Sporting Events Administrator

The Sporting Events Team at Alzheimer’s Research UK (ARUK) is responsible for securing income from individuals taking on sporting challenges and effectively managing relationships to maximise income.

As Sporting Events Administrator,you will play a significant part in contributing to a high-performing fundraising team. You will work closely with the Sporting Event Managers (SEM) and Sporting Event Officers (SEO) to drive the continued growth of the charity’s sporting event fundraising income. You will also be required to show excellent organisation and relationship-building skills to support supporters.

Please note: This role will be known internally as *Sporting Events Executive.

Key Responsibilities:

· Be the first point of contact for all Sporting Event fundraisers, providing excellent customer service, acknowledging support and increasing long-term loyalty.

· Provide effective administrative support to the Sporting Events team, including maintaining accurate records, managing inbox and telephone queries and supporting smooth event delivery.

· Provide organised administrative support to SEOs across a range of sporting events and tasks, helping to coordinate day-to-day activity and manage competing priorities.

· Fundraising data management including adding new constituents to the fundraising database (Salesforce), ensuring details are accurately recorded and maintained and that supporters are appropriately thanked.

· Ensure fundraisers and volunteers have all necessary materials for fundraising initiatives.

Event and Supporter Management

· Support the team in managing the sporting events as agreed with the Sporting Events Manager (SEM). Including recruitment of sporting places, recruitment of volunteers, communications plans, event marketing and event attendance.

· Working alongside the SEM and the SEO to manage the stewardship of all supporters.

· Build and manage relationships with prospective and current sporting fundraising supporters through prompt, helpful, professional and friendly contact.

· Proactively contact fundraisers by phone to offer encouragement, guidance and tailored support, helping those who need additional stewardship to build confidence and maximise their fundraising potential.

· Taking the opportunity to maximise income and long-term support with every fundraising supporter, suggesting ARUK fundraising products where appropriate.

· Schedule and deliver stewardship good luck calls for all portfolio sporting eventers.

· Drafting prompt, professional thank you letters and certificates to fundraising supporters.

· Managing emails sent to sporting events inbox.

Events Support

· Support in the effective delivery of sporting fundraising events for ARUK.

· May include relationship management with suppliers and logistics companies.

· Attendance of weekend events where necessary.

WHO WE ARE

University Hospitals Birmingham Charity consists of four hospital charities supporting some of the busiest hospitals in Birmingham – Queen Elizabeth Hospital Birmingham, Heartlands Hospital, Good Hope Hospital and Solihull Hospital.

Being in hospital can be really tough physically and emotionally. This is why our hospital charities do as much as they can to help patients and their families feel as supported as possible during their treatment.

Across UHB Charity we are currently raising funds for a Total Body PET CT Scanner as well as our Children's and Newborn Appeals and Home from Home accommodation for civilians and military personnel, to name just a few.

As a Legacy Administrator you will help us raise much needed funds that will make a real difference to our patients and their families.

JOB SUMMARY

This role is primarily based at Queen Elizabeth Hospital Birmingham, with the expectation of occasional travel to other hospital sites.

This post is within the Fundraising Team at University Hospitals Birmingham Charity, which is the official charity of Heartlands Hospital, Good Hope Hospital, Solihull Hospital and the Queen Elizabeth Hospital Birmingham.

This is a new role within the Charity Team. In this role, you will be a crucial part in ensuring that all legacies to the charity are administered in a timely and sensitive manner, maintaining and building great relationships with both internal and external stakeholders.

This role will involve occasional evening and weekend work at charity events and events organised by our supporters. 

