Key Responsibilities
Personal Administration Support
- Manage the Chief Executive’s diary, optimising the efficient use of time and resources through effective planning and ‘gate-keeping’ in a relational style that represents the charity’s values
- Ensure all necessary briefing papers and documents are compiled for the Chief Executive in good time in advance of meetings
- Prepare and present excellent Powerpoint and other presentations for internal and external audiences, e.g., meetings with donors, trustees and other key stakeholders.
Governance Support
- Co-ordinate and attend Trustees’ meetings, including arranging dates, preparing papers in advance, taking and sending out minutes
- Administrate the Investors’, Communications, Fundraising, Strategy and Finance, and other Trustee Steering Groups

Overview of Go-Forward:
This is an exciting opportunity to join a small charity at a time of big growth. Go-Forward Youth was founded by care leavers to provide support to care experienced young people as they transition to adulthood and independence. Our core aim is to reduce social isolation and improve outcomes for young adults who have recently left the care system by offering a place for them to turn in moments of loneliness, crisis and celebration, and offering programmes that support them to develop the skills required for living independently. Our long-term vision is to combat the stigma that surrounds care leaving so that care leavers feel supported and empowered to achieve their ambitions without barriers to access.
We run a busy programme of social activities, personal development and employability skills training for care leavers across London and are looking for a hardworking, highly motivated and conscientious individual to take responsibility for the day-to-day administration of the charity.
Main Tasks:
To support the Go-Forward Youth CEO in maintaining professional, robust, and efficient administrative systems and records for both Go-Forward Youth as follows:
1.Be the first point of contact for both entities and to manage the office email account and diary, drawing to CEO, Funding Manager or Chair of Trustees matters that they need to action, and ensuring that we respond in timely fashion to all external communications.
2. Administration of courses and programmes
a. Maintain lists of participants and volunteers, including attendance logs
b. Ensure that we maintain appropriate records for each – for identification and compliance, for communications, and for programme progress
c. Produce and distribute regular updates to both volunteers and programme participants
d. Liaise with Local Authorities (LAs) regarding the administrative aspects of developing Go-Forward Youth projects and programmes in other LA boroughs
e. Assist with recruitment and onboarding and on boarding of new staff.
f. Maintain risk assessment, safeguarding, fire safety and other records, making sure all policies are reviewed and updated yearly. Ensure that all staff and volunteers working with clients have been DBS checked (Enhanced).
3. Administration of grant applications
a. Support the Funding Manager by logging, recording and monitoring the progress of Go-Forward Youth grant and funding applications, along with report deadline.
b. Update the CEO and Trustees on in-progress funding applications and ensure action is taken and deadlines are met where necessary.
c. For grants won, ensure that reporting cycles are noted in the charity’s diary, and that the appropriate reports to funders get sent
4. Administration of Board and other internal compliance processes
a. Meet with the CEO weekly to review the overall performance and objectives of the charity.
b. Maintain systemised record keeping of invoices and receipts, to be stored securely and sent to the relevant key personnel.
c. Undertake any other administrative activity necessary to support the smooth running of the charity as instructed by the CEO.
d. Assist the Treasurer or Chair in the preparation, administration and submission of the annual accounts to the Charity Commission and Companies House in a timely manner.
e. Assist in the preparation of board meeting papers, including circulating meeting agendas and taking and distributing minutes of meetings as required.
f. Prepare and send out personalised birthday and celebration cards to young participants.
g. Look for opportunities to create, develop and streamline existing office systems.
h. Support the administration of the lived-experience-led Youth Advisory Board (YAB) and Own-It Alumni Network.
i. Maintain and develop clear and full electronic and physical filing systems.

