- Coordinating the regular forecasting and management reporting cycle for your areas of support.
- Monitoring and reporting on budget variances and providing analysis on the causes and implications.
- Developing and maintaining tools including related reconciliations and forecasts, to ensure effective control and monitoring.
- Holding regular reviews of performance against budget and likely outturns, helping stakeholders to engage with financial reports, providing information and guidance to assist in facilitating high-quality forecasts.
- Supporting the implementation of cost control measures and track their effectiveness.

We are recruiting for a Head of Administration to join the bemix team

Office based at the Innovation Centre, Canterbury, with travel to and working from different bemix locations in Kent, as and when needed.

The Administration team plays a crucial role in ensuring the smooth and efficient day-to-day operations of bemix. The team works hard to support the workforce so they can achieve bemix’s goal for everyone to be seen, to be heard and to belong.
Main aim: To oversee, plan and steer the administration across the organisation. With proven skills and experience to confidently approach different tasks and requests throughout the day with a solution-focused, confident and resilient working manner. You will lead, support, unite and develop the office administration team, so that great things can be achieved. The role needs someone who instinctively takes the approach of reviewing and developing systems, tracking progress on projects and thrives on organising and planning a busy calendar of work.
Holding oversight for the bemix mainline, email inboxes and other communication channels, ensuring all are well-manned across the whole week by the administration team and answered in a friendly, helpful and professional manner. Stepping in to provide practical help when needed, to ensure an excellent pathway of communication (both external and internal) is maintained at all times.
Hours: Working 37 hours per week, working Monday - Friday between 9am - 5pm . Working hours need to have flexibility to respond to tight deadlines with extra hours, taken as time off in lieu.
Location: Mainly at the Canterbury Innovation Centre, University of Kent site, Canterbury. With great facilities, including free parking, cafe, reliable local transport connections and lovely outside spaces to explore on breaks/lunch/walking supervision. With flexibility and commitment to travel and work at other bemix locations and sites, as the role needs demand.

Lancashire Mind is a local charity working to prevent poor mental health. We support people experiencing common mental health conditions, such as anxiety and depression. We work with children and adults, offering universal services to help people improve their mental wellbeing, along with targeted services for people and communities at increased risk of experiencing poor mental health or facing mental health inequalities. The Fundraising Lead has oversight of our community, events and corporate fundraising, leading a small team of two Fundraisers to achieve annual objectives and develop and test new activities.

Coordinate the IPD Annual Cycle
- Coordinate the IPD planning and reporting processes (Annual Cycle), including supporting the development and roll out of new planning and reporting processes.
- Build close working relationships with IPD senior management, Regional teams and key departments including Finance, People, Communications & Fundraising to support application and ownership of planning and reporting processes.
- Lead on the development of PMER guidance and tools to support IPD planning and reporting processes.
- Identify and support regular reviews and adjustments to Annual Cycle processes
Lead the coordination of the PMER Community of Practice
- Lead the coordination of the PMER Community of Practice and organise and chair the Community of Practice Steering Group. The PMER Community of Practice is an informal group designed to facilitate the sharing of learning and best practice among WaterAid staff, especially PMER staff.
- Lead on PMER Community of Practice communications including the CoP communications strategy, quarterly PMER inductions, trainings and learning sessions and communicating regular PMER updates.
- Ensure that the PMER Community of Practice is active, incentivising participation in COP activities e.g. drop in clinics, webinars, discussions etc.
Strengthen organisational PMER capacity
- Develop and manage effective PMER capacity strengthening initiatives to support the application of the PMER core procedures and especially Reporting processes. This includes developing new and strengthening existing PMER guidance and tools and developing and delivering training.
- Provide remote and/or face-to-face support to Country Programmes and Regional Teams on an ad hoc basis to strengthen and build capacity in PMER
- Support any other relevant processes including administrative tasks within the remit of PMER as required
External Representation
- Represent WaterAid externally on key PMER issues, linking with key networks as appropriate
About You:
- Experience of coordinating and rolling out complex reporting processes, working with a range of stakeholders to ensure timely completion of deliverables
- Experience of building engagement of colleagues on a specific area of work, in-person or remotely
- Experience of strengthening the skills and capacities of others either face-to-face or remotely
- Good understanding of planning, monitoring, evaluation and reporting concepts and approaches
- Experience of writing reports fluently in English based on analysing and presenting complex information to a variety of audiences
- A self-starter, able to work independently and drive tasks forward to completion, escalating issues where appropriate
- Ability to travel internationally for up to 4 weeks per year
- Commitment to WaterAid's values and a working style that reflects these.
Desirable skills
- Experience in an international development organisation
- Specific qualifications or training in project planning, monitoring, evaluation and reporting
- Knowledge of maintaining and managing online information platforms such as SharePoint
- Fluent in written and spoken French, Spanish or Portuguese or another language widely spoken within a WaterAid Country Programme

You may have previously worked in youth and community work, social work, counselling, education or healthcare settings.

About the Project
Hertfordshire Mind Network is proud to provide early intervention support to children and young people experiencing poor mental health across Hertfordshire. We provide a combination of support through psychoeducational workshops, open access, 1:1 and group support.
We are expanding our provision, to offer drop in, open access community support to 10–18-year-olds across the county who need someone to talk to about their mental health in that moment. This space will offer timely support, in a person-centred, trauma informed way.
The objectives of Hertfordshire Mind Network’s Herts Haven Café service are:
- To improve the mental wellbeing of children and young people experiencing mental health issues, including crisis presentations, in Hertfordshire.
- To provide drop in, no referral required, timely support to 10-18 year olds.
- To support children and young people in Hertfordshire to access community based mental health help.
- To increase early access to help for people experiencing mental health crisis in Hertfordshire, by providing a clear and effective pathway to services provided across the CYP MHS system.
About the Role:
The key purpose of this post is to be an integral member of staff delivering the Herts Haven Café service, facilitating drop-in mental health support for children and young people aged 10-18. As a practitioner you will meet the varying needs of the individual, as they present, meaning no day may look the same.
A person-centred approach will be maintained, and this role is pivotal to ensuring CYP have a warm and welcoming space to turn to. Responsible for managing the team budgets to ensure activity and services are delivered in an efficient and cost-effective manner.
Build effective relationships with other evidence teams and policy to minimise duplication of effort, ensure consistency of messaging, and maximise our impact on a range of topics in support of CRUK and PIC's wider influencing and engagement strategy
What skills are we looking for?
Excellent judgement of sound research methods, ability to critically appraise qualitative and quantitative evidence and research
Experience in translation of evidence into targeted, relevant and accessible public information
A good understanding of either cancer prevention or early detection with the ability to develop expertise in both of these areas
Strong leadership skills and the ability to effectively manage and motivate a team, and prioritise workload in a complex matrix environment
Excellent oral and written communication skills, with the ability to sign off health information positions and represent this internally and externally
Experience of setting strategies and overall team direction that align with department and organisation objectives
Ability to balance risks and opportunities and advise peers and senior stakeholders appropriately in decision making.
Excellent interpersonal skills with the ability to build consensus and instil confidence and credibility of advice and decision making with internal and external stakeholders. Ability to constructively challenge and push back, whilst maintaining good working relationships
Proven understanding of digital technologies used in content and marketing and the ability to keep abreast of the digital landscape, innovation and application of new initiatives, tools and techniques
Experience of setting and managing budgets.
