Job Description:

We are seeking a highly organised and proactive Charity Lead Administrator to support our organisation on a part-time basis. This role involves a lot of liaising with key stakeholders, including the Project Director, Trustees, Finance Administrator, and external accountants, making it vital for the successful running of our charity.

As the Charity Lead Administrator, you will play a crucial role in managing grant agreements, helping to finalise grant requests, compiling reports to donors, and ensuring due diligence. You will also coordinate funding requests and ensure compliance with grant terms, particularly around expenditure tracking and reporting. Your strong understanding of budget structures will be key in supporting financial management processes.

You will be working with Climate Response Limited, who currently run the Climate Crisis Advisory Group (CCAG), a world leading group of climate science experts, supporting their work globally.

Responsibilities include:

· Liaising with Key Stakeholders: Act as the central point of communication between the Project Director, Board of Trustees, Finance Administrator, and external accountants.

· Grant and Reporting Management: Assist in preparing and finalising grant agreements, donor reports, and funding requests. Ensure that all grant terms are met, including compliance with reporting requirements and accurate recording and coding of expenditure.

· Meeting Preparation and Support: Prepare agendas in consultation with stakeholders and distribute relevant documents in advance of board meetings.

· Minuting Meetings: Accurately record and distribute minutes for board and project meetings.

· Budget Administration: Collaborate closely with the Finance Director and assist with budget tracking, ensuring that expenses align with financial reports and funding requirements.

· Xero Support: Aid in financial tracking and decision-making by ensuring that Xero coding accurately reflects the spending structure. Assist with coding by funder, supplier, working group, or in comparison to the budget, ensuring financial transparency.

· Invoice Management: Review and assign serial numbers to each invoice, verify them against the budget, and pass them to the Finance Director for approval and payment. Escalate queries to the appropriate person only when necessary.

Qualifications:

1. Proven administrative experience, preferably in a charity or non-profit setting.

2. Strong communication and organisational skills, with an emphasis on stakeholder management and financial liaison.

3. Familiarity with financial administration, budget tracking, and compliance with funding terms.

4. Experience with Xero accounting software is beneficial but not essential, as training can be provided.

5. Ability to work independently and manage tasks with minimal supervision.

As a member of the Process and Administration Team (PAT)  at Libraries Connected, you will play a crucial role in ensuring efficient and cohesive administrative support for the organisation. Your primary responsibilities will include supporting new initiatives such as a potential leadership development programme, the development of online learning modules, the creation of a Futures Lab and Data Observatory, and managing tender bids for new commercial contracts. Additionally, you will have broader responsibilities across the organisation, including finance processing, development and maintenance of organisational systems, and the opportunity to engage in a variety of activities beyond your primary role.

Projects and Commercial Administrator will help deliver our portfolio of projects and programmes, the role will specifically include:

• Supporting the development and delivery of our workforce development strategy including:
  • Our EDI strategy for our organisation and library sector
  • A peer mentoring scheme for heads of library service
  • A leadership development programme
  • Development of our online learning modules
• Supporting the development of our new Futures Lab and Data Observatory
• Support new Commercial Contracts from bid stage through mobilisation and into delivery

Libraries Connected has established a Process and Administration Team (PAT) whose role is to ensure that the Libraries Connected staff receive efficient and cohesive administrative support, and that resilience is built into the administrative processes in terms of knowledge sharing, process documentation and consistency. As a member of the Process and Administration team, this role will also have broader responsibilities across the organisation including supporting finance processing, development and maintenance of organisational systems, and the opportunities to work across a range of activities alongside the primary role. 

Main purpose:

• Main activities for the role will include working with the Project and Commercial Managers to:
  • Schedule and organise meetings and events, including venue booking, catering, delegate lists as required
  • To provide technical support for online webinars and meetings
  • Provide secretarial support including managing and circulating meetings papers and taking minutes and updating action logs
  • Support management of project budgets and associated finance systems including raising invoices and reconciliation
  • To support project and contract reporting including collation of relevant data.
  • To efficiently manage and organise documentation and relevant data to provide clear audit trails and support reporting and evaluation of events, awards, and training
  • Manage travel and accommodation bookings
  • Answer queries from members and project partners
  • Conduct research into library sector activity, or how to improve our systems and processes, and write options papers
• To work within the PAT function to manage cross organisational administration, including:
  • Managing the shared mailboxes
  • Finance transaction processing 
  • Organising team meetings 
  • Collaborating to developing systems and processes as required

