Executive Assistant to CEO
The Fund for Global Human Rights
London/Hybrid with 2 days based in the Liverpool Street office

Salary £51,050- £53,088 pro-rata

Charity People are delighted to be partnering with The Fund for Global Human Rights, a charity that identifies and invests in the world's most innovative and effective human rights activists, organisations and movements.

Created in 2002 by a group of prominent activists and donors, the Fund fills a critical gap in the charity sector by connecting grassroots human rights defenders to flexible funding, long-term strategic support, and a global network of allies. This ensures the long-term effectiveness and sustainability of front-line groups operating under challenging conditions with limited resources.

Reporting to the President & CEO, the Executive Assistant to the CEO will collaborate closely with both the CEO (based in the UK) and the Deputy CEO (based in Spain) who form the Executive Office. The role involves ensuring that multiple initiatives remain on track and facilitating clear communication between the Executive Office, Leadership Team, Board, and staff.

The position operates as a job share, with this role based in the UK and the other in the US. Each position requires a 50% level of effort and involves working during morning hours in their respective time zones.

Key Responsibilities
* Planning, booking, and arranging travel, transport, and accommodation
* Organising and maintaining office/work systems
* Working directly with leadership level colleagues and board members
* Preparing corporate documents
* Organising the CEO and Deputy CEO's schedule

Executive Support
* Manage the calendar for the CEO and Deputy CEO including prioritising meeting requests, keeping them informed of upcoming commitments, proactively suggesting adjustments, and anticipating needs.
* Manage the staff and Leadership Team meetings and retreats, coordinating agenda settings, taking minutes, drafting all staff communications, and keeping track of action items.
* Manage strategic/special projects assigned to completion on behalf of the Executive Office.
* Organise events and briefings for Fund donors and supporters and other stakeholders as required.

Office Administrative Support
* Maintain general office functions including office supply inventory and ordering and ensuring office appliances are functioning.
* Manage staff meetings organisation including scheduling, booking rooms, and vendor management (including translators or catering when required).
* Liaise with building management on any office needs including repairs, replacements, or cleaning.

Board Relations
* Support the scheduling and coordination of meetings of trustees which may include: compiling and managing board documentation, booking meeting venues and catering, minute taking, and ensuring follow up on action items
* Ensure that board membership, trustee annual returns, and any other relevant documents, are maintained current and uploaded on the Charity Commission and Companies House websites

The Executive Assistant to the CEO will have a strong office administrative background, ideally having worked as an executive assistant to CEO in a previous role. The successful candidate will be experienced at working under pressure and to tight deadlines, understand project management principles, demonstrate effective communication, interpersonal and organisational skills and be experienced in managing projects such as event planning.

The successful candidate will be based in London or within commutable distance to the Liverpool Street office. The role is for 5 weekday mornings each week between 9am and 1pm (20 hours), there is an option for remote/flexible working 2 or 3 days a week depending on business requirements at any given time.
