JOB PURPOSE 

The Administrative Assistant role provides a range of proactive administrative support to the Director of Fundraising of UK for UNHCR, as well as to the wider fundraising team. This role is therefore a key support in growing funding for refugees and displaced communities.

ROLE RESPONSIBLITIES 

• Proactively manages the Fundraising Director’s calendar: scheduling and rearranging internal and external meetings and liaising with key internal and external stakeholders.  
• Helps schedule meetings for the various fundraising teams.   
• Books meeting rooms for internal and external meetings, ensuring any required technology is set up. 
• Ensures briefings for Director of Fundraising are received in advance of meetings. 
• Registers in-person external guests to the office and ensures they are welcomed. 
• Books travel arrangements for the Director of Fundraising and heads of fundraising.  
• Minutes meetings, including documenting and sending out summary of decisions made and next steps from internal meetings. 
• Updates partner information in our database (Salesforce). 
• Maintains files and records on SharePoint. 
• Manages invites and guestlists for donor events.  
• Leads on organising logistics for twice annual fundraising all staff strategy away days. 
• Coordinates with colleagues to secure content and information for donor materials (newsletters, proposals, reports).   
• Helps create template documents for donors (for example, thank you emails/letters). 
• Collates documentation for purchase orders and invoices.  
• Builds and manages positive relationships with internal and external stakeholders. 
• Identifies any administrative processes that could be simplified or made more efficient. 
• Appropriately manages any confidential information. 
• Supports other directors and fundraising colleagues on administrative activities. 
• Performs other appropriate tasks or duties as required.  

PERSONAL ATTRIBUTES AND EXPERIENCE

• Previous experience in an administrative role. 
• Previous experience with diary management.

About the role

This vacancy is for a University Access Officer to work in Oasis Academy Hadley and Lilian Baylis Technology School.

The University Access Officer works with school staff at all levels, volunteer tutors, and with the rest of The Access Project’s team to ensure that the delivery of the programme is optimised.

Role responsibilities

• Work directly with students in a professional and safe manner
• Engage with students in school and enrol them onto the programme
• Match students with volunteer tutors
• Monitor student attendance to tutorials and devise innovative solutions to encourage attendance
• Assess student progress towards being able to make successful university applications
• Upload information onto the Salesforce database (training is provided)
• Monitor the impact of tutorials, and intervene as appropriate
• Build and manage relationships with volunteer tutors to ensure they have a positive experience of the programme
• Manage tutor attendance to tutorials through weekly monitoring systems
• Work with school staff to ensure their cooperation and timely completion of activities contributing to the smooth running of the programme
• Chair and present at termly school meetings with Senior Management to report on programme progress.
• University Access Officers support the volunteering team by helping to deliver tutor training sessions, and attending university site visits, which take place on occasional Saturdays and weekday evenings (paid time off is provided).

Purpose of the job/About the role

The Supporter Care team is responsible for providing the highest level of customer care to everyone who interacts with and supports Dementia UK. As the Supporter Care Officer, you will help maintain and drive fundraising growth across various income streams. You will achieve this by ensuring the best possible supporter experience for all our donors and by proactively improving processes and ways of working to support this overarching responsibility. 

Reporting to the Supporter Care Manager, the Supporter Care Officer will deliver excellent customer care to supporters and potential supporters of Dementia UK. You will respond to enquiries via post, email, and telephone, and will be responsible for thanking our supporters by adapting and personalising templates to deliver high-quality thank you letters. 

You will also work closely with our database to maintain the quality of information available and assist with gift processing. This includes handling sensitive data, such as credit card information, confidently and securely. Additionally, you will support all teams across fundraising and assist the Supporter Care Manager in identifying processes that could be improved, ensuring our database accurately captures our income. 

To be successful in this role, you will have proven experience delivering high standards of customer service over the telephone, with the ability to handle enquiries diplomatically and sensitively. You will have strong verbal and written communication skills and the ability to work effectively as part of a small team, building relationships with both colleagues and supporters.

The Felix Project is London's biggest food redistribution charity and the largest end-to-end food redistribution charity in Europe.  

The Felix Project is a dynamic, ambitious charity working to make London a city where no one goes hungry and good food is never wasted.  

We rescue high quality, fresh and nutritious food that cannot be sold from nearly 500 suppliers including supermarkets, wholesalers, farms, restaurants and delis. We sort and deliver this food to charities, schools and community projects supporting London’s most vulnerable people. 

This year we expect to rescue 13,000 tonnes of food to redistribute to more than 1,000 London frontline charities and primary schools in every borough of London. That’s enough food to make more than 30 million meals. 

The Felix Project is growing fast in response to huge demand. Set up in 2016, we now have around 160 staff working alongside 8,500 volunteers. We have four main operating depots spread across London - in Deptford, Enfield, Park Royal and Poplar. We’re committed to ensuring our different teams work hand-in-hand, so our main hot-desking spaces are built into these depots. 

Alongside our large-scale, depot-based operations we have green ‘point-to-point' food redistribution projects in central London and Canary Wharf. In Poplar, we operate a commercial Kitchen which uses surplus food to cater for up to 5,000 individual meals per day. 
 