PRINCIPAL DUTIES

• Work with the Senior Fundraising Officer responsible for Legacies to actively manage a varied caseload
• Handle a mixture of pecuniary, residuary and reversionary legacy cases
• Tailor your approach to each case depending on the circumstances, having a flexible approach whilst ensuring that all gifts are administered in a timely manner
• Work to optimise University Hospitals Birmingham Charity legacy income where appropriate
• Ensure that all bequests to UHB Charity are received and utilised, in accordance with UHB Charity policies
• Maintain your knowledge of current legislation
• Play an active role in the wider legacy team and promoting Gifts in Wills where necessary

Do you want to be part of a dynamic and innovative fundraising team? Do you want to raise money for some of society’s most pressing challenges and play a key role in an ambitious fundraising and volunteering campaign?

We are looking to recruit a Philanthropy Officer to join us at this very exciting time. The Philanthropy Officer will be responsible for the relationship management of a portfolio of around 100 prospective donors in order to raise funds for a range of key projects. They will be responsible for the entire prospect relationship management process including researching, cultivating, asking and stewarding. 

This role will play an integral part in supporting donations to improve student experience and across key areas of research.

As part of an award-winning team and led by some of the most respected names in higher education fundraising, you’ll get the chance to work across the team and wider university to encourage new donors to make long-term, sustainable and significant £10k plus gifts. You will also have the opportunity to work with our senior team on proposals to top donors enabling you to get experience of working with some of the most successful and experienced major gift fundraisers in the UK Higher Education sector. 

You will be provided with a robust induction and an ongoing training program that will include support from the University as well as expert external providers.

As a Philanthropy Officer you will have responsibility for managing a portfolio of current and prospective donors. You will have the confidence to ask for donations, be a strong communicator, and be passionate about making a difference to some of the biggest challenges the world faces.

The Philanthropy Officer will take ownership of the end-to-end relationship management process of a prospect, from initial research to stewardship activity:

1. Personally manage a portfolio of circa 100 of the University’s (4- and 5-figure) donors and prospective donors, maintaining close relationships with each prospect and integrating them with the University whenever possible to bring the prospective donors to the point where you can ask for philanthropic support.

2. Secure over £100,000 of donation pledges in the first year and develop a sustainable pipeline of prospects and philanthropic income.

3. Demonstrate an understanding that successful fundraising is based on building effective relationships, which match a prospective donor’s philanthropic interest with an area of strength and/or opportunity at the University. Be responsible for the end-to-end relationship management process of your contacts including:

· Identifying new prospective donors from your networks.

· Making the approach and managing a cultivation process, tailored to your prospect.

· Understanding the University’s campaign priorities and bringing them to life for individual supporters. through various communication channels.

· Asking confidently, passionately and effectively for key priorities.

· Building long-term relationships that are centred on the donor, including maximising volunteering opportunities where appropriate.

· Stewarding the donor once a gift is made, ensuring the individual remains connected to the University, the project, and the impact which they have made.

4. Responsible for adhering to relevant fundraising regulation and GDPR whilst ensuring fundraising processes are ethical and that due diligence is undertaken as necessary.

5. Deliver against set targets including money raised, asks made, meetings secured and gift close rate.

6. Communicate effectively with prospects, donors, volunteers, alumni, academics, researchers and businesses using a wide range of communication skills.

7. Communicate effectively with prospects and donors by phone, email, LinkedIn, letter and face-to-face.

8. Work internally with academics to showcase projects to potential donors and work with colleagues across the university to bring gifts to fruition.

9. Work closely with the Volunteering, Events, Campaign Management, Donor Experience, Regular Giving and Legacy Teams to maximise opportunities for collaboration with prospective donors.

10. Working in partnership with other fundraisers and members of DARO including sharing best practice and ensuring prospect development by playing in senior stakeholders at the right time.

11. Use Blackbaud CRM to record meetings and proposals effectively to allow accurate performance monitoring and reporting.

12. Take ownership of all processes and communications in relation to your prospects to include writing proposals, first approach communication, thank you letters and gift paperwork as appropriate.