Key relationships

• Reports to the Project Manager and works with them to provide high-quality project management.
• Works with the Commercial Manager and the wider Commercial Team to help secure and deliver contracts and services
• Works directly with library teams to support the setup and delivery of the contracts
• Works with the finance team and Process and Administration Team (PAT) to ensure financial processes are followed and provide support as needed
• Works with PAT to support organisational processes
• Supports the Libraries Connected Leadership Team

Funded by the Department of Health and Social Care (DHSC) and managed by the Tropical Health and Education Trust (THET), the Global Health Workforce Programme (GHWP) aims to develop the health workforce (HWF) in Ethiopia, Ghana, Kenya, Malawi, Nigeria and Somaliland supporting them to build stronger, more resilient health systems for post-pandemic recovery and to make progress towards UHC.

Grants for UK-LMIC and cross-LMIC health partnerships will be awarded to respond to national HWF priorities identified through a scoping assessment carried out by THET with DHSC, FCDO, national Governments and stakeholders (such as local World Health Organisation offices). These grants will run until December 2025.   

With a strong focus on building local ownership and sustainability, these partnerships will contribute to the following programmatic outcomes:

1. Partnerships contributing towards improved health workforce leadership capacity aligned with health workforce strategies, that will support reduction in gender inequalities.

2. Partnerships aligning with and contributing towards retention and wellbeing strategies.

3. Improved number and quality of training opportunities for health workers.

4. Co-developed and documented learning on health workforce interventions shared with key national and international stakeholders.

THET will award 28-36 strategic grants of £100,000 – £350,000 that feed into the country scoping priorities and outputs outlined above. The grants will broadly be split across the six countries; however, the exact split is dependent on the number and quality of applications received and broader priorities.   

20-28 smaller grants of up to £50,000 will also be available for projects that tackle specific areas such as innovation, rural health facilities, diaspora engagement, leadership opportunities for women and protected groups, and the climate crisis.   

Grants will be available to UK-LMIC health partnerships and LMIC-LMIC health partnerships. There are no institutional eligibility criteria as long as ODA rules are followed, so grants can be awarded to healthcare providers, royal colleges, universities, professional associations, NGOs, alliances, diaspora networks etc, but not to Ministry of Health departments.

This document serves as a Terms of Reference for the type of work the THET Administrative Support should expect to carry out as part of this.

MAIN RESPONSIBILITIES

1. Oversee consultants’ invoicing and payments process and staff expense claims

· Prompt consultants to send invoices at the end of the month

· Review receipts and time claimed against contract and allowable expenses, file documents and send to Programme Manager for approval

· Monitor consultants’ time and expenses in trackers

· Review expense claims from THET staff related to GHWP, file documents and send to Programme Manager for approval

· Follow up with Finance team regarding payments

2. Oversee the National Oversight Mechanism invoicing and payments process

· Prompt in-country Admin Assistants to send invoices to NOM upon completion of activities, and follow up if necessary

· Admin Assistants will check receipts and time claimed against honoraria agreements and allowable expenses and send to Programme Manager for approval, cc’ing Admin Support

· Monitor payments in tracker

· Follow up with Finance team regarding payments

3. Provide support to recruitment/contracting process

· Support with developing/adapting recruitment documents (application log, creating folders in Sharepoint)

· Support with drafting contracts based on information provided by Programme Manager/Coordinator

4. Provide support to reporting process

· Support with development of templates and updating basic information in the report

· Proofread and format reports before finalisation and submission by the Programme Manager

5. Support the Programmes Manager and Programmes Coordinator

· Provide ad hoc administrative and logistical support to the team as required

· Support with filing documents in Sharepoint

· Support with drafting briefings

· Support with setting up meetings and comprehensive note-taking

Grandmentors

Grandmentors is a national volunteering programme where older volunteers (aged 50+) use their lifetime of skills and experience to support and mentor vulnerable young adults leaving the care system. These young adults often need a guiding hand and role model to support them to find work, continue their education or begin training – ultimately giving them the skills and self-belief to lead successful and independent lives.

