providers regarding employee documents

Maintaining employee personnel records ensuring that all annual leave and sick leave is recorded correctly

Assisting in the recruitment of new posts

Onboarding and welcoming new employees, including ensuring newcomers have the necessary IT and office equipment and access to the required IT systems

Coordinate annual staff surveys and collate responses
Operations

Assisting the CEO and the wider team with administrative tasks

Liaising with our external IT providers to ensuring all IT equipment is functioning and replaced when required

Organising away days and other large meetings

Reviewing/renewing supplier contracts annually (including insurance provider)
Governance

Organising Trustee meetings

Attending and taking notes at specific meetings (e.g. Trustee, Advisory Board, team away days)

Updating the Charity Commission for changes in Trustees and submission of annual returns

Ensuring all policy documents are up to date and reviewed within the correct time frame
Finance

Processing invoices and expenses and coordinating twice monthly payment runs

Reconciliation of the monthly corporate card bills

We are looking for someone who can demonstrate the following skills and experiences:

Terms and Conditions

Location: Money and Mental Health’s central London office for at least 2 days per week with option for home working the rest of the time. The office is wheelchair accessible.

Hours: 3 to 4 days (22.5 to 30 hours) a week. The charity has a flexible working policy with core hours of 10am - 3pm and remaining contracted hours distributed throughout the week flexibly. We are open to discussing other flexible arrangements, such as accommodating school runs.

Holidays: 28 days p.a. (including 3 days of annual leave between Christmas and New Year when the office is closed) plus bank holidays, adjusted for the part-time nature of this post and therefore calculated on a pro rata basis.

Main duties
Form a close working relationship with the Marketing and Finance teams

The Community Fundraising team at Alzheimer’s Research UK (ARUK) is responsible for securing income from individuals, regional businesses and groups fundraising in the community, effectively managing relationships to maximise income.
The Regional Fundraising Officer role will play a significant part in contributing to a high-performing fundraising team. The role will cover the North East & Yorkshire regions.
You will report to the Community Fundraising Manager and support the Head of Regional Fundraising to drive the continued growth of the charity’s community fundraising income in your area. You will also be required to show excellent relationship-building skills to support community partnerships and volunteer groups, driving towards agreed targets.
Main duties and responsibilities of the role:
Strategy, finance, and reporting
· Responsibility for 3 income streams within the region including corporate, community groups and Do It Yourself (DIY) fundraising.
· Identify and apply for ‘Charity of the Year’ partnerships with corporates in the region, account manage these relationships up to a value of £50,000 per annum and support the Partnership Development Team with partnerships in your region with a value of up to £100,000.
· Support existing volunteer fundraisers to encourage continued loyalty to the charity and to maximise funds raised, following fundraising legislation and good practice.
· Recruit new fundraising supporters in line with strategy.
· Support the Community Fundraising Manager (CFM) and Head of Regional Fundraising (HORF) in developing the Community Fundraising strategy for ARUK to increase income within this stream.
· Support and extend volunteer networks within the geographical area in line with strategy.
· To ensure that fundraising activity is implemented and managed locally to deliver budgets, targets and income in line with strategy. To achieve this by supporting and facilitating the development of groups and volunteers across the geographical area.
· Work across a diverse geographical area and within a geographically dispersed team, whilst managing own workload cost-effectively and proactively.
Supporter Management
· Provide excellent customer service to community fundraising supporters (including maintaining a polite, enthusiastic manner with prompt responses to enquiries), to acknowledge support and increase long-term loyalty.
· Provide high-quality account management to volunteer groups in geographical area.
· Effective management of volunteer relationships within geographical area.
· Support, motivate and develop local fundraising volunteers, ensuring they have a clear understanding of ARUK to enable them to represent the charity’s work effectively.
· In liaison with the Partnership Development Managers and Partnership Development Officers, provide high-quality account management to corporate supporters within the specified geographical area and/or of relevant value.
· Keep up to date with fundraising legislation and codes of practice to be able to provide relevant advice to fundraisers.
· Ensure volunteers and fundraisers have all necessary materials for fundraising initiatives.
Increasing Community Support within geographical area
· Use own initiative to extend volunteer networks, develop new groups and supporters, and respond to fundraising opportunities within the geographical area, in line with strategy.
· Run volunteer events with both a recruitment and cultivation function, liaising closely with the Stewardship and Events team to ensure a seamless supporter journey, and with the Press team to include media volunteers.
· Manage the recruitment process of new ARUK volunteers in the geographical area, providing relevant support and training.
· Liaise with local community organisations (e.g., golf clubs, educational institutions etc.) – both previous and new potential supporters – to extend income and activity in line with the strategy.
· Initiate and roll out community fundraising events in the geographical area with evidence of effective ROI and achievement of strategic goals.
· Provide face-to-face talks and presentations to community organisations for recruitment/ cultivation purposes.
· Arrange appropriate volunteer representation at events in the community (for example, for cheque collections and talks), spreading the charity’s reach cost-effectively.
· Identify, research and target prospective community organisations, in liaison with CFM.
· Identify, research and target prospective local corporates in liaison with CFM / HORF and ARUK’s Partnership Development Managers and Partnership Development Officers, in line with both community and corporate strategies.
· Accurately track and record contact with both community and corporate prospects for planning and reporting purposes.
Monitoring and Reporting
· Ensure that your activity is monitored and evaluated, clearly communicating progress to your Community Fundraising Manager.
· Manage relevant information on the charity’s database, keeping detailed, up-to-date records of activity and income.
What we are looking for:
· Experience in partnership fundraising and/or relationship-building.
· Experience in public speaking, such as giving presentations and talking at events.
· Knowledge of recruiting key volunteers and fundraising supporters.
· Experience and a keen interest in building long-term relationships with supporters.
· Proven ability to provide excellent stewardship.
· An ability to manage a busy and varied workload.
· Excellent communication skills, both verbal and written.
· Excellent organisational skills.
· Full driver’s license with access to own vehicle.
· Flexibility to work some unsocial hours and willingness to travel independently.
· Live within North East & Yorkshire regions.

