About The Role
You will be working in a collaborative, fast-paced and creative environment and will play a key role within our Engagement Team to strengthen Youth Music’s relationships with individual givers. This role will focus on engaging individuals to support our mission, managing relationships with community supporters, and delivering strategies to enhance community fundraising and individual giving.

About You

You are a motivated and relationship-driven individual who is passionate about music and making a difference. You will have a strong ability to engage, motivate and influence prospective and existing individual givers, a strategic mindset for fundraising and supporter engagement, and excellent stewardship skills. Key Responsibilities 

• Create and execute a strategic plan for growing community fundraising and individual giving, and monitor and evaluate the impact of this.
• Take ownership of Youth Music’s guestlist donation initiative, securing gigs to add an optional donation in aid of Youth Music.
• Support the Philanthropy Lead in cultivating major donor relationships and co-investment opportunities with charitable trusts and foundations. 
• Support the Ambassador & Supporter Engagement Manager and Philanthropy Lead with administration of onboarding Youth Music advocates and Change Makers.
• Lead on the administration and organisation of community fundraising events/activities. You will support challenge event participants with their fundraising by liaising with them before and after events, ensuring they feel prepared and have the Youth Music resources they require.
• Work with the Communications Team to make the most of the exciting communications opportunities that exist in the run-up to, during and after fundraising activities and events - including helping to collect, create and distribute photos, videos, news stories, interviews and social media posts.
• Lead on Gifts in Wills and Legacy Giving.
• Manage our fundraising reconciliation, carefully producing donation reports and logging donor information on Salesforce.

Other roles will include supporting the Engagement team with an array of day-to-day tasks such as:

• Provide supporter care; taking and responding to supporter enquiries via phone, email or post.
• Work on securing gifts, raffle prizes and other sponsorship to elevate community events and fundraisers.
• Manage the fundraising enquiries inbox and be the first point of contact for receiving donations and giving advice on how to fundraise for Youth Music.
• Contribute to Youth Music’s media channels to promote and support campaigns and events.
• Update Salesforce with accurate information about all donations and fundraising activities, and support others in its training and use. 
• Ensure that all fundraising processes are compliant with GDPR regulations and Fundraising Regulator practice.
• Keep up to date with trends in community fundraising, corporate fundraising and charity events.
• Attend evening events as required, including potential travel and overnight stays. 
• Be proactive in identifying opportunities for learning and professional development to ensure excellence and continuous improvement.
• Represent Youth Music at events.

From a fundraising perspective, you will help drive our fundraising activities and ensure efficient administration using the newly acquired ‘Donorfy’ database. You’ll also support digital campaigns and new initiatives, to encourage sustained support for our work. You’ll directly help to secure the financial support needed to expand OTR’s services and reach more beneficiaries. JOB PURPOSE

The Fundraising and Communications Executive will play a key role in implementing OTR’s fundraising and communications strategies. The role involves planning, creating, curating and managing high-quality digital content across our website, social media platforms and email marketing campaigns. Furthermore, you will support key areas of our fundraising strategy, including trust and grant applications, horizon scanning and ensuring excellent fundraising administration across all areas of activity.

This position is instrumental in supporting the Head of Fundraising in developing and strengthening OTR’s income streams and increasing awareness of OTR’s services through effective communications. 

Specific role duties

Supporting the fundraising strategy

• Lead on OTR’s donor and community fundraiser stewardship through excellent communication and effective relationship management.

• Lead on the implementation of fundraising communications across channels.

• Responsible for small to medium size trust and grant applications, including horizon scanning

• Support the stewardship of small and medium-sized trusts and foundations including scoping, applications, reporting and funder management.

• Create engaging content and campaigns to drive income generation.

• Help build the small pool of regular donors.

Website and CRM maintenance

• Work with OTR’s Head of Fundraising, the Administration Manager and web developer to maintain, update and enhance the OTR website.

• Monitor website performance, user engagement and SEO trends, suggesting and

implementing improvements to enhance user experience and visibility.

• Lead on ensuring our CRM (Donorfy) is utilised effectively to record, monitor and report on fundraising activity and income.

Social media

• Working with the Head of Fundraising, CEO and Volunteer Coordinator and Business Support Officer, contribute to OTR’s social media presence by creating and scheduling engaging, accessible, and informative content that resonates with our audience and supports OTR’s mission.

• Monitor social media platforms to ensure timely and appropriate responses to comments and messages.

• Identify new opportunities to grow OTR’s social media reach, building awareness of our services, fundraising and outreach work.

