We are looking for a full-time administrator to support the smooth running of the Education and Training Department. Duties include general office administration such as diary management, preparing and circulating papers ahead of meetings, taking minutes, database management, maintaining inventory levels and supporting the department with various education and outreach activities.  This post also provides administrative support to the Director of Education and Training.  There will be a requirement to occasionally work in the evenings and at weekends.

What we need:

We need an experienced administrator with effective communications skills, a high standard of IT literacy and excellent attention to detail.  You should have proven experience of minute taking and financial reconciliation. Previous experience of working in a membership organisation is desirable.

The Role

The purpose of the Communication and Events Officer role is to:

• Communicate National Voices’ all relevant organisational output to members, decision makers, external influencers and media, including policy, improvement, lived experience and insight work.
• Assist the organisation to plan, develop and deliver content and logistics for our operations teams’ internal event commitments, including supporting on the Annual General Meeting, board events and staff team days etc.
• Work with voluntary sector organisations and people with the greatest health and care needs to develop National Voices’ communications positions and deliver against funded project work

The role will be a mix of communications and internal events work, with 75% of the role focused on communications.

Responsibilities

Deliver on our communications work

· Develop engaging content that conveys National Voices messages to members, external stakeholders, and media (including managing the day to day running of social media platforms) to maximise the reach and impact of the organisation’s policy messages and funded project work

· Support the Policy and Communications Manager with media relations activity by drafting media statements, liaising with journalists and other media activity as required

· Create National Voices’ membership content, including member newsletters and member blogs

· Oversee and manage process of external design of National Voices reports with designer

· Manage the comms and events calendar and work with internal and external team to schedule project releases and other events

· Support the maintenance of National Voices’ website, keeping the site up to date and coordinating input and content from National Voices staff and members.

· Coordinate the production of key publications, from liaising with partner organisations to overseeing design and production

· Communications administrative tasks including developing and maintaining press list, tracking press coverage and social media analytics data

· Support operation team’s internal comms around job postings, organisational policy changes, and office announcement.

Support the operations team internal events programme

· Work across the organisation to support our internal events programme including leading on some events. This includes support on logistics like venue booking, arranging catering and providing technical support.  

· Support the creation and development of materials for events and presentations.

· Support in the organisation of our Annual General Meeting and board events where needed.

· Work with the team to lead on staff social events.

· Provide ad hoc support to the operations team as required.

Our approach to hybrid working

We recognise the importance of coming together regularly, in-person, as a team, so we can share learnings and spend social time with each other. We also recognise that people need flexibility, and that homeworking enables focused work and can fit well in people’s lives.

We ask all staff to take part in pre-arranged team meetings which take place every six weeks in our office space. We also might ask you to meet in-person with members of your team from time to time, or to be available for face-to-face meetings with clients and partners where this enhances the work.

Finance 

Prepare invoice authorisation and payment process, ensuring invoices and expenses are recorded and approved appropriately, and payments made to suppliers in a timely manner. 

Reconcile bank statements, accounting software, and CRM, to ensure accurate income and expenditure records. 

Administer the corporate credit card scheme to ensure statements and transactions are approved, reconciled and accurate. 

Issue and update membership invoices using CRM. 

Manage outstanding debtor balances to ensure timely receipt of cash for ACF’s income. 

Respond to member and supplier queries regarding invoices and payments. 

Support cashflow management by maintaining a cashflow forecast. 

HR 

Maintain annual leave and sick leave records. 

Support HR manager with onboarding new staff: issuing offer letters, contracts, new starter forms, sending reference requests and arranging IT set up. 

Support HR manager with processing staff leavers: managing leaver checklists, issuing leaver letters, requesting the closure of IT accounts. 

Update ACFs organisational chart and welcome handbook as required. 

Ad hoc HR administration support around peak periods e.g. end of year reviews

he Corporate Services team provides essential strategic and operational support across the organisation. Our governance function oversees compliance, risk management, and performance frameworks. What kind of talent are you looking for?

You should be organised and have great attention to detail, comfortable working with numbers and have basic maths, and good at communicating with our members via email and on the telephone. Job Description

The Senior Management Accountant will include:

• Lead budget process, guide Management Accountants and Finance Officers.

Job Description

The Head of Management Accounting will:

• Lead financial management and reporting for Districts/Departments, ensuring timely and accurate financial information for the Senior Command Team and Business Executive Leaders including revenue, grants, and capital income/expenditure.
• Produce and monitor budgets in line with Force timetables, providing assurance to the Senior Command Team and Business Executive Leaders on financial integrity.
• Strategic lead on the delivery of financial management, financial reporting and financial advice to the Districts/Departments budget holders and providing financial information to Senior Command Team and aligning financial decisions with the Force's goals and addressing financial risks.
• Responsible for all aspects of producing accurate and timely financial information for budget monitoring and budget setting in line with the Force's periodic timetable. Working closely with the Head of Finance and Chief Finance Officer to provide assurance to the to the Senior Command Team regarding the integrity of the Finance's finance position
• Driving efficiency's across with the team through ensuring that the line management responsibility model based on one to four/five ratio is fully embedded within the Finance Officers.
• Drive efficiency's by embedding a 1:4/5 line management ratio within Finance Officers, standardising procedures, and reducing reporting variability.
• Lead annual budget planning, working with senior leaders to ensure resource allocation aligns with strategic priorities.

RESPONSIBILITIES

We expect to recruit from our members and from the community of those who stammer or those who support people who stammer (speech & language therapists, family and friends).

• Recruit and induct new volunteers to support our services, working with the Services Director and the Training & Outreach Lead. 
• Work with the service managers to review training and update training modules.
• Ensure there is appropriate training, support, supervision and acknowledgement for volunteers and ensure processes comply with the charity’s values
• Research and write volunteer policies and procedures, including risk assessments.
• Support and recruit volunteer community leaders for our groups and networks; work with them to aim for consistent quality across the groups experience and develop an online training programme for leaders.  Longer term, put a funding case together to support a training weekend for community leaders.
• Keep records on which community groups are active and identify areas of need and feedback mechanisms.
• Work with Content & Communications Lead to produce regular mailings and volunteer recruitment campaigns.
• Keep up to date with legislation, best practice and policy related to volunteering and make any necessary modifications to accommodate changes.
• Maintain the database of volunteers and ensure all volunteers are registered members.
• Manage budgets and resources, including the reimbursement of volunteer expenses.

This is a hybrid role, and all staff are expected to attend team meetings, held in London, every 6-8 weeks.

About the role

This vacancy is for a University Access Officer to work in two of our schools in Hackney and Highbury currently delivering our Gateway programme and moving to our new Accelerate programme next school year.

The University Access Officer works with school staff at all levels, volunteer tutors and coaches, and with the rest of The Access Project’s team to ensure that the delivery of our programmes is optimised.

Role responsibilities

• Work directly with students in a professional and safe manner.

• Engage with school staff, your Programme Manager, and students in school to ensure that you have fully enrolled cohorts across both programmes.

• Assess student progress towards being able to make successful Key Stage 5 and university applications.

• Upload information onto the Salesforce database in a timely manner (training is provided).

• Work with school staff to ensure their cooperation and timely completion of activities contributing to the smooth running of the programmes.

• Present at termly school meetings with Senior Management to report on our programmes progress.

• Support the wider team by attending university site visits which take place on occasional Saturdays and weekday evenings (paid time off is provided).