About the Role:
In this role, you will manage the team’s workload, forecasting expected capacity to ensure that daily, weekly and monthly tasks are planned out and completed in accordance with set KPIs. As well as supporting the Supporter Operations Manager in monitoring & evaluating the performance of the Operations team using reports to investigate any unusual results/trends.
You’ll also:
- Bring to the role a keen understanding of supporter response handling, the intricacies of processing donations, Direct Debits, Gift Aid, and communication preferences
- Assist with due diligence processes within the wider SEO team, specifically focusing on internal data security practices, response handling accuracy, and adherence to relevant regulatory requirements such as those for Gift Aid or the BACS scheme for Direct Debits
- Proactively identify processes for improvement across the Supporter Experience & Operations Team to deliver efficiencies and improve the effectiveness of internal procedures
- Support campaign managers and other colleagues with any new or existing projects relating to fundraising operations, working closely with internal stakeholders, ensuring requirements are clear and fully documented
About you:
- Knowledge of the rules and regulations of Gift Aid, Direct Debit, Data protection and PCI-DSS compliance
- Strong team player. Proven experience and/ or evidence of providing support/supervision/ training to team members
- Experience of documenting business processes, and comfortable with communicating and influencing a range of stakeholders
- Experience of income processing and donor response handling
- Excellent IT skills (use of Microsoft products, particularly Excel) with ability to analyse data accurately
- High attention to detail with ability to work methodically, ensuring minimal errors, and able to problem solve should errors arise
- Ability to analyse fundraiser requirements, and capable of providing the best fulfilment solution working with internal stakeholders
- Proven problem-solving skills with the ability to listen, understand, analyse and resolve queries of a technical nature (incl. complex queries). Demonstrate an innovative approach to problem solving with the ability to implement robust solutions, taking into account future requirements
- Excellent time management skills. Proven ability to manage & prioritise own workload, conflicting tasks/ deadlines effectively and successfully

As our Trusts Fundraising Officer, you’ll be an inspiring storyteller whose enthusiasm for our work shines through in your writing. You’ll play a key role in researching new funders, crafting compelling funding applications, and ensuring we meet reporting requirements for existing supporters.
Your work will involve developing impactful case studies and gathering evidence to show the need for our services to help secure sustainable funding. You’ll be supported by our experienced Trusts Fundraising Manager to build lasting relationships with funders. Together, you’ll keep them engaged and informed about the positive impact they’re making on the young people we support.

As a Social Media Officer, you will manage our social media channels, ensuring they're filled with inspiring and engaging content that connects with our wide range of audiences. You'll have the opportunity to grow our online presence and strengthen the community of supporters advocating for those affected by MND.

To support the Programme Finance Manager in running efficient and effective programme financial accounting, programme financial management and programme financial reporting processes in relation to AKF (UK)’s programmes and grants. To provide support to the full life cycle of grants: from donor concept notes/proposals to final reports. Programme financial planning, management and reporting
In close consultation with the programmes/partnerships team:
• Support the design and implementation of effective quality controls to ensure compliance with donor requirements and to maintain appropriate donor stewardship, including through manuals, checklists, templates, and other tools
• Monitor spending and activity implementation and ensure regular scheduling of grants management meetings, alerting the Programme Finance Manager and Programmes/Partnerships team about significant under or overspend on a timely basis
• Maintain internal tools that track active grants, cost recoveries and cash balances and ensure they are kept up-to date

Grants management and compliance

• Undertake administrative tasks related to grants, including setting up of grant codes (pipeline and secured), collecting and forwarding information to different units and executing follow up tasks as required
• Review budgets for concepts/proposals, ensuring the inclusion of AKF(UK) costs, make recommendations for improvements and liaise with the programme/partnerships team and field units to ensure these are complete, accurate, consistent with the narrative, compliant with donor requirements, and correctly formatted for presentation to donors

Purpose of the role

About the Role
This role will lead on the day-to-day operation of the accounts receivable, credit control, accounts payable and cash management functions. You will be required to work closely with the financial controller and other members of the Finance Team to ensure that processing in these areas is complete, accurate and compliant, and supports the timely preparation of management accounts.