The UK Branch aims to strengthen arts and civil society ecosystems and emphasises transnational collaboration between Portugal (where the Foundation is headquartered) and the UK. Our grantmaking programme has three focus areas: arts opportunities, NGO capacity-building and climate-health. We fund and support partner organisations working in these areas and directly deliver projects in-line with our programme goals. The UK Branch also collaborates on flagship international initiatives of the Foundation, including the Gulbenkian Prize for Humanity and the Alliance for Socially Engaged Arts.

The appointed person is likely to spend around 50% of time working on communications projects, and 50% on general programmatic work (including research, events, project management, and administration).

This is a brilliant opportunity for someone with around two years of relevant experience looking to extend their skills and responsibilities and develop professionally.

• Excellent writing skills for a variety of audiences

MAIN PURPOSE OF JOB

 1. To support the successful delivery of projects, activities and events, through the successful management of event logistics, communications, and resource preparation. Projects, activities and events include: Primary School Financial Literacy workshops, Core Programmes for Key Stages 3 to 5, Industry Insight Days, Bespoke Workplace visits, Mentoring and Future Skills.

2. Liaise with volunteers, external facilitators, school administrative and teaching staff on school projects as needed, in the pre- and post-event stage.

3. Attend in-person events in the borough (in both schools and workplaces) to assist with delivery, volunteer management and event logistics.

4. Compile data and reports on business and volunteer activity as directed by the Senior Project Manager on the Secondary Team. Work with the wider team to produce annual impact reports and volunteer data reports on specific projects, highlighting key achievements and areas for improvement.

What is it like to work for us?

About the opportunity

We are now recruiting for a Programme Coordinator for our schools in London.

• The London Programme Coordinator oversees a caseload of up to seven partner schools. They manage the logistics and organisation of each school’s tutoring programme, working closely with the schools and pupils and managing the pool of volunteer tutors. They attend the weekly tutoring sessions at each school, as well as overseeing the quality of face to face and online tutoring, always working to deliver a great impact.
• The London Programme Coordinator supports the recruitment of volunteer tutors, manages the tutor sign up process, develops relationships with schools including their Senior Leadership Team and subject teachers, collects data for monitoring and evaluation purposes, and works with other internal teams on business development opportunities.

Duties and responsibilities
 

• Responsible for the delivery of Action Tutoring’s tutoring programmes in partner schools, whether online or face to face. This includes working closely to manage all key stakeholders: schools, pupils and volunteer tutors; regularly attending weekly tutoring sessions; leading on reviewing and improving programme delivery, using data to reliably assess programme performance.
• Responsible for overseeing the quality of tutoring, engaging in quality assurance processes, and providing feedback to volunteer tutors to ensure effective and impactful delivery. Provide regular check-ins with tutors to ensure ample support and guidance is given to provide targeted tuition to pupils.
• Develop and strengthen relationships with key stakeholders in partner schools, including members of the Senior Leadership Team and subject teachers. Maintain clear and timely communication with relevant school staff, offering regular check-ins with key school stakeholders, and contribute to impact reporting to schools. Supporting the Programme Manager with strategies to retain and sustain school partnerships.
• Update and accurately maintain Action Tutoring’s database, including collecting timely data for monitoring and evaluation purposes, such as attendance records, baseline and interim assessments and pupil surveys. Reporting regularly on key performance indicators to key stakeholders and using them to enhance programme delivery. Work with the Programme Manager on business development, approaching new schools that might be interested in working with Action Tutoring.
• Proactively report to the Programme Manager on the details of Action Tutoring’s operations in their partner schools.

Being the sole representative for a partner school, you will need to use your ability to work independently and with initiative, often organising your own time to meet deadlines. You’ll also need to have a strong aptitude for developing relationships with a range of stakeholders ensuring you uphold high standards of communication and adapt your style for different audiences. The nature of this role will also require you to demonstrate adaptability, resilience and the ability to cope with some uncertainty. 
 

This position would suit you if you’re looking to develop your experience in the education or charity sectors. Existing experience of working with young people and/or project management in a charity or education setting would be an asset.