What's the role about?
As Executive PA, you will provide assistance to the Executive Director of Income and Conservation Investment (ICI), managing their busy inbox and diary and proactively helping them to stay on top of actions and deadlines. I am excited to be working with an amazing support charity in search of an Executive Assistant to the CEO. This is a part-time, London based hybrid role until 31 December 2024. As EA you will be responsible for safeguarding staff time by leading on key administrative workflows across the charity, including the Board operations.
Main duties:
Act as first point of contact; monitoring general email, triage enquiries, drafting correspondence, scheduling external meetings on behalf of team members.
Act as a point of contact for working group participants, answering enquiries, sending participation packs, scheduling meetings etc.
Support project management office team with scheduling, preparing pre-reads and other documents, minute taking and communicating action items after PMO meetings.
Arrange domestic and international travel, including flights, accommodations, logistics, itineraries and travel preparation for team member co-working days, offsites, retreats, etc.
Arrange training, including health and safety, safeguarding, data protection & GDPR, equality & diversity training.
Act as Board Secretary, provide administrative support, maintain and update Trustee information and records.
Act as the key point of contact, servicing Trustees engagement with our charity; including minuting and scheduling meetings, inductions and recruitment, etc.
Manage workflows associated with the recruitment and induction of Trustees; with support from our Governance, HR and Change Management consultants
Developing and recording the standard operating procedures for the Board
Coordinate the review, updating and implementation of Board policies
Coordinate the preparation of Board papers, financial documents and minutes in advance of Board and subcommittee meetings.
Arrange training, including health and safety, safeguarding, data protection & GDPR, equality & diversity trainings.
Act as first point of contact for all IT service providers and contractors
Act as first line of administrative support for Chief of Staff, including preparing induction, onboarding and offboarding documents

MAIN RESPONSIBILITIES
PA Support to the CEO (estimated 30% of the role)
- Effective diary management for the CEO:
- Corresponding with internal and external contacts to arrange meetings
- Ensuring CEO time is managed with a mixture of meetings and space for desk work
- Maintaining an overview of upcoming appointments for the CEO and highlighting upcoming meetings to the CEO
- Meeting regularly with the CEO to provide a verbal overview of diary changes
- Monitor PA email inbox monitoring for diary or other requests
- Keeping records of meetings up to date on Bond’s systems, including Salesforce
- Maintain and prepare monthly expense and credit card claims for CEO.
- Book travel arrangements for CEO.
- Assist the CEO with staff comms and engagement, including coordinating the monthly staff meetings, stand up, organising awaydays and other staff engagement opportunities.
- Support with the scheduling and planning of SMT meetings, including by ensuring SMT agenda dovetails effectively with that of the Board.
- Produce meeting briefings and powerpoint slides to support CEO engagement.
Governance Support (estimated 40% of the role)
- Support for Board, Committee and Senior Management Team meetings, including:
- Scheduling meetings and room bookings
- Maintaining the annual Board schedule of meetings and deadlines for papers
- Coordinating the production of Board and Committee meeting papers, ensuring these are shared with all trustees and relevant staff ahead of meetings
- Minute meetings board, committee and other relevant meetings
- Ensure Board portal is up to date and accessible for all trustees
- Keep track of actions resulting from Board and Committee meetings and offer support for these to be completed by members of the Senior Management Team and CEO as agreed.
- Contribute to effective board governance, ensuring relevant policies and documentation are in place.
- Support recruitment of new trustees and chair and lead on inductions.
Provide HR administration and operations support to Bond (estimated 30% of the role)
- Provide operations support to members of the senior management team, including:
- Support with credit card returns and expenses claims
- Scheduling meetings and room bookings and event organisation
- Work with the People and Operations Team to provide additional administrative support when required.
- Lead on implementation of HR or Operations initiatives, in collaboration with the People and Operations team.
- Lead on and/or support any longer-term projects relevant to the role.
- Such other duties as may reasonably be required from time to time.

We are currently looking for an outstanding PA to support a visually impaired Business Analyst based in Stafford County Council. It is a support/admin role but would be ideally suited to someone with an interest in how ICT can help to transform how services are delivered. No two days are ever the same, so we need someone who is flexible.
The role is based in Stafford but the personal assistant must be willing to travel around the county where necessary. Expected hours: 37 per week. Monday – Friday. This role is funded by Access to Work.
Skills and Experience
Administrative skills - Experienced in undertaking a variety of administrative duties including handling telephone and email correspondence in a professional manner, processing documentation, maintaining information systems.
Coordinate support - Attend appropriate internal and external meetings in line with work requirements, t assist in project/workshop meetings, conducting a variety of project work activity tasks as required.
Digital skills - Experience of working with and understanding of proficiency in spreadsheet management, word document creation, power point presentations and to be able to ensure required deadlines are achieved.
- You should enable them to maintain their independence, individuality, privacy, and freedom of choice through providing the highest possible assistance and appropriate support.
- To listen to the directions and requests of the person with a disability and, wherever possible, perform support tasks/assignments that may be sensitive or confidential in accordance with their wishes.
- Ideally, you will also have knowledge of the needs of people with disability’s, empathetic and caring towards others, together with being helpful, resourceful, unflappable and have endless reserves of patience when providing visual assistants around mobility, guidance when necessary and Assistants with technology.
- Have a full driving licence, insurance and own transport.