Purpose of the Job 
The Recruitment and HR Operations Manager will report direct to the Head of People and lead the end-to-end recruitment and HR operations for our organisation. This role combines the strategic elements of recruitment with operational HR responsibilities, including payroll oversight, HR systems management, and occasionally employee relations support. This role will be line managing the People Officer and People Administrator, who will provide support on the below functions. 

Duties and Accountabilities

Recruitment

• Ensure that end-to-end recruitment is completed for roles across all levels of the organisation; including creating recruitment campaigns and plans
• Overseeing job board accounts
• Develop and execute innovative talent acquisition strategies to attract and retain top talent.
• Partner with department managers to understand their hiring needs and provide guidance throughout the recruitment lifecycle.
• Manage relationships with external recruitment agencies as needed to support hiring goals.

HR Operations

• Oversee HR operations to ensure efficient and compliant HR processes, including payroll processing, benefits administration, and employee record maintenance.
• Ensure compliance with relevant employment laws and internal policies.
• Drive improvements in HR processes and systems to increase efficiency and effectiveness within the team.
• Oversee onboarding and offboarding processes to ensure a seamless employee experience.

Payroll Management

• Oversee payroll processes, ensuring accurate and timely payroll distribution.
• Coordinate with the Finance Department and the People Officer to resolve payroll-related issues.
• Ensure compliance with all payroll-related legal requirements and organisational policies.

HR Systems and Database Oversight

• Oversee databases, ensuring data integrity and security
• Ensure external website, intranet, and SharePoint HR pages are updated and contain most up-to-date information.

Other

• Provide support for ER cases as needed, collaborating with the HR Advisor to ensure fair and consistent application of policies.
• Support the Learning and Development Advisor in development and administration function of training of our staff
• Support HR leadership in fostering a positive workplace culture
• Any other duties as directly by the senior leadership team.

The Opportunity  

WorkWell is a government funded programme that offers an early-intervention work and health support and assessment service. This provides holistic support to overcome health-related barriers to employment, and a single, joined-up gateway to other support services. 

We work in partnership with mental and/or physical health clinical teams, GP practices and other referral partners who refer clients who are currently in employment but are experiencing difficulties in the workplace and require assistance to help them return to work, remain in work or find new employment. This programme will also support those who have fallen out of work to get the support they need to return to employment. That support will be tailored to their specific needs and circumstances. 

We need a team of four Work and Health Coaches to provide highly effective support to individuals and guide them on their journey to returning, remaining or finding new employment while also supporting them to improve their health and wellbeing. The Work and Health Coach will also be instrumental in supporting participants to remove health related barriers by sourcing and funding appropriate interventions. 

There is a total of four roles, with three full time and one part time, Work and Health Coaches.

About the role

The Assistant Head of Inshore Boating is instrumental in facilitating these experiences as part of a team working to support volunteers and colleagues across the UK, with a focus on our five activities of dinghy sailing, paddlesport, powerboating, rowing and windsurfing. The post will require experience of dealing with people of all ages/backgrounds, in the management of delivering activities, equipment/facilities and supporting the development of instructors.

We are looking for a passionate practitioner, with a background in delivering both on and off the water, and in-depth experience of operating procedures and governing documentation. Experience of working with young people is essential.

Responsibilities

· Lead on developing our boating/watersports framework

· Support volunteer led activity across the UK in delivering life affirming on the water experiences to young people.

· Support the Head of Inshore in the development and delivery of assurance and safety of Boating.

· Day to day Line management of the office team

WorkWell is an exciting new government/DWP initiative to get people back to work. As well as providing work placement support, it will also address and support any physical or mental health needs via a Mental Health Provider and Physical Health Advisor who form part of the team. The pilot in Surrey will be going live in December and aims to empower people to take control of their health, wellbeing and any impacts this is having on their employment via referral to a WorkWell Coach. That’s where you come in.

Working as a key part of the primary care network (PCN) and other community hubs, your challenge will be to provide a supportive environment that enables each individual to identify their health and wellbeing concerns and the impact these are having on their employment. People & Culture Advisor

GENERAL FUNCTION: 

The People and Culture Advisor will be instrumental in delivering efficient, timely and effective HR support and advice to employees, managers and leadership throughout the company. · Producing all payroll related documentation including LoE changes, pay increases, maternity leave letters, deduction letters and other change letters as required.

· Generating a monthly pension report and timely uploading to the pension provider portal.

· Degree, preferably in Human Resources or a closely related field or minimum 5 years’ prior relevant experience.

· In possession of or working towards a CIPD Level 5 or higher

· Experience with Human Resources information systems

· Excellent communication and interpersonal skills, including written and verbal.

· Ability to independently manage casework in line with ACAS guidelines.

· Proven knowledge of UK employment law and best practice.

· Proven ability to handle confidential / sensitive information.

· Proven ability to successfully communicate and mediate with both management and staff.

· Ability to champion diversity, equity, and inclusion.

· Proven ability to successfully operate in multi-cultural environments.

Preferred:

· Fluency in a second language other than English, such as French or Arabic

· Experience of working in an International organization or NGO