• Regularly report on social media performance, using insights to inform future content and strategy.

• Utilise paid ads to support fundraising and training.

Email marketing

• Support the planning, creation, and delivery of OTR’s, soon to be launched, email marketing campaigns, including newsletters, fundraising initiatives and service information and signposting.

• Ensure all email communications are engaging, well-structured, and in line with OTR’s brand and tone of voice.

• Assist in the promotion of key OTR events, such as the Big Charity Bash and annual Great South Run and other special events.

• Manage and grow OTR’s email marketing lists, ensuring they are up to date and GDPR compliant.

• Track and analyse the performance of email campaigns, providing reports and insights to the Head of Fundraising.

Content creation

• Create engaging, accessible, and informative content for OTR’s digital channels, including the website, social media and email marketing.

• Develop multimedia content (for example, videos and graphics) to enhance OTR’s

communication methods and increase engagement.

• Contribute to blogs, news articles and case studies that highlight OTR’s work, impact and achievements in the sector.

Brand and tone of voice

• Ensure that all digital content aligns with OTR’s brand, tone of voice and style,

maintaining a cohesive and recognisable identity across all platforms.

• Promote OTR as the leading place to turn to for support, ensuring that our content

Analytics and reporting

Purpose of the post 

The Warehouse Supervisor plays an essential role in the smooth running of the Vale Lane warehouse, supporting all aspects of the food operation. 

You will work as part of a team to effectively support the warehouse operation, incoming goods, storage and dispatch of goods to Community Food Members (CFMs) to high levels of compliance and service. This role will include working with a large and diverse team of volunteers throughout the week.  

The role will be primarily based at our South Bristol warehouse, where alongside our usual food redistribution operation and volunteering programme, we run our youth employability programme FareChance for 18 to 25-year-olds to develop logistics and workplace experience.

Duties and responsibilities: 

Warehouse  

• Ensure the smooth running of food intake, storage, and food distribution, liaising with food industry representatives, FSUK, distribution companies and hauliers. 

• Support the South Bristol Hub Manager in coordinating and maintaining the fleet of vans and machinery. 

• Provide ongoing support to the South Bristol Hub Manager to ensure high levels of compliance in the warehouse throughout the year and for internal/external audits. 

• As part of the warehouse team, reduce waste and maximise the distribution of surplus food to members. 

• Report to the South Bristol Hub Manager with operational improvements to increase efficiency and implement agreed changes. 

Volunteers and FareChance  

• Oversee (under the direction of the South Bristol Hub Manager) FareChance participants, regular volunteers and corporate volunteers on warehouse shifts, delegating/assigning tasks, and supervising work to ensure all tasks completed effectively. 

• Support and train all FareChance participants and volunteers with their allocated warehouse/job-specific tasks/roles

• Supporting the FareChance participants’ and volunteer’s health, safety, and welfare during their shift. 

• Undertake continual professional development e.g. training in mental health, active listening, coaching, safeguarding, inclusive practice etc 

• Provide positive role modelling to FareChance participants and volunteers while undertaking warehouse tasks together. 

Goods In and Storage 

• Follow FSSW goods-in procedures including liaising with suppliers, completing relevant paperwork, using inhouse software and fork-lifting duties. 

• Ensure pickable and non-pickable areas are ready to receive good in and dispatch orders at all times. 

• Manage storage of stock within the warehouse, including: 

• Assisting with stock checks 

• Ensuring effective stock rotation and sharing best practice  

• Oversee the dispatch of goods through deliveries and collections ensuring all FSSW procedures are followed. 

• Liaise with the wider FSSW team and FSUK to report quality, quantities, and other issues.  

Compliance and Health & Safety 

• Operate according to the FSUK HACCP Food Safety Manual and FSSW compliance standards and processes.  

• Support the South Bristol Hub Manager to ensure compliance with relevant food hygiene, health & safety, and other standards applicable to FSSW premises, vehicles, refrigeration equipment, staff, and volunteers. 

• Undertake relevant training in food hygiene, safeguarding and health & safety 

General 

• Respond to/answer any enquiries/communications via telephone, email, in person or via inhouse IT/systems. 

• Engage positively with any visitors to the warehouse. 

• Support FSSW events. 

• Carry out any other duties that may reasonably be required in support of the main purpose of the role, including liaising with the wider FSSW team.

Overall Purpose

The Office Administrator will provide comprehensive administrative and secretarial support to ensure the smooth and efficient operation of the Foundation.
