Role Overview
Reporting to the Executive Director, the Finance and Operations Administrator will be responsible for providing successful administrative support for the general running of the organisation and for our fundraising activity. The post holder provides support to the Executive Director and other members of the team to ensure the smooth running of all non-programme activity.
We are looking for a well-organised individual who would enjoy being part of a small, passionate team.
Key Duties and Accountabilities
The role will involve four key areas:
- Finance administration; including entering all transactions into Sage (finance management system), raising and processing invoices, processing staff and contractor expenses, supporting preparation finance reports for board and audit.
- Operational administration; including human resource and health and safety administration, supporting administration of the board of trustees, undertaking logistical support for team and board meetings.
- Event support; including supporting event planning and overseeing event logistics for all non-programme events.
- Administration support for Executive Director; including supporting diary management and undertaking research prior to and following meetings and events.
- Fundraising administration; including administrative support for management of donors, maintaining calendars and scheduling events and meetings, and maintaining the database.

There will be a requirement to work outside normal working hours due to evening events and the fact that we work closely with Facing History and Ourselves Inc. in the United States, who originated the work and provide support and guidance to the team in the UK. It is expected that this is likely to average one day a week with a later start and finish than usual working hours with reasonable notice given.
There will be some UK wide travel required for the job.

Grandmentors
Grandmentors is a national volunteering programme where older volunteers (aged 50+) use their lifetime of skills and experience to support and mentor vulnerable young adults leaving the care system. These young adults often need a guiding hand and role model to support them to find work, continue their education or begin training – ultimately giving them the skills and self-belief to lead successful and independent lives.
Volunteers meet with a young adult regularly to boost their confidence and work towards goals, which are unique to each person.
Role Purpose
We are recruiting two part-time Project Coordinators to effectively deliver all aspects of our Grandmentors project in Wiltshire, ensuring it achieves its aims, objectives, outcomes, and targets. The postholders will work alongside teams within Wiltshire Council and with local volunteers to ensure that we improve the lives of care experienced young people (aged 16-25) through the unique power of inter-generational mentoring.
Key Duties & Responsibilities
- Effectively manage the service to ensure it meets agreed targets and millstones.
- Maintain effective relationships with stakeholders and local authority staff.
- Ensure volunteers are recruited, appropriately trained, and supported in their role; this will involve processing volunteer expenses, DBS checks and maintaining databases.
- Ensure regular communication between project staff and volunteers is maintained and that regular supervision for volunteers is provided.
- Work with your line manager to ensure project expenditure is in line with the budget.
- Maintain accurate records on all aspects of the project and submit data onto a secure system.
- Manage and maintain effective monitoring and evaluation records to capture impact and outcomes and ensure contractual compliance.
- To implement and maintain appropriate risk assessment management processes.
- Prepare impact and progress reports for both internal and external purposes.

Ensuring the delivery of The Trussell Trust’s vision to end the need for food banks in the UK by developing an in-depth understanding of Trussell Trust food banks in their area and using coaching and assist to build and hold productive relationships to:
· Develop and execute a strategic plan for reducing the need for food banks’ services locally.
· Work alongside local partners to increase public will for long-term solutions to end the need for food banks.
· Develop and manage strategic relationships with key stakeholders to assist evidenced-based policy change at a local level and feed into activity to drive policy and practice at UK wide and national levels.
Role responsibilities
· Assisting trustees, staff and volunteers within food banks to develop their plans to end the need for their services locally through the strategic key areas of operations, volunteering, data, participation, church engagement, governance and stability, financial inclusion, stakeholder engagement, local influencing, referral pathways and signposting.
· Assist food banks to operate in a safe, legal and dignified manner (through calls, visits, training, meeting facilitation and our risk management and self-assessment processes) and assist the facilitation of good practice within the network and wider organisation (through cluster meetings, regional forums, road shows, webinars, peer support and internal meetings).
· Contribute to the development and promotion of support available to food banks through the Trussell Trust (including use of the digital hub, toolkits, partnerships and expert advice) and assist food banks with grant application processes, as required.