Volunteers meet with a young adult regularly to boost their confidence and work towards goals, which are unique to each person.

Role Purpose

We are recruiting two part-time Project Coordinators to effectively deliver all aspects of our Grandmentors project in Wiltshire, ensuring it achieves its aims, objectives, outcomes, and targets. The postholders will work alongside teams within Wiltshire Council and with local volunteers to ensure that we improve the lives of care experienced young people (aged 16-25) through the unique power of inter-generational mentoring.

Key Duties & Responsibilities

• Effectively manage the service to ensure it meets agreed targets and millstones.
• Maintain effective relationships with stakeholders and local authority staff.

Advocacy After Fatal Domestic Abuse (AAFDA) was founded by Frank Mullane in memory of his sister Julia Pemberton and her son Will who were both killed by her ex-partner in 2003.  

Each year, around 150 families lose a loved one to domestic homicide. The actual number of suicides as a result of domestic abuse remains unknown. AAFDA’s prime function is to provide families in England and Wales with specialist peer support and expert and specialist advocacy for the range of statutory reviews that will take place after domestic homicide.

As a growing charity, AAFDA is looking for an exceptional candidate to join our supportive team and lead our finance and resource management functions. The role will provide and manage the HR, administration and finance activities of the charity and sit within the Senior Leadership Team.

Why Access Social Care Exists 

Every day millions of older and disabled people are denied the social care they need. Most local authorities can’t meet the growing demand for care, and none are confident they can meet their legal duties in the future. This affects all of us - we will all need social care at some point in our lives. 

We all have a right to hold public bodies to account, but most of us cannot afford lawyers so rely on legal aid. The 92% drop in legal aid cases since 2010 means that we have nowhere to turn. Without access to justice, our rights do not exist. The rule of law is broken. 

What we do 

Access Social Care provides free legal advice and information for people with social care needs, helping achieve a better quality of life. We work with communities to increase knowledge of the law and our rights. We highlight the gap left by cuts to Legal Aid and provide advice for those who can’t afford it. 

With a 98% success rate, our network of lawyers provide access to justice when things go wrong. We collaborate with social services whilst ensuring legal obligations are met. We are working towards a future where social care is adequately funded and we all get the support we need. 

We provide rights awareness training to front line managers, and legal advice and support to families and individuals. As well as providing access to justice, our aim is to drive system level change through evidence-led influencing and strategic casework.

About the role 

Our paralegal roles are ideal for individuals without prior legal or casework experience. As a  Paralegal (Individual Membership), you will be responsible for conducting desktop audits of paperwork for those with care and support needs, as defined by the Care Act 2014.  Additionally, paralegals at Access Social Care may  assist one or more caseworkers or other legal staff with various administrative and casework tasks.  

You will be encouraged to take on increasing responsibility throughout  your employment. If you wish to progress and demonstrate sufficient progress, there could be an opportunity to advance to a Trainee Caseworker position within  a year or so, depending on your prior experience and development at Access Social Care. You will have dedicated time  for in-house and external training and will be encouraged to take responsibility for your own professional growth.

The casework we do is pre-action, including drafting letters before action and submissions.  When we are unable to resolve  issues, we refer cases to organisations with legal aid contracts for litigation.  We provide advice primarily by telephone and digital platforms, with  face to face interactions being very rare. 

Responsibilities 

1. Undertake desktop audits of paperwork including care assessments and care plans and make recommendations as to whether care and support needs are being met.

2. Assist with a range of tasks associated with case preparation and management under close supervision, including administrative tasks like arranging meetings with clients or counsel, and file keeping

3. Support our pro-bono clinics, Hubs, and legal projects as required, including those in relation to monitoring, evaluation and learning

4. Carry out research and build personal knowledge of community care law and social care issues

5. Assist in the development of written resources, training materials and similar

6. Support with community engagement, stakeholder outreach and communications

7. Keep up-to-date with all written and verbal communications (i.e. emails/messages/calls)

8. Abide by and promote Access Social Care’s policies, particularly in relation to our strategy and governance around data protection and confidentiality, and comply with our case management processes, including time recording and case file management 

9. Undertake relevant learning according to agreed personal development plan

10.  Undertake such other tasks as may reasonably be required.
